3 ________________________PDF Creator Modes of Operation


The PDF Creator has three different modes of operation: Annotation mode, Design mode and Compile mode.

Annotation mode
You need to work in Annotation mode if you wish to add annotations to an existing document without modifying the original documents contents. The following toolbox objects are available in Annotation mode : Labels, Lines, Frames, Polygons, Images, Notes, Highlights, Arrows, Form field objects.

Design mode
You need to work in Design mode whenever you wish to build or make changes to the different objects or elements contained in a PDF. When you are in Design mode, you can make changes to the document. It enables you to add or modify text objects, insert a hyperlink, alter the position and properties of image, field, table or graphical objects. It will enable all object editing features of the Creator.

Compile mode
Compile mode is mainly used for viewing. Its also used when you are calling up data from a linked database. Most of the object properties cannot be modified in Compile mode. You can open, view, and print a document. Objects that have a specific Editable property which is enabled can be modified in Compile mode, more details on this is found in the Using different Tools section on p.19. Users creating documents linked to a database need to run Compile mode in order to generate the data that was specified by fields in Design mode. Clicking on the Compile button will generate one entry from the database.

4 ______________________________Creating a new document


There are two ways to generate a blank PDF document that you can work on. 1. The New Blank Document icon on the toolbar will generate a completely blank page.

2. Selecting File -> New will let you choose between a completely blank document, or a worksheet-style document with rows and columns.

In this example, we are creating a form or table style document and linking it to the database called Northwind, and creating a table or view for the data type Customers.

5 __________________________Opening an existing document


There are several ways to do this with the Creator.

1. Drag and drop: If you drag and drop a PDF file icon onto the Creator icon or shortcut, it will automatically launch the Creator with that particular PDF file displayed. 2. Select from menu: You can also do it from within the application using the File > Open in the menu bars and then selecting the desired PDF file.

3. PDF Creator as your default PDF Reader: It is also possible to associate the PDF Creator as your default PDF viewing application, if you have done this, doubleclicking any PDF file will launch the Creator with that particular file displayed.

6 __________________________Setting different properties


Properties box
The Properties box can be made to remain on top of the document, even while you are modifying some element of the document. This is achieved by clicking on the pushpin in the top right corner.

If you see an overhead view of the pushpin, this means the Properties box is pinned onto the document and wont disappear once you select an element on the displayed page. If you see the side-view of the thumbtack, the Properties box is floating and will not stay on top of the document if you select an object. Document properties
You can change the properties of the document displayed by right-clicking anywhere on a page of the document. These properties will then be set throughout the entire document. You will find Document Properties in the menu that appears. The Document properties dialogue box has three tabs; Standard, Advanced and All. The All tab includes all items listed in both Standard and Advanced properties.

STANDARD
Author

You can enter the name of the person creating the document into the Value field on the left with this property.
Keywords

You can define a few words to describe your document.


Subject

This enables you to add some information about the subject of the document.
Title

Use this space to specify a document title.


DefaultFont

This will allow you to change the default font for the document currently open. Select a font from a drop-down menu, specify a font size by clicking the up or down arrows, checking boxes to enable Bold, Italic and Underlines styles of font. The Choose Font button will bring up a standard Windows font properties dialogue box.
DefaultTitleFont

You can use this function to change the default font for cell titles when the document is a table style document.

EditBackColor

This property is used in Compile mode to allow the user to distinguish between editable fields from read-only fields. Editable fields will have their background colored with this color.
ScaleToWindow

This property will automatically resize the display of the viewed page as the window is resized. There are 4 values; None or 0 will turn this property off, Horizontal or 1 will display the entire width of the page, Vertical or 2 will display the entire length of the document and Both or 3 will display both the entire length and width of the page being viewed.
ScaleToPrinter

This property will automatically resize the document contents to fit on the printers paper. There are 4 values; None or 0 will turn the scaling off, Horizontal or 1 will shrink the page such that the width of the page fits into the width of the paper, Vertical of 2 will shrink the page such that the length of the page fits into the length of the paper, Both or 3 will shrink the page such that the width and length fit into the printed paper.
ZoomFactor

With this property, you can set a default zoom factor for the document. The numerical value shown is the percentage at which the display is enlarged or reduced. ADVANCED
ClipToBoundaries

When checked, object outside of the page boundaries will be clipped. It is useful to uncheck this property when designing a document so that objects can be placed anywhere on the work area.
Creator, Producer

These properties let other viewers of the document know what software was used to create it.
DataSource

Enter the path and filename of the database file of the name of the database server here.
DataTableOrView

This enables you to specify a table or view from the linked database.

