Assignment 2
Due to the clients recent period of expansion they have carefully
considered carrying out maintenance wand installation of software to
ensure that they are able to utilise new features to keep up with the ever
evolving world of software and customer needs. The company currently
uses old versions of open office and inks cape as well as having Windows
XP installed within their work stations. Inks cape is a free and opensource vector graphics editor. The software may be free and run
successfully with windows but can tend to be very slow on larger cave
files. Leading this to be a disadvantage of the usage of the software.
Another disadvantage of inks scape is the complexity of the software for
beginners compared to the likes of kolour paint which is simple for
beginners to photo editing software (but only with standard bitmap
images)
The requirements start with the update From Windows XP to Windows 7,
as well as the update of windows the customer has also requested the
update of open office to run alongside the new windows update. As there
final request the client has asked for a backup of any data before
installation.
Customisation
The customisation features that the customer has required are for each
desktop to have their pre-made logo displayed. As well as this a creation
of a menu in Open Office with frequently used features included. As well
for setting such as the ability to Alter the power settings in Windows so
the computer locks a period of inactivity. I will produce the logo through
the use of inscape software. The creation of the menu through the use of
open office. To change the background of the desktop I will have to go
into settings, background and then insert the image after this step it
would display customization options leading to the user to design a
unique desktop background.

Refinements
The customer would like a redefined customer records so the system is
user friendly form so their customer details are to be entered into a data
base system using system access to ensure all records are standardised

Resources
Due to the business running day to day operations the time scale for the
update has been allocated to one day leading to there being the less
disruption within the business. Leading to them having a small budget to
the size of the business being so small. But with this in mind the customer
has allocated a sufficient amount of money to cover the costs of the
upgrade of the system and the purchase of the required licenses.

Constraints
The customer has identified the constraints to be Time as the first
constraint due to the day to day operations of the business being key at
this stage due to the business only being small of which they cant lose
their customers. Money comes as a constraint from this due to it costing
the business every hour business is not being done. Due to the money
constraint the full business is not able to completely shut leading to the
updates to be made around colleagues working without distraction.

Due to the specification of the computer this will limit the desktop on
features and specification of which may be installed within the device.
1. Check system is compatible with software. Leading to specs of the
computer/device needing to be checked for added compatibility to
assure the software will run smoothly and to achieve respectful
working speeds.
2. Check for a suitable install media, so whether you need to install on to
a hard drive or alternatively on to an usb to then transfer the update
onto the device.
3. Gather resources
i. Software/media-windows 7 software, Inks scape, open office.
ii. Computer system-For a backup of any data before installation
is complete this is so the system is able to be revived if the
update goes wrong. Background of each desktop to have their
pre-made logo displayed.
iii. Software license key-A software license key consists of
numbers and letters. These license keys are given to license
paying customers/businesses to activate there software.
iv. Installation guides-Consists of step by step method of
installation and use of the software.

After I have completed these steps I will complete after tests to confirm
the software is running successfully with my computer. I will only be
completing this test within one of the computers due to testing each
individual computer taking too long.

Alternatives
Open office and notepad are alternatives to Windows office ,the
differences between these software are suttle in ways such as added and
lost features as such as the main advantage of the alternatives are the
price which are free compared to windows office which has a price
depending on usage. Windows office software is made up off applications
and servers which give the ability to access your files from a various range
of devices which may appeal to a business due to them doing a lot of
travelling. But due to notepad being a standalone product there a rarely
any updates leading to the software being outdated quit easily. WordPad,
Adobe Photoshop, and gimp work as the alternatives to Inscape with
them also having added and lost features is able to but with this software
inscape is free compared to the likes of Photoshop which can be a bit
pricey depending on version. So in this argument inscape and gimp win
on price but adobe Photoshop wins due to its vast larger amount of
software features compared to the competitive software. Photoshop
gives the user an easy layout of buttons and options with additional
updates regularly added to improve the use and reduce problems. Aswell
as this Photoshop is highly compatible over a wide range of devices and
systems such as Microsoft and Mac Os. Mac Os advantages include the
reliability of the software with it being tested over each device for
compatibility as well as security which apple devices are known for having
which adds to the reliability of the software due to it always being
protected on and off line. With the Mac Os system you have the choice to
run Xp or vista concurrently with Mac Os to give you the option. Mac Os
offers an ease of use with a simple display which appeals to all walk of life
due to most people spending on average 8 hours looking at their mobile
devices screen.

Justification
Conclusion, when looking through the client brief I was able to highlight
key points such as requirements and requests due to me doing this I am
able to priorities key features which gives me an idea on time needed to

complete. I had to prioritise features due to the maintenance being

scheduled either within the hours of business or within the hours of nonbusiness leading to time and efficiency being needed with some spare
time for any inconveniences such as software being unsuccessfully
installed leading to corrupt computer usage. With this in mind the
computer systems and software should be successfully backed up just in
case the system needs a full restore to original usage.
There were many alternatives I could have chosen from but I have decide
to stick with the clients. I have chosen to stick with ink space due to the
software being highly supported by companies leading to the software
ever being improved due to bugs and gaps being filled in, producing a
more efficient software. As well as this inscape is common to a daily user
of a computer due to it being so widely used due to it being free
compared to the likes of Photoshop charging a yearly price as well as a
purchase being needed for any updates compared to inscape needing no
purchase for updates. Due to inscape being so widely used this leads to
the software being suitable for a business just on the basis that if
problems occur within the system they can be easily accessed. The
update from windows xp to windows 7 is the logical choice due to great
improvements of security and features within the program. As well as the
update in features and security the user will now have an operating
system which is supported due to it being so recent in the line of updates.
Microsoft office set the standard in visual aspect and functionality of the
product which incidentally led it to be leading against its competitors
which followed on by styling to a similar aspect to appeal to a wider range
of people looking for a windows like package but not at that price leading
to open source software. Microsoft word is a product only available at a
price due to the software containing all elements of which a business will
need.
