STUDENT COUNCIL CONSTITUTION


Aim of the Student Council:
The main purpose of the Student Council is to approach, listen to and engage with the
student body in order to promote the students contributions to their own educational
environment and extra-curricular activities. The council wants to improve the students
experiences at AIS by considering and executing the needs and wants of the students, if
possible.
Student Council Activities:
The Student Council Activities are designed to serve the purpose of the Student
Council:
1.

Standard Activities:
Act as an intermediary between the student body and school administration;
Coordinate calendared school activities involving student body;
Promote school rules and regulations (involving matters such as: punctuality,

uniform, use of mobile devices, etc.)


Make suggestions for the improvement for school facilities and services.
2. Extra-curricular activities:
Work with school administration regarding school camps;
Support new school clubs and After School Activities;
Organize lunchtime activities/competitions (e.g.: Darts game, etc.)
Organize special days when students can dress up according to certain dress
code.
3. Fundraising:
Fundraise to gain awareness on global/local matters (e.g.: Nepal earthquakes,

global warming issues, etc.)


Fundraise to improve quality of school facilities;
Fundraise to get involved in the local community (e.g.: Loreto Library project)

Role of the Council Advising Teacher:

The council advising teacher is assigned by the Principal; in order to manage SC


activities, assist with the SC events, and help to resolve any problems involving the
council budget and leadership training.
Roles of the Council Advising Teacher:

Coordinate all financial matters of the SC, involving any fundraiser activities;
Assist in the leadership training for the SC Executives and Representatives, as

well as acting as the intermediary between the SC and school administration;


Manage overall status of the SC activities;
Support the SC in the process of carrying out and delivering activities, agenda
items and any particular projects and assemblies.

Role of the Executive Officers:


The President shall: (1 person from years 12 or 13)

Be responsible for upholding the Councils Constitution and Bylaws


Serve as the head of the executive for years 7-13
Be responsible for scheduling and running all meetings of the full council
Oversee all other Board members, to insure their duties are being fulfilled
When necessary, initiate voting on council matters
Coordinate the activities of the 7-10 and 11-13 sub councils.
Meet with the executive of both councils regularly.
Work in good faith with the school administration regularly to ensure

communication is open
Ensure students receive timely and accurate feedback on the matters raised
Be a role model in character and academic studies

The Vice President shall: (2 people; one from years 11- 13, one from years 7-10)

Serve as the acting head of the 7-10 or 11-13 executive when the President is

not present
Evaluate all School Student Representative Council proceedings, events, and

activities, to ensure they are in-line with these above mentioned documents
During general meetings, the Vice President will be responsible for insuring the
meeting is running smoothly, and effectively, and that all present members are

sufficiently engaged
Oversee the recruitment of new tutor group representatives to participate in
Student Council Work in good faith with the school administration regularly to
ensure communication is open

Ensure students receive timely and accurate feedback on the matters raised
Be a role model in character and academic studies

The Secretary shall: (2 people; one from years 10- 13, one from years 7-9)

Be responsible for writing and distributing an agenda for each meeting.


Record official minutes for both general and year group Meetings
Report on the previous meetings minutes at each meeting before submitting

them as official record


Report progress made in any council goals, activities, or events
Work in good faith with the school administration regularly to ensure

communication is open
Arrange regular meetings with the school administration
Be a role model in character and academic studies

The Public Relations Officer shall: (2 people; one from years 11- 13, one from years
7-10)

Keep student body informed of events, fundraisers, and service projects

Obtain approval for events

Responsible for communication between school and students

Maintain student council website

Organizing announcements for Tutor group representatives.

Maintain the Student Council notice board

Be responsible for adding events to the daily announcements and to the student

body
Be a role model in character and academic studies

Election Process:
Existing council members announce in an assembly for each homerooms to elect their
tutor group representatives/ junior executives

Announcement made at the beginning of the new school year.


Interested students to give a short speech of why they want to be a
representative, election process done the first week on September in the next

school year.
Voting must be done through anonymous ballots.
The tutor group teacher must count the votes and email the elected member to
the council as soon as possible.

If there is only one student interested in joining, they are to give a speech then

join by default.
Representatives to be announced in an assembly with badges.
Representatives are to sign the contract the president has made

Traits of Executive Officers and Representatives:


1. Skills

Report back to the class about meetings, and report to the Council about class
concerns

Read/understand meetings materials
Ask questions to others, and answer questions from others
Know what to say at the appropriate time

Commit to regular weekly meetings and maintain 100% attendance
Understand the purpose of the Student Leadership Council
Understand the rules governing the Students Leadership Council
Understand how to work well with others as a team member
3. Work with others
Through affective communication, cooperation, understanding, patience, respect,
truth, listening and honesty (being principled)
As a role model to others
4. Good Habits / Qualities
The ability to act sensibly and demonstrate exemplary behaviour
The ability to be on time for meetings and activities

Being responsible and being able to remember what to do or say
Meetings:

Meetings are run by the president and the council advising teacher.
Minutes to be taken by the secretary, as well as the meeting dates.
Meetings with the Deputy Executive Principal to be held once every two weeks.
Separate meetings with only executive officers and the council advising teacher
are held on Mondays, at lunch time.

Meetings as a council are held every Tuesday after school, may have another

added day when needed.


All members are to be present and on time in every meetings, with strike system

given.
Agenda and ideas discussed are to be taken down by the secretary and

reminded the next meeting.


All issues must be attended to and treated with respect.

Discipline and Removal:


A student council member will be removed if:

Violate contract and code of conduct.


He/ She does not involve in the SC activities.
The member is absent for 2 meetings in a row or 4 meetings in total during the
year (without permission from the council advising teacher or without valid

excuses).
The council must be notified about the reason by the end of the day before the

meeting and will discuss if the reason is valid or not.


The member is expelled or leaves the school.
Any inappropriate language and behavior of the student council member shall be
issued by the council with one warning. The member has two chances before the

removal of position.
The member uses their membership inappropriately.

Removal Process:

Any complaints must be received by the President or by the council advising

teacher.
Complaints about the President will be received by the council advising teacher.
The council issues first verbal warnings and then a written warning signed by the

council advising teacher.


The member complaint shall have an opportunity to speak for themselves and

what they said will be taken into account.


The council will discuss and finalize their decision of removal.
Replacement will be selected using the regular election process.

1. Attend every weekly meeting unless I am absent, ill or involved in another mandatory
school activity.
2. Inform the Vice President and follow up with the meetings content if I was absent.
3. Bring problems and suggestions raised by the students to the attention of the council
during meetings.
4. Deliver the issues dealt with or discussed by the Student Council during meetings to my
homeroom.
5. Participate with enthusiasm in Student Council activities.
6. Fulfill any position or carry out any tasks that I may be elected or required by the council
to do.
7. Represent the Student Council with appropriate respect and honor.
8. Behave with courtesy according to the school rules.

I understand that if I miss 2 meetings in a row or 4 meetings in total during the school year
without valid reasons, I will be asked to leave the Student Council.