DuplexPrinting

This property enables double-sided printing on printers that support this option.
FileSaveOption

View and Design; this will conserve all data for both Design and View. It results in a slightly larger file but it can be viewed by third-party software as well as opened and modified in the Creator. Design only; this setting will save all the data that is necessary to further modify the document. This type of data cannot be accessed by other applications. View only; Files saved under this setting will discard all data specific to the PDF Creator, including the connection to a database, editable OLE objects and table objects.
LockLastSelectedTool

This property allows the user to add multiple objects of the same type to the page without having to re-select the object from the Objects Toolbox. If this property is cleared, the PDF Creator switches to object selection mode every time a new object is created.
ReportState

Read-only property that indicated the reports state. The report state can be Run, Design, Loading, PrintPreview or Annotate.

Page properties
You can change the dimensions and orientation of the document displayed by right-clicking anywhere on a page of the document. You will find Page Properties in the menu that appears.

Landscape

Setting this property to True will set the document to be viewed in Landscape rather than Portrait mode.
LeftMargin, TopMargin, RightMargin, BottomMargin

These properties are an indication to the user that the objects should not go outside of these limits, the document would otherwise be truncated when printed to a real printer.
Length

This will allow you to specify the length of the document in twips. The default value for a new document depends on the settings of the system default printer.

I Whats a twip?
A twip is 1/20 of a Postscript point, or 1/1440th of an inch. There are thus 1440 twips to an inch or about 567 twips to a centimeter. Twips were devised in the olden days to describe the sizes of characters produced by dot matrix printers that were constrained to multiples of either 12 or 10 dots per inch. PaperBin

You can select the paper bin on your printer that you would like this document to be printed from.
PaperSize

This value should be set to one of the paper sizes that are predefined by Windows. The value 1 represents the Letter paper size, the value 9 that A4 paper size. When this setting is changed, the width and length values are changed accordingly.
Width

This will allow you to specify the width of the page in twips. The default value for a new document depends on the settings of the system default printer.

Grid properties
This feature can help you align the elements of your PDF document by placing them along grid lines. When you want to lock object positioning by certain increments, you can make changes to the grid properties of the document by clicking on the grid properties button on the main menu toolbar, shown at left.

Increment field
Specify a numerical value telling the application at what interval to place the grid lines.

Unit selection
Use this menu to select the unit of measurement by which you want to specify the intervals between grid lines. You can choose from twips, centimeters and inches.

Object properties
These will vary with each type of object. You can access these settings two ways; rightclicking on the particular object or on the Properties menu bar icon when that object is selected. The properties of each tool will be discussed in the next section, Using different tools.

Viewing options Zoom

You are able to change the degree to which the display enlarges or shrinks the page being viewed by using the Zoom in and Zoom out buttons on the main toolbar. You can also achieve this by changing the numeric value in percentage on the bottom status bar. Up and down arrows will respectively increase and decrease the zoom factor of the displayed document.

Page view When in Normal view, resizing the window will not cause the zoom factor of the document to change. When in Page view, the document will resize automatically as the window changes size, so as to keep the full page in view. View grids will enable you to see if and where the grid lines of the document are placed. This option is available only for tale style documents.

Switching modes Use these three buttons on the main toolbar to toggle between Annotate, Design and Compile modes. For documents linked to a database, the data specified in the fields while the document was in Design mode, will be inserted into the appropriate field when you switch to Compile mode by clicking on the exclamation mark. Return to Design mode to make further modifications by hitting the topmost button shown at left. Switching to Design Mode The user is prompted with an Optimization Prompt. Optimization is needed before editing PDF documents due to the structure of the PDF documents. 0- No optimization. The document is not optimized, text objects might be split into multiple pieces which makes editing quite difficult. 1- Line optimization. Text objects are grouped into lines whenever possible. 2- Paragraph optimization. Text objects are grouped into paragraphs whenever possible. 3- Table optimization. The PDF Creator tries to detect if there are tables within the page and attempts to reconstruct table objects.

Find text Text objects in the Creator can be searched. You can find any number of occurrences of a string of characters in the document with this tool. I Finding and Replacing Text If you would like to replace all instances of a word with another value, you can use the Replace function. This function has no tool bar shortcut but is available through the Edit drop-down menu or by CTRL + H

7 ___________________________________Using different tools


You must have Annotate or Design mode enabled to use any of these functions and alter any of the properties described in this section. You may not be able to see the effects of changing some of these properties as you are building the PDF document.

Select
Clicking on an element with this tool will enable you to change its properties or modify it.

Label
This tool lets you to insert text into the document. ADVANCED
AllowWordBreaks

This property defines whether words containing characters such as dash and comma can be split into two lines or should remain grouped on the same line.
CharSpacing

This property defines the amount of extra space between characters.


