About Institute of Postgraduate Studies

The Institute of Postgraduate Studies (IPS) was officially established on 16 November 1991 by Universiti Sains Malaysia (USM) as its main vehicle to strategise, manage and monitor all matters pertaining to postgraduate study programmes of the University, with specific focus to: (i) increase the number of postgraduate students, and (ii) ensure the quality of postgraduate education. Specifically, the functions of the Institute are the following: Implement the visions, missions and policies of the University. Adhere to the guidelines advocated by the University Management and the University Senate. Function as a secretariat to the Board of Graduate Studies. Administer all facets of postgraduate activities from the intake of students, their progress and also the evaluation of theses, and examinations. Ensure uniformity in the implementation of various programmes as well as coordinate and organise thrust courses. In this Registration Guide, students will find useful information regarding the pre-registration and registration matters. Most important of all, an insight into the campus life as a postgraduate student in USM. We hope the Guide helps students in their planning to embark on a journey towards their choice of postgraduate studies.

Signing Up

General Guidelines The following are crucial information which students need to be aware of before registering with the University: - Candidates who are offered admission at the Main Campus are required to register at IPS, Main Campus, Penang. - Candidates who are offered admission at the Engineering Campus are required to register at IPS, Engineering Campus, Nibong Tebal, Penang. - Candidates who are offered admission at the Health Campus are required to register at IPS, Health Campus, Kubang Kerian, Kelantan. - Original documents of degree scrolls and certificates must be presented for verification during registration. - A full-time or part-time registered student of USM is not allowed to register for another degree or programme of study with any other university either locally or abroad. - Foreign students must ensure that their Student Pass has been approved by the Immigration Department of Malaysia before entering Malaysia. Enclose immigration documents to facilitate immigration clearance. Confirm your acceptance of offer of admission using the relevant form (Form A in the Appendix) and submit it to IPS immediately. For issues pertaining to immigration matters, visa, and student pass, contact the Officer-in-Charge at the International Office, USM. Duration of Registration The University has a scheduled time line for registration activities for new postgraduate students. Please take note of the registration schedule according to your mode of studies, as stated in your offer package. For Research Mode Students - Research mode students who are offered admission to a programme of study are given one (1) year effective from the date on the offer letter, to register as a student in this University. The period is inclusive of the requirement to make all the necessary arrangements before coming to Malaysia (for international students). If you do not register within one (1) year, the offer will become automatically void.

Signing Up
Registration is based on the semester system and the date will be determined when the student registers. Semester I is from September - February and Semester II is from March - August. Students are strongly advised to register at the beginning of a semester. The registration date will take effect based on the following calculations: If a student registers on or before 15th of the month, the effective date is the 1st of that month. If a student registers after the 15th of the month, the effective date is the 1st of the following month.

For Coursework/Mixed Mode Students - Coursework/Mixed Mode students who are offered admission into a programme of study are required to register on the date stipulated in the offer letter. Late registration will not be entertained unless accompanied by valid justifications. - Postponement of registration is not allowed except for cases related to immigration matters. - Re-application for consideration in the following academic session must be made for cases where study leave or financial assistance is involved.

Language Requirements and Pre-Requisite Courses The Bahasa Malaysia I course (LKM 100) is compulsory for all international students and must be taken and passed prior to graduation. The required passing grade is C. Registration for the course could be made at the School of Languages, Literacies and Translation in the University. A TOEFL score of 550/IELTS 6.0/grade in other equivalent examinations may be required for certain programmes. Registration for all pre-requisite courses other than LKM 100 (where applicable), must be completed within the first week of the first semester. Candidates need to complete the Pre-requisite form, obtain approval from the respective School/Centre and submit to IPS together with the evidence (receipt) of payment. The registration form IPS/HEP - 05 for pre-requisite courses is available at IPS.

Signing Up

The Smart Card Facility A smart card will be issued to all registered USM postgraduate students upon completion of the registration process. The card is non-transferable and can be used for the following purposes: - Access to and use of library facilities - Payment of fees at the Bursary - Course registration - Examinations (language or pre-requisite courses) - Medical treatment at the University's wellness centre /panel clinics /hospitals - Access to and use of sports facilities - Other related matters pertaining to authorities, for example, the Immigration Department and police Loss of the smart card must be reported immediately to USM Security Office and IPS. A charge of RM60.00 is applicable for every card replacement.

