The maintenance of a desired level of quality in a service or product, especially by means
of attention to every stage of the process of delivery or production

WBS is a hierarchical and incremental decomposition of the project into phases,
deliverables and work packages. It is a tree structure, which shows a subdivision of effort
required to achieve an objective; for example a program, project, and contract.

The extent of the area or subject matter that something deals with or to which it is relevant.
4.15 Sponsor
A person or organization that pays for or contributes to the costs involved in staging a
sporting or artistic event in return for advertising.

5 PROPOSAL
5.1

Motivations

Now these days students of 7th semester of furc are doing our final year project. this is the core
course or part of their degree and which should be completed in the given time period and the
students waste their a lot of time to just visit the teacher offices to check when the teachers are
free that they can meet teachers and discuss their final year project. students has tu also see the
time table because in the early phase time table is changes many time so the list infront of door
of the teachers cannot be updated so fast In which they are feeling great difficulty to contact
with our teachers and our section coordinators and this will help us to resolve this issue and we
can get related information about them and their free hours.by just visiting website. This system
should be automated because it facilitates the students and teachers too.

5.2 Background
As we know there are many automated systems are designed for educational institutes for many
purposes like CMS system and automated time table generator.that students can get any type of
information from the cms system about his/her attendance,results,notifications etc and it also
helps the teachers too get information about any students they have not to write their manually
tasks which also save the time and made management easy for teachers and students.type of

software used in educational institutes are also automated entry test which also help the institute
and the students and teacher they have not to check the bundle of papers. Other official websites
for universities like www.fui.edu.pk .where u can get major notifications of university that when
will the admissions open?? This more helps the externals not the teachers and students but what
I felt that the system which give ease to students and teacheres should also included to facilitate
students doing their final year project. Other students can also get help from there. If they want
to know about any teacher its knowledge or its profile.

at the time.The system which I am going to propose that will help the students of the final year
project and mainly coordinators and the teachers give ease to students and teacheres included to
facilitate students doing their final year project. Other students can also get help from there. If

or time table.it will be a website on from students can check data at their home also .their will be

Statement Of Problem

Our system will do the following tasks.

3. student get latest notifications from coordinators here. On main page.
4. coordinators and students can see the all project approved with their respective
group members.
5. coordinators can get email addresses of students.
6. students can see the projects done by coordinators or type of projects coordinators
can supervise.
7. students can see the complete profile of a coordinator

Application

This application will be a website on which this communication barrier will be removed.
There will be main page on the website on which about university and notifications are given.on
the upper side there will be tabs further for students on which they can select their relative option
to get their information.by clicking on these tabs a new link will be opened.and which contain a
new page so I use mostly the page navigation and the tool I will prefer will be adobe
dreamweaver and the wamp server.and the language which can be used are html,javascript and
PHP.so by clicking on the relavant option and sliding page by page this will become a whole
website which will serve teachers and students.

As we are making this project for our university so HOD of FURC has assigned Aqib Hussain as
a manager of project and manager has also seen the cost of this project.

The proposed site must be a valuable asset for FURC Consulting. The Project Management
Office manager must lead the effort, and the project team must include participants from several
parts of the company, as well as current client organizations. The new system must run on
existing hardware and software, and it should require minimal technical support. It must be
easily accessible by stakeholders.

7 INITIATION TASKS:
In project management, initiating includes recognizing and starting a new project.An
organization should put considerable thought into project selection to ensure that it initiates the
right kinds of projects for the right reasons. It is better to have a moderate or even small amount
of success on an important project than huge success on one that is unimportant. The selection of
projects for initiation, therefore, is crucial, as is the selection of project managers. Ideally,the
project manager would be involved in initiating a project, but often the project manager is
selected after many initiation decisions have already been made.

any teacher its knowledge or its profile.without have to visit their office or time table.it
will be a website on from students can check data at their home also .their will be no log
in to facilitate other junior students also if they want to know any thing regarding
teachers or to know that what type of project are performed by seniors.there shold be
project list also because student dont know at start that which project is going under
which coordinator or is approved or not.it will remove duplicate projects at the
start.grouping issue will also resolved student can see the project with group

17 PROCUREMENT PLAN
17.1 Introduction
This Procurement Management Plan sets the procurement framework for this project. It will
serve as a guide for managing procurement throughout the life of the project and will be updated
as acquisition needs change. This plan identifies and defines the items to be procured, the types
of contracts to be used in support of this project, the contract approval process, and decision
criteria.

The importance of coordinating procurement activities, establishing firm contract

deliverables, and metrics in measuring procurement activities is included. Other items included
in the procurement management plan include:

17.2 Procurement Management Approach
The Project Manager will provide oversight and management for all procurement activities under
this project. The Project Manager will work with the project team to identify all items to be
procured for the successful completion of the project. The Project Management Office (PMO)
will then review the procurement list prior to submitting it to the contracts and purchasing
department.

