CHAPTER I: THE PROBLEM AND ITS BACKGROUND Introduction Computer is an electronic device capable of accepting and processing data to produce useful and meaningful information. It can also process data at a very fast speed with almost perfect accuracy. Information system aids the problem in all our questions in everything around us by using the internet. It is also a one way of developing business in a way that they use computer in getting touch and giving satisfaction to them. Student information system has been designed for the purpose of storing and maintaining records of the students of an organization. This software systems enable educational institutions to supervise studentrelated activities such as keeping records of tests or examinations conducted, attendance, appraisal on performance including details of marks scored, particulars of everyday school attendance, and all other institution-related activities; in short, they provide a complete student records system. They are designed with diverse application potentials ranging from simple management of students records at school to management of all student-related functions as well as administrative functions of a university or a chain of educational establishments. Student information systems are commonly referred as SIS. Its objective was to take Student Information and create more user friendly interface for tracking students information and reporting on the information. It also increases the functional efficiency of an institution and improves timely decision-making processes at all levels. It provides capabilities for entering student data as well as managing many other student-related needs within the Institution University. A Student Information System is a big help to the institutions, particularly schools, colleges and universities use to manage data regarding the personal and contact details of the student, including their description, studies, current accommodation. Its a benefit to the school because all data stored about the students are secured. This system is designed for a quick and easy access of information. It lessens time and effort in processing information. Keeping and retrieving information of student record is one of the hardest tasking especially if the person uses the manual system. The proposed system is the system of records to generate instant information for particular transaction. Being a researcher we would like to implement a system that can change the manual manipulation of inputting the records of the students in the organization so that the processing will be more accurate.

Statement of the Problem The researcher came up with a study to design and develop a Student Information in the College of Veterinary Medicine that will provide an effective and efficient service to their college. Some of the problems they have encountered are; they dont have a specific number of students in every class, they dont have a system which is responsible in compiling important details about the students and they dont have electronic grade book in their office. Hence, it is sought to answer the following. 1. How to specify a number of students in every class? 2. How to develop a system that secures the records of the students? 3. How to implement a system which is responsible in compiling important details 4. How to upgrade the system of keeping student records and grades in their college? about the students?

Research Objectives General Objective: 1. To lessen the document produced during the accomplishing of the students profile. 2. To introduce application software that will store and retrieve information at very fast speed. Specific Objective: 1. To organize record keeping of the students Profile . 2. To lessen the time of processing and inputting the needed information of the students.

Significance of the Study To the Student This study would provide importance for the students to easily track their records especially their personal files in their department. It is more accurate for them to use this system so that their files would be secured. To the Department/Secretary The study will also help the department who is in charge to the preparation of reports. The system will save all the important files. This will also help them to save time in gathering reports.

To the Researchers Through this study, the researchers will become good or efficient in developing and designing the system. This helps us to apply all the knowledge that have been taught and learned for the past years in studying and as being information technology student.

Scope and Delimitation The study covered or presented the existing manual Student Information System and the analysis of the Student Information in the College of Veterinary Medicine. This system studied how to plan, control, and operate the flow of their existing system. It aimed to investigate and study whether the manual system can be improved by identifying problem areas. Definition of Terms System: It is the integration of all units it refers to the analysis of corporate policies, procedures, forms and equipment in order to simplify and standardize office cooperation. It is a collection of components that work together to realize some objective. Student: A person who studies or investigates a particular subject, a person who is enrolled for study at a school, college or university. Information: It is something told or facts learned, a data stored in or retrieved from a computer. Access Level: is a restriction of entry to a computer system to particular users. Database: is systemically arranged collection of computer data, structured so that it can be automatically retrieved or manipulated. Data Flow Diagram (DFD): is used as a system modelling tool that shows the flow and logic of data within the system. Database Management Systems (DBMS): is a software application that is used to create, maintain and provide controlled access to user database. Dialog Box/ Message Box: is a small rectangular window displayed on a computer screen that conveys information to or require a response from the user. Entity Relationship Diagram (ERD): graphical representation of the flow of the data and information in the system. Input: data entered into a computer for processing. Output: a creative intellectual work produced by somebody, the goods and services produced by an organization. Password: secret word/phrase that somebody must use to gain entry to a place,. It is a sequence of characters that must be keyed to gain access to a part of computer system or program.

