Section 1 – Data Preparation and Connections

Introduction – VIA has provided Tableau Packaged Workbooks for every section of this manual. Tableau Packaged Workbooks complement the written word in this document so user can see the outcome in Tableau software when the instructions are followed. To be clear, if this was a training manual for Excel, the student would have received Excel files.

The goal is for the user to build his or her workbook based on the instructions that follow and to use the aforementioned packaged workbook for guidance. The user should refer to Tableau Packaged Workbook named Section 1.0 Version 9.0 Tableau Packaged Workbook as user needs it. Tableau Packaged Workbooks are provided to at no extra charge.

Tableau User Interface – Open Tableau 9.0. Whether one is a new or experienced user, the opening user interface in 9.0 includes some changes. There are three panes – Connect, Open and Discover. Connect enables user to connect to text files and a wide array of server based data sources. Under the heading To a Server, click on More Servers to select one or more of 35 data source options. The Open pane presents workbooks that have been recently authored, and the Discover pane provides access to free training content, an open forum and Tableau blogs (Figure 1.0). Lastly, the Tableau icon at the very top left and circled in red enables the user to switch back and forth from opening UI to a workbook and back to the UI from the workbook.

This symbol represents a Best Practice Tip or BPT used throughout the manual. The BPT is there to remind the user about important features and the best use of those features in creating a visual. Examples below:

Tableau is used for ad hoc data visualization and analysis, thus the system of record (SOR) is never changed.

Tableau is not limited by the size of the any data source.

Connecting to an Excel Data Source – From the opening user interface, select Microsoft Excel from the file type options. Note well – VIA provides all buyers of this manual with additional data sources as part of the VIA Rapid Adoption process of learning. From the Tableau Data Repository, select the Excel file named

VIA Excel_Sample_Superstore (Figure 1.1). Instructions for accessing the Tableau Data Repository are found below (Figure 1.1).

After selecting Connect to Excel, user will automatically proceed to My Documents> My Tableau Repository> Data Sources. Choose the folder named 9.0, and from within, select the Excel file named VIA Excel_Sample_Superstore (Figure 1.2). Select open. Data sources for all lessons are located in Documents > My Documents. The figures that follow present that exact flow.

Place the cursor on the VIA Excel_Sample_Superstore file and select Open (Figure 1.2).

Figure 1.3 is the result of selecting the VIA Excel_Sample_Superstore data source. In this basic exercise there are obviously three sheets in the Excel file.

In Figure 1.3 above user is presented with a space into which user will drag sheets from the Excel file (Orders, Return, and Users) and access to other functions. User can simply double-click on Orders to arrive at the worksheet and the start of the first workbook, or drag Orders to the area marked Drag sheets here. The Orders sheet will become the first example of data that the user will visualize (Figure 1.4). This exercise uses a live connection of the two presented in yellow highlighting. Extracts will be addressed later.

Notes about Figure 1.4: The data source name is clearly stated and can be renamed by selecting it and changing to a more appropriate name. This lesson and Tableau Workbook will be based on Orders using a live connection (note highlighted radio button). A lesson on Extracts will follow.

Note Well: In any analytics project, preparing your data for analysis is just as important as the analysis itself. Various improvements have been made to make it easier for you to connect and import (download) data, combining and quickly reviewing the data before you build your view and begin analysis. It is now possible to support files that contain more than 255 columns. Tableau now recognizes the time data type at the fractional second level. Support for count distinct, median, percentiles, and date-parse functions are now available without an Extract – all these features will be presented. A Data Interpreter will also be addressed later in this
