2013 NSA Exhibitor Rules and Regulations


Location: Exhibits at the 2013 NSA Convention will be in Franklin Hall on the 4th Floor of the Philadelphia Marriott Downtown, 1201 Market Street, Philadelphia, PA 19107. Hotel reservations are the exhibitors responsibility. Call 877212-5752 to take advantage of the $159 rate by mentioning National Speakers Association group rate. The special NSA room rate will be in effect while rooms are available or until the cut-off date of June 26, 2013. Application and Payment: Applications for exhibit space must be signed and payment in full must be received before exhibit space will be assigned or program information will be published. Fees are payable in U.S. dollar drawn on U.S. banks. Payments drawn on banks outside of the U.S. must be made by international money order. Subletting and Sharing of Exhibit Space: Exhibitors may not reassign, sublet or share exhibit space, and may not display products or services other than those normally sold by them unless prior written approval is obtained from NSA. Assignment of Exhibit Space: All exhibit spaces that have been paid in full eight weeks prior to the event, by May 31, 2013, will be assigned based on a tiered structure, from highest to lowest level sponsorship and then to nonsponsoring exhibitors. Within each equal tier the first priority will go to those with the highest accrued NSA Priority Points. Exhibit spaces paid in full after May 31, 2013 will be assigned on a first come/first served basis. For contracts paid on the same date, priority will be given to the exhibitor with the highest cumulative points. To be included in the Exhibitor Guide, the complete contract, including payment in full, must be received at the NSA office by June 14, 2013. Contracts completed June 15 July 19, 2013 will be printed in an addendum. NSA reserves the right to change table assignments or to move exhibit tables to resolve competitive situations or for any other reason for the good of the overall exhibits. No changes will be made without written or emailed notice to the exhibitors involved. NSA Priority Points: Exhibitors accumulate NSA Priority Points for the prior five years of exhibiting, sponsorship, advertising in Speaker magazine and NSA Professional, Bureau or Service/Supplier membership. Exhibitors receive 3 points per paid exhibit space for each of the prior five years. NSA Members get 1 point per year of membership for the prior five years. Points for sponsorship are assigned for the prior five years as: 9 points Gold Level Sponsorship ($25K/yr. +) or above 4 points Annual Sponsor below Gold level ($15K/yr. +) 2 points Event (Conference/Convention) Sponsor 1 point Sponsor for Activity/Session/Offerings at an Event Points for advertising are assigned based on the number of ads run in Speaker magazine during a calendar year, for the prior five years. 5 points 8 or more ads 3 points 4-7 ads 2 points 2-3 ads NSA Priority Point Deductions: Exhibitors may lose up to 2 points for any violation of Show Rules and Regulations that cannot be remedied on-site. Examples include, but are not limited to: 1. Late set-up or early tear-down of table 2. Violating height and space restrictions 3. Damage to premises Exhibitor Registration: The Basic Exhibit Table fee includes two badges for admittance to the exhibit hall during exhibit hall hours and access to Convention general and concurrent sessions during non-exhibit hall hours. It does not include any meals. Full registration, access to all Convention sessions and all provided meals, is available at the special exhibitor rate. Please call NSA for details. Exhibitors who want to attend meal functions for networking opportunities may purchase meal tickets at the NSA onsite registration desk. Cancellation and Refund Policy: A refund equal to 50% of the total exhibit fee will be made if notice of cancellation is received in writing at the NSA office on or before June 28, 2013. No refunds will be granted for cancellations received on or after June 29, 2013. NSA reserves the right to rent a contracted exhibitors assigned exhibit space to another party if the exhibit space is not occupied by the originally contracted exhibitor as of 10:00 am, Saturday July 27, 2013. No refund will be made to the original contracting party. Table Layout: Each draped table is 8 long and 30 deep. Display materials are restricted to a maximum height of 8, and may only be displayed immediately next to or behind the table. Display materials may not block visibility to signage provided by NSA or the hotel, doorways, or walkways. Sale and Solicitation: Solicitation, signs, promotions and distribution of printed materials must be confined to table space only. Exhibitors and their personnel, or any other company/organization, including those not exhibiting in the exhibit hall, are prohibited from displaying or demonstrating products, soliciting orders or distributing advertising materials anywhere else in the hotel or in other NSA-contracted space. Solicitation, signs and distribution of printed materials promoting a non-NSA sanctioned event or seminar are prohibited. Any and all taxes are the sole responsibility of the exhibitor. Exhibit Area Access: Exhibitors are permitted to enter the exhibit area up to one hour before the scheduled opening time each day and may remain one-half hour after the final closing time each day. Should exhibitors require additional time at their exhibit before or after scheduled hall hours, special arrangements must be made in advance with NSA. Exhibitor Services: The official services contractor for the Convention exhibits has not yet been selected as of February 1, 2013. Prior to convention, the contractor will send an exhibitor-services kit to exhibitors who have been assigned exhibit space. The kit will include information on Internet, electricity, shipping, services and furnishings available, ordering information and costs.

