1.1 INTRODUCTION TO STUDY

An organization is a planned, coordinated and purposeful action of human beings to achieve certain specific goals through division of labour and hierarchy of authority. An organizational study is the systematic study about how people - as individuals and as groups - act within organizations. It involves the study of the structure and functions of different departments. Almost all the organizations are different but they have certain common features. All are collection of people, linked together by formal and informal relationships. They have hierarchical orders that are engaged in co-operative activities and they all have identical boundaries. So the study of people in organization is important for future managers. Structure of an organization is very important for its functioning and growth. It provides the basic frame work for its progress and expansion. For the future managers it is very important that the study of organizational structure and functioning of successful organization. So that they as future managers may guide organizations towards success and profitable functioning.

1.2 OBJECTIVES OF THE STUDY

1.4 LIMITATIONS OF THE STUDY


1. Due to lack of time respondents employees were not ready to give much information. 2. Employees were not ready to give certain vital information because of its confidentiality. 3. It was very difficult to collect detailed data on each department within the limited time allowed.

Prabhu poly color is a manufacturing polyethylene color granules (Masterbatches, Additive,& Compounds) for Thermoplastic Industries. Prabhu poly color is promoted by Chandramuki Impex Kolkata.Prabhu poly color was founded in 2004 in order to tap the shortfall of indigenous supply of masterbatches. The product is basically acoloring agent for plastic.Prabhu poly color supplies this coloring agent to various leading manufacturers of plastic items in india directly and through its distributors. It also exports directly to many countries. The manufacturing unit started in august 2005 produces mass consumption colors such as White, Black, Yellow, and other basic colors. The shades are not restricted to 5 or 6 only but prabhu poly color having the best color matching facilities and equipments to match any desired color. Prabhu polycolor is having imported extruder plant along with indigenous machinery supposed to be the best in the masterbatch industry supported by qualified staff in each department required for producing best quality masterbatch in quality system of ISO9001:2000. Mr.Sanjay Manda, chartered Accountant, looks after the commercial,marketing and finance operations.He is supported by qualified personnel in respective departments. 1.5 INDUSTRY PROFILE


Plastic industry also called as 'sunrise industry' is a postwar phenomenon in the country. It is a rapidly growing industry. It offers lucrative employment opportunities for skilled labour. In 1992 the industry employed about 80,000 skilled technicians. The total investment in the processing industry in 1991 was estimated at Rs. 1,000 crores. This is expected to grow to Rs. 4,500 crores by 2,000 AD. Since independence, plastic industry in India have been playing a predominant role in shaping our lives. As it an indispensable item in our day to day activity, so its importance cannot be undermined. Since last decade with the advent of new and improved technologies, the industry has gained greater importance with the production of better and improved quality of polymers (plastics) which has supported the radical change in human life and its day to day activities. The name plastic has been coined from plastikos- a Greek word meaning capable of being shaped or molded. The material is formed by repeating units of monomers forming long chains consisting of large molecules and characterized by light weight, high corrosion resistance and low melting points. Presently, there exist about 50 different types of plastics. Broadly plastics can be classified into two types namely (a) Thermosetting (can be softened or molded into a particular shape by applying heat and pressure only once) and (b) Thermoplastic.(Can be softened repeatedly by application of heat and pressure). Apart from these, plastics have been also divided into seven different types by the plastic industry. These seven types of plastics are: POLYETHYLENE TEREPHTHALATE (PETE): - PETE is one the most recycled plastic. It finds usage in various bottles like that of soda and cooking oil, etc. HIGH DENSITY POLYETHYLENE (HDPE): - HDPE is generally used in detergent bottles and in milk jugs. POLYVINYL CHLORIDE (PVC):- PVC is commonly used in plastic pipes, furniture, water bottles, liquid detergent jars etc. LOW DENSITY POLYETHYLENE (LDPE): - LDPE finds its usage in dry cleaning bags, food storage containers etc.

POLYPROPYLENE (PP):- PP is commonly used in bottle caps and drinking straws. POLYSTYRENE (PS):- PS is used in cups, plastic tableware etc. OTHER: - This category of plastics includes those plastics which are different from the six aforesaid types of plastic. These plastics are usually used in food containers and in Tupperware. Thus it is evident from the above classification and wide usage domain the vast role played by plastic in shaping the day to day human life. So here an honest effort has been made to gain some insights of this growing industry in India with the help of Michael Porters Five Forces Model & Value Net Analysis.

