ly and all the data is stored by using files and register. The record of every student, courses, teachers are handled manually and there is no use of any computer. If we want to s e e a n y s t u d e n t i n f o r m a t i o n t h a n all the records will be fetched one by one. This is verytedious and time consuming process. The whole institute is depending upo n one man. Searching and report generation was also n o t p o s s i b l e i n t h i s s y s t e m . Present mode of working is based on manual system in which the all theinformation is first received and than entered in the register. When anys t u d e n t w i l l c o m e i n t o i n s t i t u t e a l l t h e i n f o r m a t i o n i s s t o r e d i n t o t h e registers. If we want to update or delete the information than it will verytedious and time consuming. Same case happens to teachers. When anystudent will pay the funds or fees than it will also stored manually. Onething I will also noted that how he managed the library. He managed thelibrary by writing the name of students or books into the registers and if he will want to reissue the book than first of all full record of student willb e f e t c h e d . I n t h i s i n s t i t u t e s y s t e m , d a t a r e c o r d s a r e k e p t u n d e r f i l e maintenanc e system, due to this system the placement of the data is nota t o n e p a r t i c u l a r p l a c e . T h i s r e s u l t s i n m o r e c o n f u s i o n a n d m o r e consumption of time for the proper maintenance of records. This systemdoes not support any type of data integrity. .1 INTRODUCTION OF PROJECT The idea of developing Institute Management System project is come in our mind whenwe go to the Institute of computer education where we see that the data is handled manuallyin the form of files. This is an attempt to create a project Institute Management System through which will show all the working of Institute will be automated. This project can make the tedious & mistake-prone job easier and faster.It can be used both in top -level and bottom-level management for dailyoperation.A l l t h e f a c i l i t i e s f o r r e t r i e v i n g l i k e s t u d e n t i n f o r m a t i o n , t e a c h e r s information, library management, courses and fees management will beadded, deleted, updated and saved in the project i.e. when a new studentwill come for admission all the information regarding the student will befilled in which course he will submitted ,submitted the fees, attendancechart ,teachers or non teaching staff information ,manages the libraryetc. we can easily see and maintain that how many students are in the institute ,how many courses etc. The application will be scalable and easily maintained. It could be easilychangeable to the changing needs of users. DRAWBACKS OF EXISTING SYSTEM STUDY 2

Existing System study reveals that all the booking was done manually onr e g i s t e r s , w h i c h w a s v e r y t e d i o u s a n d e r r o r p r o n e j o b . S e a r c h i n g a n d report generation was also not possible in the existing system. Also the w o r k o f I n s t i t u t e w a s manually maintained. There was register or file system in the Institute.Present mode of working is based on manual system in which the all theinformation is first received and than entered in the register. It is verydifficult job and time consuming also. Moreover, the existing system isalso dependent on employees, if the employees are absent; it leads to problem and affects the business performance.D u e t o l a r g e v o l u m e o f d a t a , a l o t o f c o m p l e x i t i e s a r e i n v o l v e d i n maintaining, updating and retrieving selected information. Since o l d system is totally maintained manually, some of the complexities involvedin existing system are as follows:1. Redundancy of data: D u e t o i m p r o p e r m a i n t e n a n c e o f d a t a , inconsistency is there which leads to problem like duplication of data. 2. Difficulty in updating the data: P r o b l e m o f u p d a t i n g d a t a i n t h e existing system since everything is stored in registers and files. It is verydifficult and time consuming to update data. 3. Non-centralized data:In the existing system, data records are keptunder file maintenance system, due to this system the placement of thed a t a i s n o t a t o n e p a r t i c u l a r p l a c e . T h i s r e s u l t s i n m o r e c o n f u s i o n a n d more consumption of time for the proper maintenance of records. 4. Delay in retrieving information: Retrieving information is quitetime-consuming process because of large volume of data, if it is required t o l o c a t e a p a r t i c u l a r r e c o r d a l a r g e n u m b e r o f r e g i s t e r s h a v e t o b e scann ed. 5. Problem for keeping the data: As the data is voluminous, morespace is required to store it. Also everything is stored on papers. This typeof storage is more prone to damage with time and due to other accidentalfactors. 6. No integration or relation between the data: Present systemdoes not support any type of data integrity. 7. Not proper retrieval of information: It is very difficult to get datainformation in the existing system if any information is required for anyspecific purpose. PROPOSED SYSTEM STUDY The new system will automate the whole working of institute. In thisp r o j e c t w e w i l l r e t r i e v e t h e i n f o r m a t i o n o f s t u d e n t o r u p d a t e t h e information easily by the use of computer . If any new student come intothe institute for admission all the information regarding the student and inwhich course he / she wants to take admission or what the roll no given tothe student all the information is stored into the database .we can easilyr e t r i e v e d , c h a n g e d , u p d a t e d o r s a v e d t h e i n f o r m a t i o n w h e n e v e r w e want. Information regarding the teachers or non teaching staff are also inthis project .Here we will

