How to create new Livelink accounts - EP Americas

How to create Single Sign On Functional Accounts:

Functional SSO accounts are allowed only after the approval from Instance Custodian. Before proceeding, get the answers for the Functional Account Create Questionnaire from the requestor and forward to Instance custodian for approval. This allows GI functional account to login to Livelink automatically using their GI credentials. A GI functional account is used at offshore locations for individuals who work shifts.

Follow the below steps to create the account.

1.

Navigate to the following url: http://swwus-ep-livelink.shell.com/livelink/livelink.exe?func=ll&objId=9987905&. ;objAction=browse&sort=name

2.

Click on the Livelink instance name where you want to create an account.

3.

Click on Add New Item > User.

4.

Enter user details in the User Creation Form.

a.

The Log-in Name field should be in the format of domain\Computer User ID-F. This information can be obtained from the Computer User Id field in <. U>Whos Who. Please make sure that the log-in name is all lowercase and contains no spaces.

b.

Select !EPLL_Basegroup for all the instances from the Department dropdown.

c.

Set the option Single Sign-On (SSO) User is True.

Complete other account details (First Name, Last Name, Title, E-mail, Title, Time Zone and Phone).

Always ensure that only the default Log-in enabled and Public Access enabled checkboxes are checked.

Click the Submit button.

6.

Notify the requestor that the account has been created.

How to create Single Sign On Individual Livelink Accounts:

IMPORTANT: In principle NO EP SSO individual accounts should be created manually on EP instances where UM tool is involved. All SSO Account Create requests in instances running UM tool sh. ould be returned using the email template provided in this-link. If there is an urgent need for an account that has not yet been added by UM Tool, Instance Custodian should give approval.

Important : Motiva users' account should be created as SSO with Public Access Disabled.

Note:

We need to create the accounts manually for the users who's OU is not part of the EP-OU list. Account for users with VSAT domain will get created by on EP instances where UM tool is involved. However, for users with VSAT domain and OUs not supported by UM Tool, capturing sponsors name in Office location is mandatory. Follow the below steps to create the account.

Click on the Livelink instance name where you want to create an account.

3.

Click on Add New Item>User.

4.

Enter user details in the User Creation Form.

The Log-in Name field should be in the format of domain\firstname.lastname. This information can be obtained from the Windows Account field in Whos Who or Active Directory. Please make sure that the log-in name is all lowercase and contains no spaces.

Click the Submit button.

6.

Notify the user that the account has been created.

How to create Extranel Livelink Accounts for Non-Shell users:

Livelink extranet account requests will be raised mostly by Tucker, Leslie C SEPCO-EPW-T-IM/ITstyle="FONT-SIZE: 8pt; FONT-FAMILY: Tahoma; mso-fareast-font-family: 'Times New Roman'; mso-ansi-language: EN-GB"> or Richard, Terry A SEPCO-EPW-T-IM/IT. Extranet account requests from other users should be processed only after authorization from Tucker, Leslie C SEPCO-EPW-T-IM/IT or Richard, Terry A SEPCO-EPW-T-IM/IT in their absence Simmons, Kenneth L SEPCO-EPT-IT-W.

Follow the below steps to create the account.

1.

Navigate to the following url: http://swwus-ep-livelink.shell.com/livelink/livelink.exe? func=ll&objId=9987117&objAction=browse&sort=name

2.

Click on the Livelink instance name where you want to create an account.

Click on Add New Item>User.

4.

Enter user details in the User Creation Form.

Enter a unique password in the password field. The password you choose: -

Can't contain the slash symbol. Can't contain more than 16 characters. Must contain at least 8 characters.. Must contain digits. Must contain upper and lower case characters. Must contain special characters such as @*$?! But not forward slashes (/).

IMPORTANT: Ensure that only the default Log-in enabled checkbox is checked. Public access should be disabled.

Set the expiry date to 30 days ahead.

How to create SSO accounts for External users available in Shell AD:

These accounts are created for external users who are part of Shell external AD. They need SSO access to Livelink because they

use servers like Citrix to connect.

Note: Such accounts can be created for any External users available who are available in Shell Active Directory (shellexternal.com). Such requests should have a Sponsor who is a Shell staff and who also works closely with external user. We can create such accounts on any EP instance because these TPA users are available on Shell AD

Follow the below steps to proceed with such requests,

1. Check Shell external active directory (ShellExt. ernal.com) to verify the external account (firstname.lastname-x) has been activated for the user. If the user account is present, go to step-4. 2. If not, forward the request to GLB_TPA_OU_PRG to activate the external (-x) account for the user. Mention in the request-message area: "Redirect the request back to GLB_EPA,EPE,EPW,EPM_IM_ASD_PRG once the external account is activated."

3. Monitor the process by the queue GLB_TPA_OU_PRG. Once you receive the request back or you make sure the -x account is activated in the Shell external active directory, proceed with creating the Livelink account. 4. Go to the Livelink instance and create the Livelink account, The login name format should be shellexternal\firstname.lastname-x (as in shellexternal.com). Please make sure that the log-in name is all lowercase and contains no paces. Select the Department as SIEP US TW --> !SIEP_GLL_OtherShell EP Projects Houston --> !EPPUS_GLL_OtherShell EP Americas Internal & External --> !Other_Shell Make the option Single Sign-On (SSO) User is True and fill the information related to external account

accordingly.
Capturing of the sponsor's name at office location is mandatory. The sponsor should be the contract holder/owner, should be Shell Staff and not from IM Organization. Note: External accounts for the users who are part of IM organization should have sponsors only from IM Organization and should be Shell Staffs

5. Click on Submit button to complete the account creation.


6. Inform the requestor (and copy the business rep. of the Livelink instance) that the Livelink account for the external user is activated.

How to create NSSO/Functional Manual Login Accounts for Shell Users:

Functional Manual Login accounts should be created only after authorization is given by Instance Custodian.

Follow the below steps to create the account.

6. Send the login credentials to the user directly using the Email Template, and inform the requestor separately that the account has been activated to the user.

How to create Livelink Admin accounts:

Livelink admin accounts are allowed only for Livelink support team members - EP IM Assist desk and RNM, can be created if the Instance custodian approves and then the Service delivery manager (or Service Manager in SDM's absence).

If any others request for Livelink admin account, ask for the business reason from the requestor. If the business reason is valid, seek the approval from the instance custodian and then the SDM before proceed further.

Follow the below steps to create the account.

1. Navigate to the following url and click on the required Livelink instance: http://swwus-eplivelink.shell.com/livelink/livelink.exe?func=ll&objId=9987117&objAction=browse&sort=name

Go to Enterprise> User and Groups.

Click on Add New Item> User. Enter user details in the User Creation Form.

a. Manual login admin accounts with content access on EPW are allowed only for RNM. Provide the login-id in the format of firstname.lastname-a. Note- Content Access is not available for IM Assist Desk on EPW, so if there is any such request for RNM team member then forward the request to EPW Tools & Stds queue. Assist desk can create accounts for Assist desk team members.

b.

Select !EPLL_Basegroup from the Department dropdown.

Enter a unique password in the password field. The password you choose: -

Can't contain the slash symbol. Can't contain more than 16 characters. Must contain at least 8 characters. Must contain digits. Must contain upper and lower case characters. Must contain special characters such as @*$?! But not forward slashes (/).