1.5.1 Indian plastic Industry


The Indian plastic industry has taken great strides. In the last few decades, the industry has grown to the status of a leading sector in the country with a sizable base. The material is gaining notable importance in different spheres of activity and the per capita consumption is increasing at a fast pace. Continuous advancements and developments in polymer technology, processing machineries, expertise, and cost effective manufacturing is fast replacing the typical materials in different segments with plastics. On the basis of value added, share of India's plastic products industry is about 0.5% of India's GDP. The export of plastic products also yields about 1% of the country's exports. The sector has a large presence of small scale companies in the industry, which account for more than 50% turnover of the industry and provides employment to an estimate of about 0.4 million people in the country. Approximately Rs 100 billion are invested in the form of fixed assets in the plastic processing industry. The plastic industry has two distinct phases: (1) production of raw materials, and (2) moulding and fabrication of plastic goods.

A. Production of Plastic Raw-materials


This includes polymer manufacturing industry supplying polyethylene (low and high density), polyvinyl chloride (PVC), polypropylene, polystyrene and acrylics. The feedstock's of these materials are mostly naphtha, alcohol, calcium carbide, phenol and benzene. Mumbai

is the largest centre for the production of polymer. Other centers includeBarauni, Pimpri (Pune), Durgapur, Rishra (Kolkata), Sahupuram Mettur, Bongaigaon, Hazira and Vadodara. The Plastic raw material consumption in India during 1990 was a little over nine lakh tones which exceeded 1.5 million tons by 1995. By 2,000 AD, the demand is likely to exceed 2.5 million tones. In spite of the rapid growth of the petrochemicals industry in recent years, the demand-supply gap is likely to exceed a million tons by 2005. Between 1990-2000 an investment of about $ 10,400 million has been made in setting up new petro-chemical complexes. Of these two complexes at Nagothane (Maharashtra) and Hazira (Gujarat) have already been commissioned. Nine more at Auraiya, Vishakhapatnam, Gandhar, Haldia qnd Maharashtra are nearing completion.

B. Plastic Converting Industry


It involves the moulding and fabrication of plastic goods using polymer. These goods are manufactured both by big companies like Flex industries, Gurat Propack, Askar and Sharp etc. as well as by small scale enterprises. Manufactured products include packaging, household goods, building and construction material, industrial goods and agricultural material. Mumbai, Delhi, Kolkata, Bangalore, Vadodara, Vapi (Gujarat), Kanpur. Amritsar, Coimbatore and Chennai are the important centers for the manufacture of plastic goods. Plastic recycling is another aspect of plastic goods industry. In India about 45 to 50 per cent recycling of plastics is done from post consumer waste.

1.5.2 Trade
India imports plastic polymers from West European countries, Japan and the United States. It also exports plastic goods to neighbouring Asian and African countries. Our main competitors are China, Thailand, Indonesia, Korea and Malaysia. Plastic industry besides facing the shortage of raw material and competition from abroad is facing stiff opposition from environmentalists. This needs a comprehensive "public education campaign" and waste recycling policy to tide over the situation.

The Indian plastics market is comprised of around 25,000 companies and employs 3 million people. The domestic capacity for polymer production was 5.72m tonnes in 2009. The State of Gujurat in Western India is the leading plastics processing hub and accounts for the largest number of plastics manufacturers, with over 5,000 plastics firms. The growth rate of the Indian plastics industry is one of the highest in the world, with plastics consumption growing at 16% per annum (compared to 10% p.a. in China and around 2.5% p.a. in the UK). With a growing middle class (currently estimated at 50 million) and a low per capita consumption of plastics, currently 8kg per head, this trend is likely to continue. The Plastindia Foundation estimate that plastics consumption is likely to reach 16kg per head by 2015. Despite India having a population of 1.15 billion and a work force of 467 million, plastics companies have reported problems with labour shortages. This has led to increased investment in technology such as automation and conveyor belt systems. Apart from the shortage of a skilled labour, the plastics industry is also facing the problem of a nationwide power deficit. The electricity demand deficit is 12-13 per cent. This provides excellent opportunities for firms offering energy saving solutions, power saving machines and ancillary equipment.

