Task: What is the role of integration as defined by PMBOK, and what contribution it makes in project management? Why scope management is important and how would you control scope in a project? How do scenarios contribute to the project management? Describe the tools that you would use to collect requirements and generate at least 20 requirements to define scope for a particular project. Describe a test to assess whether 5 requirements had been achieved. Report a) What is the role of integration as defined by PMBOK, and what contribution it makes in project management? Role of Project Integration Is to device processes required to ensure that various elements of the projects are properly coordinated by identifying, defining, combining, unifying activities within the project management process groups. Furthermore, it is to include characteristics of unification, consolidation, articulation, and integrative actions crucial to project completion, managing stakeholder expectations, and meeting requirements. It involves making trade-offs among completing objectives, managing interdependencies between knowledge areas to meet or exceed stakeholder needs and expectations Its all about understanding the project complexity and formulating the project execution strategies by integrating resources spectrum to deliver the outcome. It involves bringing together many different plans, activities, and team members into a cohesive project. The project manager often serves as the binding element to hold the project together and to be successful, the project manager normally tie together and integrate the following, (1) Project Charter (2) Project Scope (3) Project Management Plan (4) Executing Process (5) Monitor and Control Process (6) Integrate Change Control (7) Project Close. This is often the challenge in project management and strong project management leaders excel in integration by bringing it all together. Project Integration Contribution to Project Management Its contribution to project management are evident by having enterprise environmental factors and organisation process as an input and ensure the development of the following processes: Project Charter Project Plan Project Plan Execution Integrated Change Control

Monitor and Control Project Work Close Project or Phase

Finally, important input of project integration is prioritising and delegating to team based on their expertise to be successful in its project execution capability. b) Why scope management is important and how would you control scope in a project? WHY: 1. Project scope management is important because it ensures that all the required work and only the required work is performed to complete the project successfully. This is critical and is accomplished by defining and controlling what is included in the project and what is not. Project Scope Management includes the following (1) Requirements Collection (2) Scope Definition (3) Creation of the Work Breakdown Structure (WBS) (4) Scope Verification (5) Control Scope. 2. The integrity of the projects products and their requirements or features meeting stakeholders requirements can be realised within the constraints of resources anticipated to be applied. 3. If requirements are not completely defined and described and if there is no effective change control in a project, scope or requirements creep may ensue. This will subsequently incur additional cost and demand additional resource requirements to complete the project. It is generally considered a risk or negative occurrence to be avoided as it often results in cost overrun. 4. Typically, scope increase consists of either new product or new features of already approved product designs without corresponding increase in resources, schedule or budget. As a result, the project team risks drifting away from its original purpose and scope on unplanned additions, and also because of ones tendency to focus on only one dimension of the project. Therefore, scope creep can also result in a project team overrunning its original budget and schedule. As the scope of a project grows, more tasks must be completed at the same time and cost frame as original series of project tasks. Hence, project scope management is important for the overall project success. HOW: Scope of the project must be properly defined and controlled throughout each phases of execution to avoid scope creep. This is best achieved through Initiation Scope Planning Scope Definition Scope Verification Scope Change Control. Project scope must be defined and managed properly as it influences the projects overall success.

Scope is bound to change and this is to be expected and managed. As the details become clearer, more complications creep in. These are not foreseeable at the start and hopefully we build in a contingency for what we cannot see. It is important to understand that each project requires a careful balance of tools, data sources, methodologies, processes and procedures, and other factors to ensure that the effort expended on scoping activities is commensurate with the projects size, complexity, and importance. Hence, Change Management System documents shall be used to control what is in and out of the scope of the project. Items deemed out of the scope shall go directly through the change control process and shall not be automatically added to the project work items. Furthermore, project scope must be controlled through Scope Planning where Project Justification, Major Deliverables and Project Objectives shall be documented and project performance shall be checked against these criteria to determine if the project or phase has been completed successfully. In summary, Control Scope is a key process in scope management where it control changes to the project scope which only the approved changes to the scope should be implemented. c) How do scenarios contribute to the project management? Scope Creep In instances where scope are not defined and described properly, scope creep is inevitable and can impact on overall project costs and resource schedule. Such scenario is a risk and can have adverse effects and ultimately affect project success. Project managers are often challenged with such phenomenon and would require them to revisit contract terms to handle accordingly. Contract terms normally have provisions for such occurrence which spell clearly how it shall be managed between parties concerned harmoniously. Its negative contribution to project management is interrupting client-contractor relationships. Variation Issues Scope creep is normally termed as variations in contract terms and implementation contractors often issue cost variation against scope creep. This in turn can impact project budget and demand clients to source additional fianc to complete the project. If the client is unable to source additional funds, then the cost of variations can apply a financial strain on project budget for projects which initially fail to properly define scope and provide detail description.

d) Describe the tools that you would use to collect requirements and generate at least 20 requirements to define scope for a particular project. Describe a test to assess whether 5 requirements had been achieved. Project Title: Design and Construction of Jetty Daru Wharf (Papua New Guinea) Phase 1.0 Design Functionality Features

The features of the design facility govern the scope. Hence, several project meetings will be held with the project stakeholders to finalise the project product functionality features. Design Life 50 years Design to AS Standards Design of Wharf head to withstand 50 tonnes maximum loads Field Investigation & Data Collection

Phase 2.0

The data required to perform the design will be investigate and collected on project site under these respective heading. This will require actual travel to site to ascertain the projects requirements and collect field data necessary to help furnish the design. Coastline and Tide Studies Geotechnical Investigation Assessment of availability of local construction materials Environmental Impact Assessment (EIA) Digital Terrain Modelling (DTM) - Survey Design and Documentation

Phase 3.0

Scope requirements of design and documentation are critical to deliver the design functionality and will be derived from project stakeholders technical design requirements. Design Calculations using commercial structural analysis software (Preliminary Analysis) Finite Element Analysis and Modelling (Advance Analysis) Design Drafting using AutoCAD Technical Specification Documentation Tender Documentation Project Tendering Bid assessment and recommendation of prospect contractor to the client Construction

Phase 4.0

Execution scope is the description of the implementation of design. The clarity of this scope will influence the integrity of the end product. To clearly ascertain these requirements, the initial scope will be discussed with the design team and prospect contractor so that final requirements to deliver the projects products to specification are comprehensively covered and Scope Creep is brought to minimum.

Mobilisation and Site Establishment Procurement Foundation construction Pile Driving and Testing Formwork Construction Jetty Slab Construction Slab Pavement Construction Bollards and Accessories Construction Commissioning Wharf Head Testing and Commissioning

Phase 5.0

Scope document checklist shall be developed and closely monitored by the project manager to ensure each scope is accomplished in a timely manner. REFERENCE
