Organizing Mercatique in Mumbai

The following work breakdown structure is of the event Mercatique, the annual
business conclave organised by MAXIM The marketing association of XIMB.
Traditionally the event is organized at the XIMB campus. However, in the following
year MAXIM is planning to organize the event outside Bhubaneswar, in Mumbai. The
entire project has been spread over a period of around two months.
The work breakdown structure:

Finalizing the speakers (10 to 15 Days)
Define the list of probable speakers
Finding out the contact details
Meet and finalize the speakers
Ascertain and finalize the backup speakers
Send transport tickets to speakers
Fixing the budget and venue (7 days)
Finalize the budget
Evaluate all possible venues and finalize the venue and inform
all verticals
Sponsorship (15 days)
Get contact details of sponsors
Setup appointment and meet sponsors
Negotiate the terms and finalize the MOU
Design poster, hoardings (1 day)
Design and print poster hoardings
Design and print entry pass
Advertisement (15 days)
Print ads
Radio and television ads
Social media marketing
Tickets sale (30 days)
Sale tickets to general public
Invite special guests and faculties
Invite case study winners of different B-Schools
Pre-event check list (1 day)
Evaluate event logistics including sitting arrangements, placards
etc
Light, sound, projector etc. check
Goodies check- pack and arrange the goodies
Execution (1 day)