1.5.4 Plastic Processing Technologies


Main plastic processing technologies can be classified into Injection moulding, Blow moulding, Extrusion, and others. Each technologies are used to produce different types of products compared to blow moulding injection moulding and extrusion have are most commonly used in Indian market because it avoid a lot of material wastage and we can reduce the number of workers ad also it give more perfection some injection mould products are bucket, mug, caps etc. in india we use all the technologies. 1.5.5 Raw material Supply and Demand


Reliance Industries, Indias largest private sector conglomerate company, stated in January that Indias polyolefins market is expected to grow 12 percent to about 7.5 million metric tons in 2011 with double-digit growth in consumption of both polypropylene and polyethylene. Polypropelene will account for the largest growth at 18% (with consumption growing from 2.2 million metric tonnes to 2.6 million metric tonnes). It is estimated that between 75-80% of Polypropylene demand in India is met by Reliance Industries with around 20% coming from four Government run companies Indian Oil Corporation Ltd (IOCL), Haldia Petrochemicals, Bharat Petroleum Corporation LTD (BPCL) and the Gas Authority of India Ltd (GAIL). Partially due to the growth of the Indian construction industry (which is growing at approx. 20% p.a.) the demand for PVC is exceptionally high with domestic production barely meeting 50% of the demand. Again, of the domestic suppliers, Reliance is the largest

followed by Chemplast and Finoflex (with the latter two accounting for about 5% of demand). EVA is also in high demand, with barely 10% of the demand being met by domestic supply, in this case by Relene (a division of Reliance). Despite the fact that India has one of the highest plastics recycling rates in the world (an estimated 47% of all plastics is recycled) the demand for recycled plastics is huge, especially for commodity plastics such as PP, PET, PS, LDPE and HDPE. We are using plastic materials in our daily life. And it became an inevitable part in our life, for example when we went to a market and buy some vegetables then we ask the merchant to give a plastic carry bag this situation arise in our daily life. 1.5.6 Exporting
In the calendar year 2006, the value of world plastic export was US$ 375 billion. However the share of India was less than 1 % with exports of worth US$ 3.187 billion. The percentage of growth in export was 21 %. During this trend of growth in exports, the export of plastics raw material increased from 55 % to 60 % of the total export of plastic goods, while the export of processed plastic goods has registered a negative growth from 45 % to 9 %. According to recent reports, the industry is said to be losing an opportunity of USD 300 million through value addition on the raw materials that are exported.

The Indian plastic exports were valued at about US$ 532 million during FY 2004 (1st half FY2005 exports US $ 295 million). However, due to the lower competitiveness of the plastic products industry, polymers have been exported directly. The company was started in the year 2004 with a capital of 4.5 cores. The company established with an object to design and manufacture comprehensive range of Thermoplastic Masterbatches, Compounds and speciality Additives. The Companys manufacturing facility is located in Ayanambakkam Industrial Area, Chennai spread over an area of 20,000 Sqft having a total capacity of producing 8000 TPA of Master batches and other products. The company is also planning to start a sister concern at kolkatta. Machineries used in the company are: Imported Twin Screw Extruder Fully automated Feeders Side Feeder Dosing online drying ensuring totally hand free operation from raw material to finished goods. The Company is backed by totally dedicated lines for manufacturing Black, White, Colour Masterbatches, Speciality Additives and Compounds. Company have adopted most advanced color matching technique and equipments for ensuring that all our products meet the highest standard. These standards help us in meeting

In this organization we can see that there are two directors one is commercial director and another one is technical director. Commercial director is the one who control all the departments in the office. And he has a wide knowledge about the business field and the accounts of the company. He deals with the problems in the commercial department. All department managers under commercial depaartment can inform the matter to him. If any problem has risen in any department first the employees in that department can inform the problem to the respected department head he didnt have the

authority to talk the problem with the director. After hearing his problem if it is needed the department head discuss the problem with the director otherwise the department head himself suggest a solution to them. Only the department head have the permission to inform the problem to the director. On studying this chart when a problem arise in the finance department, marketing department, accounts department first they inform the problem to the each department head and they will suggest a solution to them if he cant clarify their doubts he discuss the problem with the management representative and he will suggest a solution if the matter is out of his control he will discuss the problem with the director this is the information going path. The departments comes under commercial director are finance, marketing, and accounts. Next one is Technical department there is also a technical director. Departments comes under technical department are purchase, technical, production, stores, quality. Here is also the same procedure. No workers in the organization cant directly communicate with the technical director only the head are permitted for it. If there is any problem with any of the department worker can discuss the matter with the department heads only and they inform the matter to the director. If any technical problem problems arise in the company like the machinery became complaint or any part of the machine is districted first the workers the organization inform the problem to the technical department head then he analyse the problem and try to solve it. If he cant do it he will inform it to the technical director he analyse the problem and suggest some solution if he also failed in it he will call the technician and solve it. If any problem in the stores department like the stock of goods comes to reorder level they inform it to the director and he make another order. The same procedure is also going on in the quality department and the production department. So we can find a structured communication flow in the company,

