Annual Meeting
Saturday, September 27, 2014

There were six (6) properties represented, which does not meet the 25% of 25 total properties required
for a quorum. The following members were present, constituting 24% of property owners:

The lack of quorum status was not realized during the meeting, and the group discussed the issues listed
below. Essentially there were no significant decisions to be made, and the few procedural votes taken at the
meeting are not able to be used due to the lack of a quorum status. However, the end result is that there is
nothing from the meeting that would be different whether there was a quorum or not. The following notes
will document the discussion that occurred.
1. The Annual Meeting was called to order at the Ike Walton's Lodge, Yellow Lake, WI at 10:00 a.m.,
pursuant to the notice sent to all Association members in accordance with the bylaws.
2. A Financial Report was presented by Jill, and will be included with the minutes. The current account
balance seems adequate. All properties with the exception of Lot 1 are caught up on dues payment for last
year. This year a reminder was sent out to pay dues on or before the date of the annual meeting, and I am
pleased to report that 76% of properties (19 out of 25) made the effort to help us make the dues collection
process simpler for everyone. I am so grateful for everyones cooperation. Another reminder notice will go
out to those who havent yet paid, and hopefully the process will not drag out too long. Last seasons snowy
winter resulted in slightly higher than average plowing costs. The summer grading season required some
patching and repair due to washouts from heavy rain. Overall costs were significantly lower compared to
previous years. One reason for this is using Cary Rand and his equipment for grading which is smaller in
scale compared with Hopkins but still adequate for our private road. There were also relatively few areas that
needed immediate attention.
3. Next summer season the roads are likely to need additional material since there was no urgent need this
year. Terry has learned that Hopkins currently has crushed asphalt available. It is close to double the cost for
Class V gravel, but it was noted that places where we have been able to use it in the past have held up
significantly better than the Class V, making it a lower cost for the long term.
4. This past winter, road widths were impacted in places where there is not much space available to push
snow off the roads. There were some issues with snow from private driveways being pushed into and across
the road onto other properties. It may be helpful to remind any plows that are hired for driveways to be sure
to clear snow from the road after it is pushed out, and not to push snow onto other peoples property, but
keep it stored on your own property.

5. Terry has spoken with some members from the Fremsted Lake Association and has mentioned the fact
that we maintain a portion of the private road that four Fremsted Lake properties use to access their land.
There was some discussion on how to go about helping out financially with the maintenance on that portion
of road, either by the Fremsted Association or possible the property owners themselves. Terry will continue
to pursue this.
6. Terry was able to arrange for a No ATV sign to be installed at the beginning of the private road. It
was noted that this has resulted in fewer non-residents driving on the roads.
7. Mary Laurel and Pat are in the process of making some improvements on their land and discovered that
the taxable property value for their land is higher than what the actual market value is. They will be
contacting the county to see how to get this adjusted, but others may want to look into their own status as
well.
8. The web blog is up and running. It is intended to be a forum to communicate not only association
business and meeting minutes, but also as a place where the members can have ongoing updates and
information about any type of activity happening in the community. It could include anything from what's
going on with the weather, to wildlife sightings, to issues with the road or whatever comes up. Pictures can
be posted as well. All members are encouraged to be a part of any conversation that occurs. The intention is
to keep it accessible to any level of computer skill. No one is required to use the site and any official
association business will continue to be sent by email or paper mail if requested. It can be accessed by going

9. The voting for officers took place and it was decided that Terry Carleton will continue as President and
Jill Howell as secretary and treasurer. (Note: When there is no quorum, all elected officers remain the same.
So there is no discrepancy with the technically unofficial vote.)
10. The next scheduled meeting will be the Annual meeting. at 10 am on Saturday, September 26, 2015. The
meeting location is to be announced. A notice will be sent two weeks in advance of the meeting.
11. The meeting was declared adjourned at 10:45 a.m.
