Referencing using Microsoft Word

To add a reference
(also known as an in-
text reference or
citation) click on the
References tab.




In the style section
choose Harvard.




Then click on:
- Insert Citation
- Add New Source



Once you have added a
source, you can select it
from the list.
Examples for several
types of sources are
included below.


The in text reference
will look something like
this:
(Gaiman, 2013)

If you need to add a
page number or change
the way it looks, right
click on it and choose
Edit Citation.

The information you
enter will be used to
form a
bibliography/reference
list.

Types of sources
- Any data entry errors for capital letters, spelling mistakes or punctuation will come through into your bibliography. Check your entries
carefully.
- Use capital letters for the Author, City and Publisher.
- Use capital letters for the main words in the Title. (But not words like and, in, the, is, of, to, a etc unless they are the first word).
- To add more than one author or editor name click on the Edit button.


Book with one author
- To enter another/more
authors click the Edit
button.


Edited book
- Leave the Author field
blank.
- Tick Show All
Bibliography Fields and
scroll down to Editor.
- Enter the editors name.
- If there is more than one
editor click the Edit
button to add others.



Chapter in an edited book
- Type of Source is Book
Section.
- Tick Show All
Bibliography Fields and
scroll down to Editor.
- Enter the editor in the
Editor box.
- Title is the title of the
chapter.
- Author is the author of
the chapter or section of
the book.
- Pages is the pages your
section covers. Enter it
like 10-11.


Journal/magazine article
(print)
- Type of Source is
Journal Article.
- Title is the title of the
article.
- Journal Name is the
name of the publication.
- Pages are entered with a
hyphen and no spaces like
this 10-11.
- Fill out the information
you have.




Journal/magazine/newspaper
article (from electronic
database or online source)
- Type of Source is Journal
Article.
- Fill out fields as for print
journal.
- Tick Show All
Bibliography Fields and
fill out the Year, Month
and Day Accessed fields.
- Enter the URL for the
article if it has one.
- If it is from an electronic
database enter the DOI.
- The DOI is a unique
number that identifies an
online article.
- There may not be a DOI
number. If there is no
DOI or URL available put
the name of the database
instead eg: MasterFILE
complete.
- Note that articles
published online may not
have page numbers.


You will need to modify the text
in the references section
manually as the DOI or URL
will not show up automatically.


The entry should look like this:

Albuquerque, U.T., 2011. Experiences of Ethnobotanists with Publication: A First Approach. Bioscience. [Online]
61( 9), p. 706.
Available at: DOI 10.1525/bio.2011.61.9.9
[Accessed 2 September 2014].

Or this (with a URL for articles from the internet):

Thirunarayanan, T., 2013. Ethnobotanical survey on Folk Medicine in the management of animal bite poisons in
the forest tract of Salem region of Tamil Nadu, India. International Journal of Pharmacology and Clinical Sciences.
[Online] 2(June), pp. 41-46.
Available at: http://www.ijpcs.net/uploads/1/0/3/4/10341868/ijpcs-0024-2013.pdf
[Accessed 2 September 2014].

Newspaper article (print)
- Type of Source is Article
in a Periodical.
- Fill out fields as for print
journal.



Website
- Type of Source is Web
Site
- Fill out fields with all the
information you have.


















Creating a bibliography
1. After you have entered all your sources:
A: Click the References Tab
B: Choose Bibliography, then click Insert Bibliography



The list of sources will appear automatically and will be sorted in alphabetical order by author.
You will need to add a heading above your bibliography.

Proofread the bibliography and make sure all sources are included and the spelling is correct.
- To update/make changes to your bibliography or the sources go to the References Tab then click Manage Sources.
The bibliography is generated using the Current List check that all sources you want to add are showing in this list.
When youre finished click Close.




Right click on your list and choose Update Field to make sure all the changes have been made.
