General Summary Support position for on-site events, event sales and group sales. Intern will learn about supporting group sales and facility rental requirements for a non-profit educational museum as well as working with a team to develop future plans to support growth and development of an informal science center. Take-away experience will include administrative special event support, client relations, marketing and group promotional support. Time frame: September December, January April, May August. Flex time based on college class schedule. 16 hours per week Preferred days: Tuesday, Wednesday, Thursday Some hours will include working events evenings and weekends. Essential Job Functions Promotion and marketing aid in selling the building as a rental venue to new clients through various groups which include: corporations and tour groups, meeting and conventions, meeting planners, community, corporations and seniors, meetings and conferences. Support development of new Science Center events that will promote education efforts, marketing, group sales as well as future facility rentals. Assist in creating lists and tracking weekly off-site interaction with field trip decision makers such as educators, scout troop leaders, church group coordinators, senior group coordinators, daycare centers and other community groups. Administratively support special events coordinator by creating event tracking, event execution plans, invoicing clients and electronically and physically filing data related to the event. This includes submitting post-event paperwork and support in final invoicing if necessary. Photographing and / or video records will be kept of each event. Skills in working cameras and / or video cameras preferred, but not required. Assist in developing contractual marketing relationships with preferred caterers and other vendors. Create spreadsheets and maps to identify additional target markets. Work collaboratively with other Science Center departments as requested, including Marketing, Theaters, Education and Public Relations. Act as a team player and provide expertise within the team and with other departments. Page 1

Intern may be asked to support graphic design and content of promotional materials. Must be willing to work some evenings and weekends based on when events are scheduled. Flextime may be negotiated.

Knowledge, Skills & Abilities At least one year experience or two years education with marketing, public relations, hospitality services including customer relations required. Should have knowledge of related marketing and sales theories, practices and techniques. Must have working background in working with budgets, data analysis and profit and loss analysis. General math knowledge mandatory. Strong proficiency in Microsoft Office in order to support in document creation, spreadsheets and resources for group sales. Must have a willingness to learn, take direction and work independently and efficiently. Science background is not required, but a great attitude and sense of humor is preferred. Must be able to work with all levels of staff, as well as volunteers and the general public. Must have a valid drivers license, reliable means of transportation and excellent driving record. Education College degree or working toward a degree in hospitality, public relations, communication, education, business or marketing preferred. Minimum of high school diploma with equivalent education and experience will be considered. Experience Required At least one year professional or volunteer experience with special events, customer service, marketing, telemarketing or sales experience. Two non-relative references contact information relating to required experience.
Physical Requirements Vision: 100% - Must be correctable to 20/20. Hearing: 100% - Must meet the FAA best standard for both ears. Standing/Walking: 50% - Must be able to climb and descend stairs. Lifting/Pulling/Pushing: 50% - Must be able to lift, walk and climb. Fingering/Grasping/Feeling: 100% - Must be able to type on a computer, answer phones, work with a copy machine and file papers efficiently.
Working Conditions Working hours will be spent in supporting on-site event coordination as well as researching and identifying potential group sales customers that will be visited off-site. Access to the administrative floor at the Science Center requires climbing two flights of stairs. Temperature in the main office fluctuates depending on the time of day. All levels of administration work together in one main room. Respect of noise control is mandatory. Personal calls should be taken out of the main office due to the close proximity of working staff.
