CHAPTER 1 INTRODUCTION

An organization is a planned, coordinated and purposeful action of human beings to achieve certain specific goals through division of labour and hierarchy of authority. An organizational study is the systematic study about how people - as individuals and as groups - act within organizations. It involves the study of the structure and functions of different departments. Almost all the organizations are different but they have certain common features. All are collection of people, linked together by formal and informal relationships. They have hierarchical orders that are engaged in co-operative activities and they all have identical boundaries. So the study of people in organization is important for future managers. Structure of an organization is very important for its functioning and growth. It provides the basic frame work for its progress and expansion. For the future managers it is very important that the study of organizational structure and functioning of successful organization. So that they as future managers may guide organizations towards success and profitable functioning.

Prabhu poly color is a manufacturing polyethylene color granules (Masterbatches, Additive,& Compounds) for Thermoplastic Industries. Prabhu poly color is promoted by Chandramuki Impex Kolkata.Prabhu poly color was founded in 2004 in order to tap the shortfall of indigenous supply of masterbatches. The product is basically acoloring agent for plastic.Prabhu poly color supplies this coloring agent to various leading manufacturers of plastic items in india directly and through its distributors. It also exports directly to many countries. The manufacturing unit started in august 2005 produces mass consumption colors such as White, Black, Yellow, and other basic colors. The shades are not restricted to 5 or 6 only but prabhu poly color having the best color matching facilities and equipments to match any desired color. Prabhu polycolor is having imported extruder plant along with indigenous machinery supposed to be the best in the masterbatch industry supported by qualified staff in each department required for producing best quality masterbatch in quality system of ISO9001:2000. Mr.Sanjay Manda, chartered Accountant, looks after the commercial,marketing and finance operations.He is supported by qualified personnel in respective departments. Mr.manish Khanna, MBA in plastic Technology has over 15 years experience in plastic industry and looks after the production and development activities of the company.

India imports plastic polymers from West European countries, Japan and the United States. It also exports plastic goods to neighbouring Asian and African countries. Our main competitors are China, Thailand, Indonesia, Korea and Malaysia. Plastic industry besides facing the shortage of raw material and competition from abroad is facing stiff opposition from environmentalists. This needs a comprehensive "public education campaign" and waste recycling policy to tide over the situation.

1.5.6 Exporting
In the calendar year 2006, the value of world plastic export was US$ 375 billion. However the share of India was less than 1 % with exports of worth US$ 3.187 billion. The percentage of growth in export was 21 %. During this trend of growth in exports, the export of plastics raw material increased from 55 % to 60 % of the total export of plastic goods, while the export of processed plastic goods has registered a negative growth from 45 % to 9 %. According to recent reports, the industry is said to be losing an opportunity of USD 300 million through value addition on the raw materials that are exported.

The Indian plastic exports were valued at about US$ 532 million during FY 2004 (1st half FY2005 exports US $ 295 million). With significant capacity additions leading to overcapacity in domestic markets during FY2001 and beyond, polymer exports have increased considerably. However, due to the lower competitiveness of the plastic products industry, polymers have been exported directly. 2.9 APPLICATION
Above are the products which is manufactured in the factory. The products are produced on the basis of the customer demand. After hearing his problem if it is needed the department head discuss the problem with the director otherwise the department head himself suggest a solution to them. Only the department head have the permission to inform the problem to the director. On studying this chart when a problem arise in the finance department, marketing department, accounts department first they inform the problem to the each department head and they will suggest a solution to them if he cant clarify their doubts he discuss the problem with the management representative and he will suggest a solution if the matter is out of his control he will discuss the problem with the director this is the information going path. The departments comes under commercial director are finance, marketing, and accounts. Next one is Technical department there is also a technical director. Departments comes under technical department are purchase, technical, production, stores, quality. Here is also the same procedure. No workers in the organization cant directly communicate with the technical director only the head are permitted for it. If there is any problem with any of the department worker can discuss the matter with the department heads only and they inform the matter to the director. If any technical problem problems arise in the company like the machinery became complaint or any part of the machine is districted first the workers the organization inform the problem to the technical department head then he analyse the problem and try to solve it. If he cant do it he will inform it to the technical director he analyse the problem and suggest some solution if he also failed in it he will call the technician and solve it. If any problem in the stores department like the stock of goods comes to reorder level they inform it to the director and he make another order. The same procedure is also going on in the quality department and the production department. So we can find a structured communication flow in the company,

A) FIELD OFFICER Field officer is the person one who which deals with the bank formalities such as, He present the cheque to the bank for collection. And he also does other bank works for helping the accounts department. He also deals with the customers who didnt make payment. He try to arrange a direct meeting with them to discuss about the payment. He also try to find new suppliers to them. And another function is visiting the company that is when the company received a new customer he make a visit to that company to understand that whether they have the capacity which they mention. Because to understand that that one is a fake company or not sometimes some company make a bulk order but they didnt have that much production capacity, so by visiting the company they make sure that if that company have that much production capacity and if they have the machineries to produce the products they mention in the order form. By this activity he is very helpful to the accounts department.