Process: use for computer program to work data in some way. Proposed System: a suggested system presented for acceptance or rejection. Table: an arrangement of information or data into columns and rows, or a condense list. Username: a unique identifier composed of alpha numeric characters, used as means of identification to gain access to a computer system. User Friendly: as a feature of the system, means it is easy and simple to use. Student Information System (SIS): a kind of system wherein the process of the students registration in the school where it is systematic and precise by the use of the computer. Chapter II: Review of Related Literature and Studies Related Literature and Studies Notably, student information system or SIS incurs such application software designed for educational establishments to manage student data. Student information systems provide capabilities for entering student test and other assessment scores, building student schedules, tracking student attendance as well as managing many other student-related data needs within the institution university. Thus, many of these systems applied in the Philippines can be scaled to different levels of activity and can be configured by their home institutions to meet local needs. Moreover, before universities have created their own bespoke student record systems, but with growing complexity in the business of educational establishments, organizations now choose to buy customizable within the shelf software. It can be that, modern student information systems are usually server-based, with the application residing on central computer server and are being accessed by client applications at various places within and even outside the school. During the year 1990s, student information systems have been changing and are fast adopted through the presence of a web medium as a channel for accessing SIS without any hassle upon viewing student details and information. Ideally, educational institutions are under constant pressure to demonstrate both willingness and capacity to incorporate the latest developments in student information systems along with communications technology supporting various teaching ways. As Liao et al., (2007) asserts that SIS process within such technological sophistication does create precise knowledge edge, that such SIS application can be appealing to students and to the academic faculty as well as the parents. Thus, believing that technology is the repository of the bulk of the information that underpins societys major enterprises and concerns and the medium of communication through which SIS interact with one another.

Furthermore, SIS is transforming educational tactics understandings and school practices in relation to system information and to be able to assist better communication ground through SIS execution, as found within the heart of learning mechanisms (Liao et al., 2007). SIS as of today is changing what people is learning upon such as with the burgeoning of the Internet, the control exercised in the past by the Philippines from various departments of education and by individual teachers over pedagogical content may have diminished significantly. Through this new informative medium, resources of varying quality and provenance on virtually diverse subject matter are now available to the students. The amount of material available from unaccredited sources is cause of considerable concern to many educators, brought up them into a more integrated student information system such as those found and applied in the University of the Philippines as well as those within the grounds of Ateneo Integrated school wherein SIS processes of were truly understood and realized by the institutions education system. Even within academic disciplines there has already been a shift in the importance accorded to the traditional forms of published knowledge, refereed and refined through well accepted but often painfully attenuated process. In such cases there has been movement towards the more rapid electronic dissemination of findings and opinions albeit in a less polished form, depending more on the judgment of the individual reader than on the processes of SIS effectiveness as implied for validation and verification of student resources (Fyffe and Walter, 2005). The strong implication for education is that skills in effective online searching should occupy more value and more important place within the education curriculum at all levels wherein the adaptation of SIS is most valued for academe effectiveness. From the perspective of the individual student, SIS incorporates enormously increased potential for representing and manipulating information in range of structured education paradigms and strategic study forms as appropriate for a justifiable application of diverse learning styles. Furthermore, the student information systems do provides greater range of ways through which learners can express their knowledge, including the publication of multimedia presentations to the world at large through the Internet. Aside, some of the information system know-how needs that certain students must grapple with inclusion to discovering how to complete comprehensive reviews of the such research studies, learning how to evaluate sources within the context of their projects, and properly citing and including these sources within their theses or dissertations (Perrett, 2004). Then, because the SIS process is typically completed early into students school career and encapsulates each of the facets of knowledge built up and literacy value, including learning what type of SIS is available, finding and accessing system sequence, evaluating tools for the information and then synthesizing the student information system into certain end product for a better career patterns as it