HorizontalScale

Text can be stretched of shrunk in the horizontal direction by modifying this property. Default value is 100.
Hyperlink

Associate a hyperlink to this element, within the document (connect the element to another part of the document), on the web (enable launch of the default web browser when clicked on) or even an email address (enable launch of the default email application when the element is clicked on).
Locked

Once the True checkbox has been selected, the object can no longer be modified in any way. Design Mode will not work on a locked document.
WordSpacing

This property defines the amount of extra space between words.

TEXT
BackColor

You can select a color for the background of the frame object.
HorzAlign

You can choose to have your text aligned to the left, to the right, centered or justified with this property.
Indentation

Customize the paragraph indentation of this label object.


Text

Enter or modify the text you wish to appear in the label object.
TextColor

You can select a specific color for the text in this element.
TextFont

Choose a font, font size and font style in this properties box, or call up the standard Windows font dialogue box by clicking on Choose Font.
TextGap

This property enables you to adjust the distance between the text and the border of the object.
VertAlign

You can choose to have your text aligned from the top, from the bottom or to have it centered. BORDER
BorderColor

You can change the color of the border of the text. The default is white and therefore is not visible on your document.
BorderWidth

If you have selected a color for your border, changing the value from None to Simple, Double, Tripe or Quadruple with produce a border of varying thickness.

Line
Use this to draw straight lines.
Locked

Once the True checkbox has checked, the object can no longer be modified in any way.
StokeColor

Using this property you are able to select a color from the palette or create a custom color for this element.
StrokeStyle

You can choose from Solid, Dotted or Dashed for the object.
StrokeWidth

Using the StrokeWidth property youll be able to specify the thickness of the element.

Frame
Use this to create rectangular shapes. TEXT

You can select a color for the background of the frame object.
HorzAlign

You can choose to have your text aligned to the left, to the right, centered or justified with this property.
Text

Enter or modify the text you wish to appear in the label object.

TitleBackColor

This property enables you to set the background color of the notes title.
TitleFont

TitleHeight

You can set the desired height of the notes title space. The value is given in twips (1/20 of a Postscript point, or 1/1440th of an inch). The default is 300,
roughly a quarter of an inch.

BORDERS
BorderColor

You can change the color of the border of the note. The default is black.
BorderWidth

If you have selected a color for your border, changing the value from None to Simple, Double, Tripe or Quadruple with produce a border of varying thickness. ADVANCED
Author

Open

This property sets the Open or Closed state of the note. Checking the True box will set the note to open. Double-clicking on the note in the document will change the setting of this property.
Print

8 _________________________________Printing PDF Documents


Printing a document can be done usingThe FilePrint menu item, the Ctrl-P keyboard shortcut or the opens up : button from the main toolbar. In all cases, the following dialog-box

The options that are specific to printing from the PDF Creator are :
Fit to paper

The document is scaled in such a way that all page content fits on the printer paper. This is useful when the page contents are truncated outside of the papers margins.
Print as image

Some documents contain advanced features such as transparent images or custom fonts that prevent them from printing properly using regular printer drivers. The Print as image option prints the whole page as a single image in a more accurate way. Printing speeding can be largely affected when this option is used.
Print to file

Instead of printing to a regular printer, a file is created on the local hard drive or the network.
Tray selection

This option determines to which printer bin or tray each page should be directed.

PDF Setting The paper tray setting is retrieved from the PDF document if the PDF document contains such settings. Currently this is the case only if the PDF document was created using either the Amyuni PDF Converter or Amyuni PDF Creator products. Automatic The paper tray is determined by the printer driver and the settings that the user has entered in the printers configuration. The user is usually given the option to map specific paper sizes to specific printer trays. Manual In the case where the printer driver does not allow the user to configure the paper trays, or when the printer driver does not respond properly to changing the paper trays (happens with a number of printer drivers), the user still has the option to manually assign specific paper sizes to printer trays. When the manual option is selected and the user clicks on the button, the following dialog-box enables the user to assign paper trays :

Note that the printer tray assignment depends on each printer, i.e. the paper to tray configuration is not common among all installed printers.

Unable to modify objects I Ive enabled Design mode and still cant seem to be able to modify the objects in the document! PDF Documents generated by other software use different methods that may not be readable by the Creator. If the file was saved as a View only document (See FileSaveOptions 16) the data needed in order to make additional modifications was discarded.

Saving files correctly I How should I use the FileSaveOptions property? If you need a document which can be further modified in the Creator as well as viewed by other software, save using View and Design. If you need to make further modifications to the document before showing it to anyone, save using Design. If the document is to be viewed by others and doesnt require any changes, or if you need to reduce the size of the resulting PDF file, save using View.
