PURPOSE The purpose of this procedure is to provide a system for conducting Internal Audits to determine whether activities and related results comply with planned arrangements and to effectively implemented at all EKL offices /Works and sites.

SCOPE This is a company wide procedure and applies to all activities comprising the Quality Management System at EKL.

MR is responsible to perform all audit management functions to ensure that audit activities at EKL are performed as per requirements of ISO 9001:2008 clause 8.2.2. The concerned Incharge responds to audit findings and take timely corrective actions. EKL Executive Management reviews the effectiveness of the quality system by considering the results of the internal quality audits. MR is the procedure owner for this procedure.

PROCEDURE 6.1 Audit Management The responsibilities of MR for audit management include; 6.1.1 Planning and scheduling of internal audit and initiating audits. 6.1.2 Nominating suitably qualified and trained auditors for specific audits. 6.1.3 Maintaining audit records and reporting of audit results to Top Management for review.

6.2 Audit Team and its Training

6.2.1 Personnel assigned to carry out internal audits are independent of those having direct responsibilities for the audited activity i.e. an auditor cannot audit his own work. 6.2.2 Internal auditors are considered suitable for auditing after having at least two days of formal classroom training. The content of this training will include (at a minimum), background information on ISO Standards and auditing techniques. 6.2.3 However an auditor who has conducted three audits with lead/qualified auditor shall also be considered as a trained auditor. 6.2.4 Records of Auditors training are kept, as defined at EKL-HR-P-01. 6.3 Audit Planning 6.3.1 The Management Representative is responsible for planning and scheduling the internal quality audits. The audit plan is approved by the Managing Director. 6.3.2 Audits are scheduled on the basis of status and importance of processes, areas to be audited, as well as results of previous audits. 6.3.3 Each main activity comprising the quality system is audited at least once every year. 6.3.4 The audit plan lists all departments / sections of EKL and assigns an audit date and auditors to each activity / department. 6.3.5 Audit Plan is maintained on EKL-QA-F-0701, and kept as a record by MR. 6.4 Conducting the Audit 6.4.1 The Auditor nominated for an audit contacts the Incharge/Manager responsible for the area being audited at least 2 days in advance of the proposed audit date. The concerned manager responds with a confirmation, or proposes an alternate date. 6.4.2 The MR briefs the auditors about procedures, criteria and audit scope. 6.4.3 While conducting an audit, the auditors seek objective evidence, demonstrating whether the audited activities comply with the requirements of the documented quality system. When noncompliance is noted, it is brought to the attention of and discussed with the concerned Incharge. 6.4.4 Each non-compliance noted during the day is documented on the Non-Conformance Report, EKL-QA-F-0301. 6.4.5 Auditors hand over copies of NCRs to the concerned Incharge/Manager, who takes the necessary corrective action, in

6.4.6 Auditor prepares an Audit Report (showing results of the audits), using EKL-QA-F-0702, and forwards it to MR and all concerned departments. 6.5 Corrective Action and Follow-up Audit 6.5.1 Upon receiving the NCR, the concerned Incharge investigates the cause of the problem noted as non-compliance, records the results of investigation, proposes the corrective action, and indicates the date by which it will be fully implemented. 6.5.2 Immediately after the due date for implementation of the corrective action, the auditor follows up with a follow-up audit to determine if the corrective action has been implemented and if it is effective. When there is objective evidence that the corrective action is effective, the NCR is closed out. 6.5.3 If more work is needed to fully implement the corrective action, a new follow up date is agreed upon. 6.6 Management Review Management Representative prepares the results of audit on form EKL-QA-F-0703 and presents to companys top management for review during the management review meetings. Top management reviews the audit results for Quality Management System effectiveness. 7. RECORDS