seemed like the ideal project to focus SIS and relate it to ample literacy instruction around. While the students had all performed database searches before, they were less likely to have taken advantage of the search management tools available to them through educational databases, how to set up automatic searches to help streamline the research process (Fyffe and Walter, 2005). Like for example, there discusses the benefits of using such bibliographic management software system in order to help illustrate more sophisticated ways of organizing their research. Before the students came to the workshop, they were asked them to fill out brief preassessment surveys designed to provide acceptable profile details including their year in school, whether or not they were pursuing their college degree and possible departmental affiliation. Thus, pointing towards SIS within the knowledge of education services as utilized that include databases used and whether or not students were familiar with curriculum software packages (Perrett, 2004). Truly, it is crucial for the advancement of informative research within composed disciplines and the continued successful integration of SIS as applied in the Philippine setting with resources to higher education systems determining that certain group of students can acquire and gain effective knowledge literacy skills through the SIS process and understanding the value of education services crafted to provide best teachings as possible (Belle and Boote, 2004). Then, for SIS assumption, there is a need to engage students with academic assessment such as upon helping students start thinking about what they would like to learn with regards to a better research investigation and knowing what the gaps in students understanding might be. Also, encourage the use of SIS in parallel to active learning style which allows students to interact with their classmates and does help the instructor facilitate an enhanced learning experience through SIS application mode and to finally emphasize the value of making student information connection with a subject teacher for instance geared upon for in-depth education success (Ewald, 2006). Chapter III: Methodology of the Study Research Design The researcher used the descriptive design in order to understand the process of Student Information System of College of Veterinary Medicine, CSU Carig Campus. This method describes how the different processes involved and doe in the SIS, which can be a big help in the development of the proposed system. Descriptive method was design that aimed to describe the nature of the situation, as it exists at the time of the body. Locale of the Study This study was conducted at College of Veterinary Medicine, CSU Carig Campus with the permission of the staff and the faculty members. The study focused on the information of the student. Research Instruments The researchers, after they asked permission from the staff college have come with the different method of collecting data and information to formulate more desirable outcome of the research study. The methods used were: Interview It was the most efficient tool in gathering data because there was a direct contact to the person concern for the necessary information needed developing the system. This method was used by the researchers to be able to get accurate data needed in the study. It was conducted to the dean of the College in order to gather sufficient information needed for the study that is being conducted. With this method the researchers would have the smooth flow of discussion with the concern personnel. Net Surfing It is the easiest and fastest way in gathering information. Questionnaires It is a list of written questions related to a particular topic that is intended to be answered by the respondents.

Chapter V: Summary of Findings, Conclusions and Recommendations Summary of Findings This study focused on the possible SIS design process model appropriate for the College of Veterinary Medicine, Cagayan State University. The study aimed at finding the current status of SIS in the College of Veterinary Medicine; the process model that the university is currently using is a manual SIS and designing appropriate model for these processes. The respondents of the study were Deans, Department or Subject Heads, and CVM faculty. A validated and reliability-tested questionnaire was used to gather data to answer the research problems. The data were analyzed through weighted means and rank. In determining the appropriate model for educating institutions, the characteristic of educational institutions was mapped to the existing process models. The processes of designing were matched to the different criteria cited in each process model. It was found out that the student information system of the University ranks in terms of the following: 1. Attainment of the objectives of the SIS 2. Level of awareness of the mechanics of the SIS. 3. Level of competence in the use of the SIS. 4. Degree of seriousness of the problems encountered in the implementation of SIS. Also, it was found out that the following processes needs in designing as a result of the survey and the interview conducted from among the SIS staff and some key personnel in the university. 1. Student-focused processes a. Student Personal information b. Student Identification c. Student Tracking

Conclusions The proposed system could facilitate the easy processing of the system output. This effective and efficient, the system will generate the output or reports by the user. Based on the findings of the study, we researchers conclude that Student Information System has advantage to the College Dean, Secretary, and especially the researchers. Recommendations The study contributes to the better development of the College of Veterinary Medicine, CSU Carig Campus particularly in giving the student information. This system will help the College, Secretary, and Dean in preparing the transactions. It is highly recommended to develop a system to the college that helps them to process the student information easier. It is recommended that it needs more effort and time in processing the records thus, the implementation of the would be process faster.
