Rules and Conditions


(* The term film is used here in reference to both film and video.) Your Entry Colchester Film Festival encourages online submissions. 1. Please send your fully completed and signed submission form as a digital document emailed to submissions@colchesterfilmfestival.com or as a printed copy posted to Colchester Film Festival, 15 Queen Street, Colchester, Essex, CO1 2PH, UK. 2. Please inlcude a link to a password protected/unlisted online preview of the film or post a copy of the film on DVD (PAL), Region 0 or 2 only (Please do not send your only copy of the film, as we are unable to return entries). Other Prerequisites 1. All entries submitted must not have been screened publically prior to the 1st January 2012. 2. The maximum running time for each film sent to the Colchester Film Festival must not exceed 26 minutes in length (including titles and credits). 3. Films submitted to the Colchester Film Festival must either be in English or have English subtitles. 4. Films that are available to view online are not eligible for the Colchester Film Festival (excluding password protected/unlisted online previews of the film). 5. For pre-selection purposes, all entries should be submitted via password protected/unlisted online link or on DVD (PAL). 6. Films produced by the Colchester Film Festival 48 hour film challenge are not eligible for entry. 7. Films selected for previous Colchester Film Festivals are not eligible. 8. Colchester Film Festival will have the right to show any of the films submitted to non-commercial audiences. Extracts of no more than 2 minutes may also be shown on television/web with a view to promoting the competitions and the Festival. 9. Films selected for screening will be announced before the start of the festival, and a full list will be published on the Colchester Film Festival website. Filmmakers who have been selected may be invited to resubmit their films in the preferred screening formats. 10. All films selected for the festival will be screened on DVD, Blu-Ray or digital format. 11. The Prizes and Awards are international, and the submission of films from all parts of the world is encouraged, provided that the commentaries and subtitles are in English. 12. All entries will be eligible for competitive screening and prizes. 13. The Prizes will be awarded to the individual maker(s) responsible for making the winning film(s), whether they are working on their own behalf or as part of a television company or other organisation. 14. Filmmaker(s) associated with each production that is selected for screening at the festival will be encouraged to attend the festival screening, and be available for question and answer sessions. Although the organisers welcome and encourage the attendance of all filmmakers at the festival, unfortunately it is not possible to reimburse accommodation or travel expenses. 15.Colchester Film Festival retains the right to hold a copy of films submitted for archival and promotional purposes. 16. By submitting a film for consideration to Colchester Film Festival the filmmaker/production company grant Colchester Film Festival the right to screen the film throughout the duration of the festival in any capacity. The Colchester Film Festival will never upload a completed film to the Internet without the filmmakers consent. 17. The applicant declares that he/she has obtained all necessary rights and permissions to present the film at Colchester Film Festival. The filmmaker must own or have cleared copyright of all aspects of the submitted film. This includes all music and images used. Colchester Film Festival accepts no responsibility, financial or otherwise, in regards to clearing copyrighted material. 18. Indecent Images or Exploitation Film will not be considered. 19. All decisions regarding festival acceptance are final. Delivery and Return of Films 1. Filmmakers or their agents submitting films must cover all costs related to the delivery of preview and screening copies to Colchester Film Festival. 2. Colchester Film Festival will not cover costs of returning the screening copies. 3. To satisfy UK customs, all postage packages must be marked as follows: "For Cultural Purposes Only. No Commercial Value". No further documentation for customs is required. 4. Colchester Film Festival will not be responsible for any customs charges, freight or demurrage charges or any other charges incurred by entrants who failed to follow the submissions procedure laid down herein. 5. Colchester Film Festival staff cannot be spared for collecting films from airports, agencies, etc., in any circumstances. 6. Colchester Film Festival will take every reasonable care to protect films submitted. However, Colchester Film Festival will not be responsible for any loss or damage to films however caused. Entrants are advised to insure their films against loss or damage. The following conditions will govern the award of prizes and awards 1. There will be a panel of judges, proposed by Colchester Film Festival. 2. Pre-selection of a short-listed of films for screening will be undertaken in advance of the event by a sub-committee nominated by Colchester Film Festival. 3. In assessing the films, the judges will give greater weight to the content and visual merit than to the technical expertise or resources with which the films are made. 4. The decision of Colchester Film Festival Committee on any matter relating to the interpretation of these conditions shall be final. Submission is FREE Submission deadline is 1st July 2013. All preview DVDs should be accompanied by a submission form and arrive at the Colchester Film Festival office by 1st July 2013 at the latest. Shortlisted entries will form the principal screening strand of the Festival.
