Function Reservation Contract


For use of the facilities at
Abe Bashara Boathouse

DAMAGES:
The named responsible party is responsible for any damages to the premises by
their guests, agents or independent contractors acting on their behalf before, during
or after the event.
LIABILITY
Greater Lawrence Community Boating Program (GLCBP) will not be responsible for
the loss or damage of any articles left in the building or parking lot before, during
and after the function. Furthermore, Renter shall indemnify and hold GLCBP
harmless from and against any liability for injury, loss, accident, or damage to any
person or property, and from any claims, actions, proceedings and costs in
connection there with, including, without limitation, attorneys fees, arising out of
any omission, fault, negligence or other misconduct of responsible party, its agents,
employees, invitees, guests, or persons for whom it may be legally responsible,
arising from any use made or thing done or not done or occurring in or about the
premises or the property.
PARKING
Parking is located in the adjacent lot to the right of the boat ramp and is limited to
the gravel lot
reserved for parking. No event parking is allowed on Eaton St. No event parking is
allowed on the area immediately adjacent to and surrounding the entrance ramp to
the building.

PAYMENT
The rental charge for the above event is: _______Payment schedule is as follows:
Security Deposit in the amount of _ $75 _ will be due upon execution of this
contract.
Final Payment in the amount of _ ______ will be due on ____________ (at least 7 days
prior to the event).
RESERVATIONS, FEES, DEPOSITS & REFUNDS
Reservations may be placed on a tentative hold for 5 days. Reservations are
confirmed only when all fees and deposits are paid in full and received in
conjunction with the Contract. The responsible party will then receive a confirmation
letter or email confirmation.
A Security Deposit is applicable for all events at the discretion of GLCBP. Complete
event information must be received at least 30 days prior to the event date.
Refunds are processed within 24 hours of the conclusion of the function for the
refundable security deposit amount, less any additional clean up, damage or

additional charges if applicable. If damages occur beyond the scope of fees and
deposits paid, the responsible party will be charged accordingly.

CANCELLATIONS
If the reservation is cancelled by the responsible party more then 7 days prior to the
event, only The deposit will not be refunded. If the reservation is cancelled by the
responsible party inside one week (7 days) of event, only the deposit only will be
refunded.
SET UP AND DECORATIONS
GLCBP does not provide set up, teardown or event coordination service. Set up
times must be strictly adhered to according to agreements made with contracted
vendors and as listed on this Contract. Birdseed, rice, glitter, confetti, flower petals
or similar materials may not be thrown or scattered anywhere in the building.
Helium filled balloons, fog and bubble machines, tiki torches, and fireworks are
strictly prohibited. Any candles used indoors must be drip less and used in a
common sense manner as to avoid any harm to the property, furnishings, etc. All
decorations, signs and related event materials must be removed from the premises
at the end of the function.
CATERING
All outside caterers, vendors, equipment companies and all other contractors must
be licensed and insured. GLCBP does not have a commercial kitchen available.
GLCBP has an outdoor gas available upon request. The caterer will be responsible
for cleaning any areas used in the function room or exterior ground used prior to
leaving or be billed for cleaning services.
ALCOHOL
All alcoholic beverages must be served by a licensed bartender who must provide
GLCBP with written proof of license and liability coverage prior to the event. A police
detail is also required at additional expense.
INSURANCE
All outside caterers, vendors, equipment companies and all other contractors must
be approved no later than thirty (30) days prior to the event and must be licensed
and insured. All vendors shall maintain a comprehensive public liability insurance
applying to the activities of responsible party and the vendor in connection with the
event at the address listed above, with limits of liability of not less than One Million
($1,000,000) Dollars for injury to or death of a single person, One Million
($1,000,000) Dollars per occurrence; Two Million ($2,000,000) Dollars in the
aggregate, and One Million ($1,000,000) Dollars for property damage, as well as
satisfactory Workmens Compensation coverage and Liquor Liability Coverage if
applicable. Such vendors must furnish GLCBP with a certificate of such insurance
which shall name GLCBP as an additional insured.
CODE OF CONDUCT

The responsible party will ensure that all guests adhere to Federal and state laws
before, during or after the event. The staff of GLCBP reserves the authority to eject
or cause to be ejected from the premises any person it deems necessary for lewd or
indecent actions, fighting, intoxication, loud or abusive language, or other conduct
that is offensive, disruptive or otherwise objectionable. GLCBP reserves the right to
determine if the event should be terminated at any time.
TEARDOWN, CLEAN UP, AND REMOVAL OF TRASH
Clean up must occur immediately following the event and must be completed within
the specified rental time reserved. Renters are responsible for all trash removal from
restrooms and any trash generated from the event. The trash dumpster is located
near the entryway to the main parking lot. All trash must be bagged and deposited
in the outside dumpsters at the end of the event. Failure to properly dispose of trash
in this manner will result in withholding all or a portion of the security deposit.
STORAGE
No overnight storage is permitted. Limited same day storage is available in certain
area at an additional cost. Rental equipment should be picked up immediately
following the event in certain areas and the following day by prior arrangements
only. GLCBP is not responsible for food, beverages, audio/visual equipment or other
property left on the premises before or after events.
SMOKING
Smoking is strictly prohibited inside the property and near entrances.
SIGNATURES

The signatory below is at least 21 years of age and accepts legal liability for
any damage to or theft of GLCBP, and/ or for any injury to any person or
persons who attend the event at the facility described below. The signatory
also accepts legal responsibility for maintaining order at the facility before,
during and after the event and cleaning of the event space after the event.
Signatory must comply with all applicable rules of GLCBP and all municipal,
state and federal codes and regulations. Please note that this contract is not
binding without the signatures below of both parties. I hereby understand
and acknowledge the statement above and have fully read and understand
that room rental agreement as set forth in this document.