a) CASH BOOK: - cash book or day book is the book they used to enter the daily transactions in the company. In the cash book they didnt enter the term cash. For example when cash sales happen we make the transaction that Cash a/c Dr

a) BANK BOOK: - Bank book is another book which is keep in the office in this book they enter the bank transactions that is when they deposit or withdraw cash they enter it in to the bank book. They enter the details in the book by referring the passbook. When they give cheque for collection they enter it in the bank book and when they give it for other customers they also enter it in the bank book.
b) SALES BOOK: - Sales book is another book keep in the company in the sales book we can find the list of sales details. In the sales book we can find an index, page there we can see the list of customers and page number that which page we can see their head. They reserve two or three pages for each customer because they want to enter the details of the whole year. In that page we can see the list of sales details of that customer. When a sale takes place they enter the amount in that book. Sometimes we can see some old balance in the sales book so before make the bill they refer the sales book and make sure that if there is any balance amount to be pay. If any amount find they add that amount with the present bill. The sales book helps to find what the annual sale of the company is. And it is helpful to find how much amount is due from the customers by adding the balance amount of each customer.
c) PURCHASE BOOK: - Purchase book is another book which is kept in the company. In this book we can find all the details about the purchase in the company. In the purchase book we can also see the names of different suppliers and the details about the purchases. By referring this book we will get an idea about the purchase details.
d) LEDGER: - Ledger is the book which is kept in the office to enter the transaction from the day book. In the ledger we can see different heads like purchase, sales, tax, etc. we can see all the heads of accounts in the ledger which is present in the cash book.

e) STAFF BOOK: - Staff book is the book which is used to enter the details about the staffs in the organization. In this book they enter the employee name and they enter their attendance details in this book. If they give any advance to any one of them they enter the amount straight to their name. it is helpful to give the salary to them, by deducting the advance amount from their total salary.
f) FXED ASSET: - In the fixed asset book they enter the details of fixed asset they have. And they enter the details of the asset which they buy.
g) PURCHASE RETURN: - Purchase return book is used to enter the details of goods which return to the suppliers. Sometimes the goods may get return to the suppliers due to the quality problem or due to any defect in the product. These returned items they entered in the purchase return book. So in the next time purchase they can deduct that amount from them. To make this job easy they maintain the purchase return book. By referring the purchase return book they can easily caught the amount.
h) SALES RETURN BOOK: - Sales return book is the another book it is the same nature of purchase return book. The only difference is that they enter the details of goods return from the customers due to the quality problem or any defect in the goods which we supplied. The next time of sales we deduct that amount from the total bill amount by showing under the damage head.
SUPPLY RATING: - Supply rating means that checking their supply chain that is if they have the capacity to meet our order and they also make visit with the factory for make sure that they have that much amount of machinery to meet our order.
DALIVERY RATING: - Delivery rating is for checking that they have a punctuality in delivering the goods that is they give the goods to us with in the mention date. On he basis of that we rate the supplier. If they didnt follow a good delivering system then the company cancel that supplier. And they start searching for the new supplier.

RECRUITMENT PROCEDURES
1. DIRECT RECRUITMENT: In Prabhu poly color, this method is used frequently for recruitment. When vacancy arises The company places jobs advertisements in Malayalam, Tamil, English news papers and in the web site. Prabhu poly color conducted only interview for the employees. Test are conducted only for senior post 2. INTERNAL RECRUITMENT Several posts are filled from among the internal candidates. Whenever a vacancy arises, efficient and skilled workers from the rank and file of the company are promoted and appointed in the company. Besides, evictees, local candidates who belong to surrounding panchayath have preference in subsequently arising vacancies. If they have prescribed qualification and experience, the company may give special preference to them.

Those workers having required qualification and eligibility are promoted to supervisory cadres.
D - PERFOMANCE APPRAISAL
Prabhu poly color is following a special type of system for appraising the workers, i.e. the performance of individual employee is evaluated by his superior officer. The officer will evaluate the employees performance on the basis of result produced by them and gives a report to the technical officer for a particular period of time. If the technical officer is satisfied he will forward it to the top level management by recommending on the incentive or promotion
Salary system
This mode of payment is applicable for the all workers, which also includes the loading and unloading workers. The salary is paid on monthly. On every month with in the first week itself the company pay the salary to the workers
Personal Protective Equipments like head covers; aprons and uniforms are provided to the workers 4. Medical insurance: The employees are provided with medi-claim policy, which gives free medical insurance to the employee For the effective administration and working of the company; weekly meetings are organized to discuss various issues and working of the company. It is found that a cordial relationship is maintained between all departments for the smooth functioning and achievement of the organizational goal of maintaining the market leadership and companys image.The study was conducted with a view to understand the functions of an organization, and its various departments.
