Notice of meeting was given in writing in Jan. newsletter, and posted on Saturday.

Document list:
- Sign in sheet
- Agenda
- Transaction by vendor list
- Trial balance
- A/R Aging summary
- Armstrong estimate

Officers report:
DS is unable to get all of the bonafides from Jacky Dancy.
- missing, wrong, or out dated information
- Molly Maids will be coming out to clean prior to the annual meeting, for $120.00

Treasurers report:
See the attached documents. After discussion, nobody had any question.

Committee reports
Tree committee
- the three year tree is coming up
- Armstrong has presented an estimate
- BG moves to accept it, LR seconds, AIF
- Mulch rings are needed around our 2 new Oak trees, Gloria will ask AA if they
will put them in place
- Gloria also noted garbage thrown off of the back porches of some of the units
along Tharpe

Lighting committee
- we received 2 bills from RC Electric
- - $117.91 for repair of floodlights on clubhouse
- - $350.00 for repair of pole lights in front of units: 101, 102, 511, 210, and by the
pool
- LR spoke to Anthony Williams from the City concerning the garbage area light
pole installation (694-8191). Mr. Williams said we are on the list to have one put
in. We’re number 40.

Sidewalk maintenance
- Curtis White gave an estimate for side walk replacement of $8.16 per square foot,
1475 sq ft, and $12000.
- Details include putting the concrete 8” deep where tree roots may crack it (4”
where they’re not an issue), using hand equipment instead of backhoes to remove
debris, and repairing the crushed curb in front of clubhouse.
- BG moves to go ahead with Mr. Whites estimate, JC seconds, AIF

Handbook committee requests a deferment of one month due to too much on the plate
getting ready for annual meeting.

Old Business
A. Report on implementation of Dr. Leo Rotan’s Management by .
Committee proposal

Leo Rotans’ management proposal is deferred to next meeting.

B. Consideration of electrician’s assessment of safety of temporary fix of

Common electrical element near Unit 312 and need for additional .
Maintenance for which the Association is responsible.

Gloria Rotan met with electricians who looked at 312’s repair and said it looked okay.

Fancy spoke with an electrician doing work on 111 a couple of weeks ago, doesn’t
remember their name. Says Steve Vancorte might know. This bears following up because
the Tamper evident lock was never put back on by the city

C. Consideration of effort to secure an engineer’s recommendation for

construction of a French drain between the 400 and 500 block buildings

This is still under evaluation

D. Consideration of contracting with Jackie Dancy to clean clubhouse

on a regular basis. Beginning with comprehensive cleaning prior to annual
. Membership meeting.

This was addressed earlier.

E. Consider removal or replacement of storage yard fence.

BG moves to reposition the fence so that it covers the chain link area of the storage yard,
remove unusable sections of wooden fence, and use existing landscaping. The purpose of
this is to eliminate a potential crime area and get rid of a “catch all” that accumulates
junk. LR seconds, DS opposes, 3 in favor.

New business

A. Consideration of contracting with Lowe’s for storage room door

replacement throughout the Association where needed.

Per Phyllis’s’ research:

- Lowe’s will install 8 doors for $4700.
- Jett Builders will install a better quality door (6 sides being metal rather than only
2 sides), for significantly less money. He has given an estimate to that effect
- BG moves to contract with Jett to replace doors (8), paint the doors, and replace
the locksets as necessary, as phase 1 of door replacement. JC seconds, AIF

B. Consideration of other preparations for annual membership meeting.

- BG moves to hire Molly Maids to clean clubhouse for $120, plus additional
charge to buff the floor. LR seconds,AIF
- BG moves to buy 4 umbrellas and one table at sale price for the pool area. LR
seconds, AIF
- 3:00 Saturday is scheduled for clubhouse set up time

C. Board after-the-fact approval of emergency approval of locating and.

repairing of underground pipe water leak adjacent to Unit 101.

- BG moves to reimburse DS $1600 he paid to Bennett, as well as $95 when he

finds the receipt. Also moves to pay American Leak Detection the $1600 owed
them. LR seconds,AIF.

D. Board response to Steven Vancore’s recent maintenance request

- We need a copy of his WDO report from when he originally obtained his unit if it
exists
- BG moves to ask for a 30 day extension in order to better respond to his request.
JC seconds,AIF
E. Consider authorizing Jeff to clean out storage shed and build shelves,
or hire someone to do it.

- tabled until after annual meeting

F. Consider engagement of a CPA for review of financial statements

- BG moves to have CPA firm do the review for $4500.JC seconds,AIF

G. Consider termination of 407 deck contracts and consideration of new

contractor.

- Because the original contractor has returned the up front money already, the
contract is terminated. For the record, the contractor shouldn’t be held totally to
blame as a previous business arrangement went sour. He was up front with us
when he found out something was wrong and returned the deposit when it was
apparent he couldn’t do the work,
- Jett offered an estimate for $11860 plus $400 for a city engineering plan.
- BG moves to hire Jett at the proposed price and our specifications. LR seconds,
AIF

H. consider hiring someone to pressure wash the pool area and furniture
prior to meeting.

- BG moves to hire Cheney to do the pool area for $350. They did it in 2007.JC
seconds.AIF

I. Consider purchase of 2 umbrellas at $95 a piece to replace the broken

ones.

- already been addressed

Additional:
- LR moves to have Jett get started on the hazardous items on the repair list. DS
seconds, AIF