Exhibitor Conduct: No exhibitor may operate in a way that interferes with the rights of another exhibitor. Exhibits and display materials may not span beyond the space allotted. All exhibits should be presented in a professional manner. Operation of objectionable sound devices and objectionable visual displays are prohibited. NSA at its sole discretion may determine what is objectionable. NSA reserves the right to curtain exhibits or parts of exhibits that are deemed inappropriate or unprofessional. The following practices are disallowed by NSA: Loud electrical or other mechanical apparatus disturbing other exhibitors and/or visitors. Theater-seating arrangements for more than six individuals and/or presentation stages. Canvassing outside the table, including aisles, entrances or any other public space. Entering another exhibitors table without permission. Photographs of attendees or another exhibitors table without permission. Smoking in or around the exhibit hall. Threats to NSA staff, decorator staff or individuals representing other exhibiting companies. Music, Displays and Decorations: Signs, decorations, promotions or display fixtures may not be taped, nailed, tacked or attached in a way that may leave residue or have the possibility to damage any surface within the exhibit hall or greater hotel area. All equipment, promotions, signage, tables or advertising must be confined to the exhibit space. Nothing may be displayed or projected outside of the exhibit space. Any copyrighted music played by exhibitors in their exhibits or sessions is required to be licensed by either the American Society of Composers, Authors and Publishers (ASCAP) and/or Broadcast Music Inc. (BMI). On-Site Exhibit Staffers: NSA-provided exhibitor badges must be worn by exhibitor staff during all exhibit hall open hours. Exhibits must be staffed and operational during all open exhibit hall hours. Compliance with Safety Regulations: The exhibitor shall assume responsibility for compliance with local, city, state and federal safety, fire, health and other ordinances in regard to installation and operation of equipment, displays and exhibit materials. Equipment must be protected by safety guards and fireproofing to prevent fire hazards and personal injuries. Table Safety: Aisles must be kept clear and free of clutter at all times. All parts of an exhibitors display must be kept within the boundaries of the assigned exhibit space. Union Labor: Exhibitors must comply with regulations of local unions applicable to setup, dismantling and display of exhibits. Food and Beverage Distribution: Exhibitors are allowed to distribute small, bite-sized individually wrapped candies. Distribution of any other food or beverage items must be coordinated through NSA and the hotels catering department. Storage/Packing Crates and Boxes: Exhibitors will not be permitted to store packing crates and boxes around the exhibit. No trunks, cases or packing material should be brought into or out of exhibit spaces during exhibit hours.

Security and Insurance: NSA and the Philadelphia Marriott Downtown will take precautions to safeguard exhibitors property by providing overnight security. However, NSA and the Philadelphia Marriott Downtown will not be liable for loss or damage to an exhibitors property through theft, fire, accident or destructive causes. It is the exhibitors responsibility to insure exhibit and display equipment and materials when special protection is desired. Liability Limits: NSA shall not be responsible for any loss, damage, delay due to strikes, lockouts, acts of God, governmental restrictions, enemy action, civil commotion, unavoidable casualty or any other causes similar or dissimilar, beyond the control of NSA. Protection of Exhibit Facility: No exhibitor may allow any article to be brought into, or permit any act to be done on the premises, which will violate or increase the premiums on policies of insurance held by either NSA or the Philadelphia Marriott Downtown, provided said policies are no more restrictive than standard liability and property damage insurance policies and standard fire insurance policies with extended coverage. No exhibitor may permit any act by its employees or its agents by which the premises in any manner may be marred or defaced. Exhibitors must surrender the occupied space in the same condition as at the commencement of occupation, normal wear and tear and casualties beyond the reasonable control of the exhibitor excepted. Any damage done to the premises or any property therein by the exhibitor, its employees or agents, shall be made good to NSA or the building owners, as their interests may appear. Mailing List: NSA mailing lists cannot be used to advertise meetings, seminars or workshops but shall be solely limited to the activities detailed on the mailing-list rental form. The mailing list renter will submit a signed mailing list rental Agreement and examples of all final materials to be included in the proposed mailing for approval by NSA. NSA shall have the right to deny/reject/refuse any material to be sent to the names on the mailing list. Failure of the mailing list renter to adhere to this provision shall constitute a breach of the Agreement and shall discharge NSA from further obligation or liability hereunder. The NSA mailing list will be used only once per mailing-list rental Agreement and within 30 days of receipt of the list. (For multiple mailings, a separate Agreement must be signed for each mailing and a new mailing list purchased each time. Discounts may apply for multiple mailing lists purchased.) The mailing list renter agrees that in using the mailing list, it will not disclose, transfer, duplicate, reproduce or retain any portion of the mailing list in any form whatsoever, nor will it permit any third party, agent, employee or contractor or their respective agents and employees to do so. Before a mailing list will be shipped to a renter, NSA must receive a signed mailing list rental Agreement detailing terms of use, samples of final materials being mailed, and payment in full. All matters and questions not covered by these Rules and Regulations, and interpretation of these Rules and Regulations, are subject to the decision of NSA. These Rules and Regulations may be amended and/or interpreted at any time by NSA.
