WHAT IS A BUSINESS LETTER?

o A business letter is a letter written in


formal language

o Usually used when writing from one


business organization to another or for
correspondence between such
organizations and their customer.

o Routine Business Letters are those through


which we conduct everyday business and
convey goodwill to outsiders.
o Routine letters to outsiders(customers)

encourage product feedback, project a


favorable company image and promote
future business.

GOOD ROUTINE LETTERS
 Clear Content
Clear letters feature short sentences and
paragraphs, transitional expressions, familiar
words.

 Correct Form
Appropriate letter formats send silent but
positive messages
USING THE DIRECT
PATTERN FOR ROUTINE
LETTERS
Routine letters can be organized into three
parts:

1.Opening : a statement that announces the


purpose immediately.

. Everyday business messages “frontload”


by presenting the main idea or purpose
immediately
2.Body: details that explain the purpose for
writing, perhaps using graphic devices if
necessary to highlight important ideas.

3.Closing: a request for action or a


courteous conclusion. In requests, we tell
what action we want.