The contracts and purchasing department will review the procurement items,

determine whether it is advantageous to make or buy the items, and begin the vendor selection,
purchasing and the contracting process.
17.3 Procurement Definition
The purpose of procurement definition is to describe, in specific terms, what items will be
procured and under what conditions. Sometimes items which must be procured for a project can
be made internally by an organization. Additionally, procurement deadlines are usually affected
by the project schedule and are needed by certain times to ensure timely project completion.
This section is where these items must be listed, justified, and the conditions must be set. Any
important technical information should also be included. Individuals may also be listed with
authority to approve purchases in addition to or in the absence of the project manager.

17.4 Type of Contract to be Used


All items and services to be procured for this project will be solicited under firm-fixed price
contracts. The project team will work with the contracts and purchasing department to define the

item types, quantities, services and required delivery dates.

The contracts and purchasing

department will then solicit bids from various vendors in order to procure the items within the
required time frame and at a reasonable cost under the firm fixed price contract once the vendor
is selected. This contract will be awarded with one base year and three option years.
17.5 Procurement Risks
All procurement activities carry some potential for risk which must be managed to ensure project
success. While all risks will be managed in accordance with the projects risk management plan,
there are specific risks which pertain specifically to procurement which must be considered:

Unrealistic schedule and cost expectations for vendors


Manufacturing capacity capabilities of vendors
Conflicts with current contracts and vendor relationships
Configuration management for upgrades and improvements of purchased technology
Potential delays in shipping and impacts on cost and schedule
Questionable past performance for vendors

17.6 Procurement Risk Management


As previously stated, project risks will be managed in accordance with the projects risk
management plan.

However, for risks related specifically to procurement, there must be

additional consideration and involvement.

Project procurement efforts involve external

organizations and potentially affect current and future business relationships as well as internal
supply chain and vendor management operations.

Because of the sensitivity of these

relationships and operations the project team will include the project sponsor and a designated
representative from the contracting department in all project meetings and status reviews.

Additionally, any decisions regarding procurement actions must be approved by the project
sponsor or, in his absence, the Vice President of Contracts before implementation. Any issues
concerning procurement actions or any newly identified risks will immediately be communicated
to the projects contracting department point of contact as well as the project sponsor.

17.7 Procurement Constraints


There are several constraints that must be considered as part of the projects procurement
management plan. These constraints will be included in the RFP and communicated to all
vendors in order to determine their ability to operate within these constraints. These constraints
apply to several areas which include schedule, cost, scope, resources, and technology:

Schedule
Project schedule is not flexible and the procurement activities, contract administration, and
contract fulfillment must be completed within the established project schedule.

Cost
Project budget has contingency and management reserves built in; however, these reserves may
not be applied to procurement activities. Reserves are only to be used in the event of an
approved change in project scope or at managements discretion.
All procurement activities and contract awards must support the approved project scope
statement. Any procurement activities or contract awards which specify work which is not in
direct support of the projects scope statement will be considered out of scope and disapproved.

All procurement activities must be performed and managed with current personnel.

additional personnel will be hired or re-allocated to support the procurement activities on this
project.

Parts specifications have already been determined and will be included in the statement of work
as part of the RFP. While proposals may include suggested alternative material or manufacturing

17.8 Decision Criteria
The criteria for the selection and award of procurement contracts under this project will be based
on the following decision criteria:

These criteria will be measured by the contracts review board and/or the Project Manager. The
ultimate decision will be made based on these criteria as well as available resources.
17.9 Vendor Management
The Project Manager is ultimately responsible for managing vendors. In order to ensure the
timely delivery and high quality of products from vendors the Project Manager, or his/her
designee will meet weekly with the contract and purchasing department and each vendor to
discuss the progress for each procured item. The meetings can be in person or by teleconference.
The purpose of these meetings will be to review all documented specifications for each product
as well as to review the quality test findings. This forum will provide an opportunity to review
each items development or the service provided in order to ensure it complies with the
requirements established in the project specifications. It also serves as an opportunity to ask
questions or modify contracts or requirements ahead of time in order to prevent delays in
delivery and schedule. The Project Manager will be responsible for scheduling this meeting on a
weekly basis until all items are delivered and are determined to be acceptable.

What`s going well and why?
The site construction started well and the design is very clear and easy to follow.
What`s not going well and why?
It is difficult to decide that which type or gui I use beacause in these days there are lot of
templates with different functionality.
Suggestions/issues:
Hold a special meeting to decide how to organize the templates and examples on the internet site.
Project changes:
We are doing our project according to our schedule and still no change is committed.