3.2.1 MARKETING DEPARTMENT
Marketing department is the department which deals with the sales activities in the company. Purchase order form from the customer taken by the marketing manager. There is a standard purchase order form for each company and the format is varying from companies to companies because each company follows different form. In the purchase order form there is a description about what type of the product they want (because there are different type products based on different type of colors). Then it contain the time of delivery and there one column for the unit price then how much amount they want and the total product. When the purchase order form received the employee in the marketing department copy the order to their order form and he sent it to the commercial director for the approval after the approval the order form is send to the production department. After receiving the order the production department starts the production. Here is a format of an order form below

A) FIELD OFFICER Field officer is the person one who which deals with the bank formalities such as, He present the cheque to the bank for collection. And he also does other bank works for helping the accounts department. He also deals with the customers who didnt make payment. He try to arrange a direct meeting with them to discuss about the payment. He also try to find new suppliers to them. And another function is visiting the company that is when the company received a new customer he make a visit to that company to understand that whether they have the capacity which they mention. Because to understand that that one is a fake company or not sometimes some company make a bulk order but they didnt have that much production capacity, so by visiting the company they make sure that if that company have that much production capacity and if they have the machineries to produce the products they mention in the order form. By this activity he is very helpful to the accounts department.

3.2.2 PRODUCTION DEPARTMENT


Production department comes under the technical department. There are 80-100 workers in the production department and they divide the workers into two shifts. The timing of the shift is 9am to 9 pm and 9pm to 9am.there are eight lines in the production process and the output is 10 tonnes per day (1000kg). We already discussed that this company produce master batches and coloring master batches. The master batches are not maid in advance the production process start when the order received from the marketing department because the color is preferred by the customers based on the customer need they produce otherwise it is a huge loss for them. The color is selected by the customer based on their taste they make the product. They make different combination of colors and select one color which nearly to the customer preferred color and sent a sample to the customer if they satisfy with the color they save the formula of that color mix and start the production based on that formula. If the customer is not satisfied with it they start the researching until finding the color. The coloring material is in a powder form they mix different type color power (red, green, black, blue etc) in different ratio to find the color which is preferred by the customer. For example the customer want to produce a mug but he want to produce it in a wine red color so he will show a sample color to the production manager which he want. Then the production manager start the production of material by adding the colors in different ratio when he reach a color which is preferred by the customer he stop the process and sent a sample to the customer if the customer like it he will save that formula and start the production in bulk for them. In the production department there is one production manager and two assistants. The order from the marketing department received by the production manager. After receiving the order then start the planning to produce. As the first step he check the availability of the material. Then check the machine availability. They use different coloring powders for the production of the products. In the production process we can divided it into

A) BATCH MAKING: - Batch making means that from the available order they select the orders which where ask the same product and make these products as a batch. For each product they use different formulas for production and at a time they produce only one product after meeting the demand of that product they go for another product because otherwise the color may be interchange. And it will badly affect the production process B) BATCH MIXING: - Batch mixing means that mixing the colors for getting the preferred output. They use the formula for the batch mixing process. Here they mix all the materials together which is mention in the formula. C) PROCESS ON THE MACHINE: - Process on the machine means that after take all the material then they mix it together and put it in to the barrel and there is an 8 stages of production take place in the machine to get the final product. D) FINISHED GOODS MIXING: - Finished goods mixing means that the produced goods are different grade so that they differentiate those goods in into different groups for the packing process. E) PACKING: - Packing is the last stage of the production process. They pack the material in to different bags with weight of 25 kg per bag. They also print their product name and price of the product on the bag

3.2.3 ACCOUNTS DEPARTMENT


Accounts department is another department which we can find in the company. Accounts department deals with all the accounts in the company. There is one accounts manager and one assistant accountant in the company. The assistant accountant is the person who enters the daily transactions in the books. And accounts head refer those entered details weather it is wrong or not he is only person who can directly communicate with the commercial department head. Accounts department head is the person who makes the final balance sheet of the company at the year ending. And he have the authority to send mails to the customers for inform them to make payment, and also dealing with the suppliers. When an order received from a customer the order will first send to the production department then from the production department sent the products list to the accounts department then the accounts department make the bill for them and also they make sure that the customer maid the payment. The accounts department also deals with in making payment to the suppliers when they buy the raw materials. When the raw material is in out of stock the production department head give the list of materials which he want, to the accounts department and they call the suppliers and make the order and make the payment to them.