manage the library also that is how many booksare in the library and information of all the issued books from the library.F i n e o f t h e s t u d e n t i s a l s o c a l c u l a t e d b y t h e u s e o f c o m p u t e r f r o m t h e attendance chart. Proposed system is very fast, easily and efficient system. T h e p r o p o s e d s y s t e m i s a l s o l e s s d e p e n d e n t o n e m p l o y e e s . I t w o r k s w i t h o ut any help of employees. The whole software is automatic. Theentire software i s f u l l o f p h o t o g r a p h s o f a l l t o p i c s c a t e g o r i z e d u n d e r different groups. 5 OBJECTIVE OF NEW SYSTEM T h e o b j e c t i v e i s t o d e s i g n a s y s t e m t h a t c a n i n t e g r a t e a l l t h e a b o v e feat ures in a single system, so that it can be easy to use .The new systems h o u l d h a v e a l l t h e r e c o r d s a n d f i l e s o f t h e o l d s y s t e m i n a comprehensively linked manner so that w h e n e v e r w e w a n t t o r e t r i e v e some information, it can be done in an efficient manner. The system should be a one-step shop solution where all the different jobsregarding the various operations and functions in the centers can be doneon a single window with least hassle. T hat is, the new system should beable to do work in the least amount of time and with much more efficiencyand effectiveness than the existing system. The designing aspects of new system should be aimed towards basing allt h e d a t a f i e l d s a n d d a t a r e c o r d s i n a s i n g l e d a t a b a s e , f r o m w h e r e a n y operation on the data or data retrieval can be done easily. It should bedesigned in such a way that only the required information is displayedwhen asked for. Not like the manual system where one has to search inhard copy files to look for a particular record.It should remove, if not all majority of the problems that exists in the oldsystem. Also it should be compatible, easy to understand and easy tomodify. T h e a i m w o u l d b e t o r e m o v e a s m a n y p r o b l e m s a s p o s s i b l e f r o m t h e existing system and design the new system in such a manner that it looksa very comprehensive approach to the stated objectives. The organizations t r u c t u r e o f t h e o l d s y s t e m s h o u l d b e c l e a r l y u n d e r s t o o d s o t h a t t h e objectives it aims to achieve can be designed. 6 There should be complete interaction between the various sub-systems of the main system so that there can be efficient functioning of the system.E v e r y c o m p o n e n t o f t h e s y s t e m s h o u l d b e a b l e to interact with otherc o m p o n e n t s t h r o u g h a c o m m o n i n t e r f a c e . T h e r e s h o u l d b e s u c h a n i nteraction interface, that if one component wants the output from othersub-system then it can do so freely and without hindrance.Also all sub-systems should be interdependent on each other and alsoi n d e p e n d e n t , i t m e a n s t h a t w h e n e v e r s o m e s u b - s y s t e m w a n t s s o m e information from other sub-system, it can do so without any problem, alsowhen a system functions independently then it does not have to wait for d a t a t o b e p r o c e s s e d . A l l t h e s u b s y s t e m s s h o u l d b e p e r f o r m i n g t h e designed operations on the given data in a comprehensive manner so thatall of them are aimed towards achieving a common goal. The main objectives of the new system are mentioned below:-1. Fast and Efficient: As compared to existing system, in new systemt h e u s e r c a n g e t t h e i n f o r m a t i o n f a s t , e a s i l y a n d e f f i c i e n t l y f r o m t h e software. 2. Reliable and accurate: As in new system, the information is storeda n d p r o c e s s e d i n c o m p u t e r s s o t h a t d a t a w i l l b e m o r e r e l i a b l e a n d a ccurate. 3. Centralized Data:

-In the existing system, data records are kept underfile maintenance system due to this system the placement of the data isnot at one particular place. But in new system, each and every record ismaintained on computer, which leads to the centralization of data. 4. Non Redundant Information: A s i n p r o p o s e d s y s t e m d a t a i s maintained on the computers so inconsistency does not occur which willnever lead to problem like duplication of data. 7

5. Easy to Access: As compared to existing system, in new system theu s e r s c a n e a s i l y a n d e f f i c i e n t l y a c c e s s e s t h e i n f o r m a t i o n f r o m t h e com puter. 6. No Documentation: A s e v e r y t h i n g i s s t o r e d o n t h e c o m p u t e r , s o there is no need of documentation or maintaining the files.
