Business Letter and NCGP Summary Form


In order to let the judges know a little about you and your project, you will complete a project overview form and a business letter. You will give these items to each judge before your presentation. The judges will take a few moments to read over your sheets before you present. This way, they have a general idea about what you will be presenting. Part I The Business Letter to the Judges - You will write a one page business letter to the judges. - The letter should be in correct business letter format. - The letter should be typed in Times New Roman 12 font. - All writing in the letter should be LEFT aligned. - The letter should be proofread and polished before presentation night. - You will write a rough draft of the letter and then a final copy. - Your teacher will grade your letter. This letter should contain (from Writers Inc. p.298): - Heading gives the writers complete address, either printed in the letterhead or typed out, plus the date. - Inside Address The inside address gives the readers name and complete mailing address. - Salutation The salutation personalizes the letter. Use Dear with people only, not department or company names. Place a colon (:) after the name. - Body The body contains your message in single-spaced paragraphs with double spacing between them. The body of your letter should contain three main parts: (1) an introduction of yourself to the judges (who you are, what you are interested in, what you do at school or outside of school, just a personal quick glance at you as a person), (2) a paragraph about your future goals for yourself (college, study, work plans, career interests, and why you are interested in pursuing your chosen path), and (3) How you decided upon your project, what you did, and what you researched (this can be general because your other form will cover the details. You should focus on why and how you picked the project and then state briefly what you did and who your mentor was. - Complimentary Closing The closing politely ends the message with a parting word or phrase Sincerely, Yours sincerely, Yours truly, - followed by a comma. Capitalize only the first words or complimentary closings. - Signature The signature makes the letter official. It includes the writers hand-written name and corresponding typed name. Please see the sample letter provided for a guide.

Part II Project Overview Form - We have provided the same template for all seniors to complete for the project overview form. - This template is available on the school website under Academics > Graduation Project > Documents and Forms. You should open this blank template, save a copy, and type your summary and save again. - Your summary MUST fit onto ONE page so if you have too much information you may use a smaller font just dont make it so small that its hard to read. Try to use 12 pt. Times New Roman if you can. This document is a quick summary and the judges dont need to read through too much. - You must complete your project overview form and get it signed and verified by your English teacher BEFORE you present. You English teacher will collect your time log and mentor verification form in order to verify your summary. If all matches and is accurate, your English teacher will sign your form. - Your overview form must be true and accurate. You must tell the truth on this form. Falsification of any kind on this form could result in failure of the NCGP. - Please see the sample overview form as a guide. Your Summary Sheet Will Tell About: o Your topic o Your research topic and what you proved in your research. o Mentor who it was and how he/she qualified o Project overview What you did, the steps you took in completing the project from beginning to end o Mentor contacts when, where, and for how long you met with your mentor o Total Time/Hours How much time you spent on your project give the overall amount of time and then break it down if you can (This MUST match what you bring in recorded on your time logs. Your English teacher will not sign your paper if the numbers dont match.) o Product, visual, or demonstration An overview of what your product is, what your visual is, or what you will demonstrate for the judges. o What You Learned Tell the judges what you learned from completing your research and related project. o Your signature indicates that everything on your sheet is true and accurate. Remember, you are signing that this summary is true. Falsification of any kind on this report or the project could result in failure of the NCGP. o Mentors Signature You mentor should sign that he/she worked with you and that your summary is accurate. o English teachers signature English teachers will sign the bottom of your form if/when it is turned in on time. English teachers will verify hours with your time logs. You must also submit your MENTOR VERIFICATION FORM in order to get your paper signed. Your business letter AND summary sheet are due by Friday, December 9. These items together count as HALF of your EXAM grade for English IV and will be graded by your English teacher. The other half of the EXAM grade is from the judges score of you PRESENTATION. These two grades are averaged together to give you your final EXAM grade. (Letter/Summary Grade + Presentation Grade)/2 = EXAM GRADE for English IV
