Region 15 Privacy & Confidentiality Policy

In order to protect the interests and safety of our membership, following is


the Starfleet Region 15 policy with regards to privacy and confidentiality:

Regional Events:

Regional events that take place in public places are considered in the public
domain and thus attendees that attend those events can be photographed and
captions can be used to chronicle those events in Regional publications,
including but not limited to, the Regional Website, Newsletter, Starfleet
Communiqué, programs and lists.

For Regional events at private residences, as invited guests and willing


participants, then it can be assumed that they are giving their permission to
be photographed and that captions may be used to chronicle those events in
Regional publications, including but not limited to, the Regional Website,
Newsletter, Starfleet Communiqué, programs and lists.

Names identifying the individuals who contribute greatly to the success of


the event, including, but not limited to, planning and organizing, and
recipients of recognition are considered public information as well and may
be used in the aforementioned publications.

Captions describing general settings during Regional events in public


places or at private residences shall be general in nature. For example the
caption under a picture of a group sitting around a table would say, “Various
Region 15 members" or "Members of the USS Chapter". This is to insure the
privacy of all attendees.

Individuals who desire not to have their picture taken at Regional events
must express that desire to those responsible for the event either before or at
the time the photography takes place. In all cases this request will be
honored.

Addresses, Phone Number, E-Mails and private information


Addresses (both physical and e-mail) and phone numbers should only be
published when absolutely necessary. By being on the regional staff or
being the Commanding Officer or Executive Officer of a Chapter, it can be
assumed that a member has given permission for appropriate contact
information to be made available.

Other Private information such as birthdays, social security numbers,


physical addresses, unlisted phone numbers or any other information
considered confidential and private shall not be given out under any
circumstances without the expressed written authority of the owner.

Minors
When it comes to minors, all information should be considered confidential
unless explicit permission is given from the child's legal guardian. The
only exception is for photographs and captions for Regional events at public
or private venues, since a minor would only be at a public regional event
with the permission of his/her guardian. In such cases the policy with
regards to Regional Events would be in effect.

No photographs that depict minors alone will be allowed unless a parent or


guardian grants permission.

Regional Privacy and Confidentiality contact


Members of the Region can contact the Regional Privacy and
Confidentiality contact either to request that privacy and confidentiality be
respected or to inform the Regional leadership that permission is granted to
publish and use such information.

The contact for all Privacy and confidentiality issues shall be the Assistant
Inspector General (AIG) for Region 15. In the case of no AIG being present
in the Region or if the AIG is unwilling or unable to perform the task, the
Regional Coordinator shall assume the responsibility as the Privacy and
confidentiality contact.