In the accounts department we can find a field officer also there, His main function is to reduce the work load of the accounts manager by doing the outside activities like bank dealings, discussing with the suppliers and customers, make payment to the suppliers and accept payment from the customers. But in the cash book we didnt use the cash term here we write only the sales bill no and the amount only. When a credit sale takes place we write sales bill number and the name of the party. When cash purchase we write only purchase bill number only and when a credit purchase take place we write the purchase bill number and the and the parties name.

a) BANK BOOK: - Bank book is another book which is keep in the office in this book they enter the bank transactions that is when they deposit or withdraw cash they enter it in to the bank book. They enter the details in the book by referring the passbook. When they give cheque for collection they enter it in the bank book and when they give it for other customers they also enter it in the bank book.

b) SALES BOOK: - Sales book is another book keep in the company in the sales book we can find the list of sales details. In the sales book we can find an index, page there we can see the list of customers and page number that which page we can see their head. They reserve two or three pages for each customer because they want to enter the details of the whole year. In that page we can see the list of sales details of that customer. When a sale takes place they enter the amount in that book. Sometimes we can see some old balance in the sales book so before make the bill they refer the sales book and make sure that if there is any balance amount to be pay. If any amount find they add that amount with the present bill. The sales book helps to find what the annual sale of the company is. And it is helpful to find how much amount is due from the customers by adding the balance amount of each customer.

c) PURCHASE BOOK: - Purchase book is another book which is kept in the company. In this book we can find all the details about the purchase in the company. In the purchase book we can also see the names of different suppliers and the details about the purchases. By referring this book we will get an idea about the purchase details.

d) LEDGER: - Ledger is the book which is kept in the office to enter the transaction from the day book. In the ledger we can see different heads like purchase, sales, tax, etc. we can see all the heads of accounts in the ledger which is present in the cash book.

e) STAFF BOOK: - Staff book is the book which is used to enter the details about the staffs in the organization. In this book they enter the employee name and they enter their attendance details in this book. If they give any advance to any one of them they enter the amount straight to their name. it is helpful to give the salary to them, by deducting the advance amount from their total salary.

f) FXED ASSET: - In the fixed asset book they enter the details of fixed asset they have. And they enter the details of the asset which they buy.

g) PURCHASE RETURN: - Purchase return book is used to enter the details of goods which return to the suppliers. Sometimes the goods may get return to the suppliers due to the quality problem or due to any defect in the product. These returned items they entered in the purchase return book. So in the next time purchase they can deduct that amount from them. To make this job easy they maintain the purchase return book. By referring the purchase return book they can easily caught the amount.

h) SALES RETURN BOOK: - Sales return book is the another book it is the same nature of purchase return book. The only difference is that they enter the details of goods return from the customers due to the quality problem or any defect in the goods which we supplied. The next time of sales we deduct that amount from the total bill amount by showing under the damage head.

3.2.4 PURCHASE DEPARTMENT


Purchase department is the department which deals with the purchases of the company. Purchase department comes under the technical department. So that the technical manager is the person who control him. The process of purchase department as when the order received from the customer they check the material with the store keeper and if the material is note available in the store they give the purchase order to the purchase department. They also keep a stock register with them so that they can easily find the remaining amount of stock in the store. In the purchase order they write the item name or item code and how much quantity they want and the purchase department call the supplier and make the order. When they make the order the supplier gives the time when they

give the goods. Purchase department didnt pay the amount they only give the bill to the accounts department. Before giving the purchase order they make a discussion with the financial department about how much amount of goods they are going to purchase and what amount will be the cost of that much amount of material. Because the financial department only know about the financial position of the business. Sometimes the companys financial position may be very low and they cant buy that much amount of goods so that before giving the order the purchase order they discuss it with the financial department. Purchase department also try to find out new suppliers they find new suppliers from the exhibitions and finding the information get from others. After find the supplier they evaluate those supplier. The evaluation by checking their quality rating, supply rating, delivery rating. QUALITY RATING: - Quality rating means checking their quality of the material with the present supplier if the quality of the material is better than the present supplier they give the order to the new supplier. They check the quality of the material by buying a small amount of goods from the supplier and making the product and make a cross check with the old sample. If the customer like the product they will order the product as a bulk.

SUPPLY RATING: - Supply rating means that checking their supply chain that is if they have the capacity to meet our order and they also make visit with the factory for make sure that they have that much amount of machinery to meet our order.

DALIVERY RATING: - Delivery rating is for checking that they have a punctuality in delivering the goods that is they give the goods to us with in the mention date. On he basis of that we rate the supplier. If they didnt follow a good delivering system then the company cancel that supplier. And they start searching for the new supplier.

Technical department is another department which we can see in the company. In technical department there is one manager. Technical manager is always try to understand the problems regarding with the production, material, and technical.