Steps to Registration

Research Mode International Candidate 1. Receive the Admission Offer Letter/E-Offer Letter from the IPS website 2. Medical Checkup (Two (2) sets of medical examination report are required to be completed by the same doctor for USM Wellness Centre and immigration purposes) 3. Submit the following documents via post to IPS: a) Completed confirmation of Acceptance Form (Form A) b) Medical examination report (One (1) set for immigration purposes) c) Photocopy of all pages of passport (3 sets) d) Passport size photograph with blue background (4 copies) 4. Receive the Student Visa/Pass approval 5. Prepare to depart for Malaysia/USM 6. Payment of fees 7. Registration at USM (refer checklist for required documents in Appendix) 8. Get a Smart Card 9. Activate student e-mail account One week after registration 10. Register at Campus Online Portal 11. Registration complete Local Candidate 1. Receive the Admission Offer Letter/E-Offer Letter from the IPS website 2. Medical Checkup (1 set of medical report for USM Wellness Centre) 3. Prepare to depart for USM 4. Payment of fees 5. Steps to Registration

Candidature Matters

Renewal of Registration and Course Registration It is the student's responsibility to renew his/her registration every semester and make payment of fees within the period of registration renewal as advised by IPS. The calendar for registration activities will be published in the IPS website: www.ips.usm.my before the beginning of every semester. Research Mode Candidates - Renewal of registration must be done via the Campus Online Portal. Please refer to page 41 for details/guide. - Research Mode candidates are required to submit the Progress Report online via the Campus Online Portal every semester before they are allowed to renew their registration. In addition, their respective supervisors are required to assess their supervisees' performance through the supervisor's version of Progress Report online, via the Campus Online Portal. Both supervisee's and supervisor's Progress Reports must be updated before registration renewal. - All payments have to be cleared by the stipulated period to avoid late registration penalty of RM200. (The late registration penalty of RM200 will be charged to the student's account.) - Candidates who registered online but did not complete payment during the stipulated period will be considered as registering late and as such, will be liable for the late registration penalty. - A copy of payment, bill and scholarship letter for candidates with scholarship MUST be sent to the Bursary and IPS accordingly by campus (Main/ Engineering/ Health) within the renewal period of every semester. - In the event that a student fails to renew his/her registration within the stipulated period (without justifiable reasons), a termination letter will be issued.

Candidature Matters

Coursework and Mixed Mode Candidates - Registration courses must be done at the Campus Online Portal (http://campusonline.usm.my) before the beginning of every semester. Refer to page 41 for relevant information. - Proof of payment by post or credit card, and copy of bills MUST be sent to the Bursary and IPS at the respective campuses (Main/ Engineering/ Health). All payments MUST be cleared by the stipulated period to avoid the late registration penalty of RM200. (The late registration penalty of RM200 will be charged to the student's account.) - Candidates who have registered online but did not complete their payment within the stipulated period will be considered as registering late and as such, liable for the late registration penalty. - A copy of the bills and scholarship offer letter (for candidates with scholarships) MUST be sent to the Bursary and IPS at the respective campuses (Main/ Engineering/ Health) within the renewal period of every semester. - In the event that a student fails to renew his/her registration, within the stipulated period (without justifiable reasons), a termination letter will be issued. - Full-time students must register a minimum of two (2) courses every semester. Part-time students are required to register a minimum of one (1) course every semester. This requirement does not apply to the Master of Medicine students or students who are repeating courses and/or completing their projects/dissertations. - Registered course must be indicated by one of the following codes (not applicable for the Master of Medicine students): T = Core Course E = Elective Courses Z = Language Courses/Pre-requisite Courses - The number of units to be taken per semester should be confirmed from the respective Schools/Centres.

Candidature Matters

Residential Requirements The residential requirement for a full-time postgraduate candidate is the duration of the minimum period of his/her candidature. The minimum period of residential requirement for a part-time Masters or PhD student is 15 days per academic session.

The Dress Code A student is advised to observe the rules for the stipulated dress code of the University and be appropriately attired at all times. Smart attire At official functions, lecture halls, tutorial rooms/laboratories, the library, the Wellness centre, the sports centre, at the Chancellory, cafeteria and at appointments/meetings with officers. Short/long-sleeved shirts, uniforms, T-shirts with collars, proper shoes, traditional clothes, e.g., Baju Melayu, would be appropriate for male. Female clothes should be covered below knee length, with sleeves and modestly cut necklines. Casual attire This is not allowed on the campuses. Female students are not allowed to wear sleeveless shirts, miniskirts or extremely short shorts and revealing /skimpy clothes. Japanese slippers should not be worn by all students while attending classes or interviews, visiting university departments, etc. Male students should not have long hair that touches the collar. i. Sports attire (shorts) may be used in areas allocated for sports only. ii. Laboratory coats and other relevant safety clothing are required for work in the laboratories at all times.

Money Matters

It is the responsibility of a student to ensure that all fees are settled before registration. Receipts of payments must be produced during registration. Types of Fees Registration Fees (payable once only on admission) Tuition Fees (payable every semester) Personal Bond (refundable at the end of programme of study, applicable to international candidates) Payment of fees must be paid before registration at the University. For Research Mode students, the amount of fees payable is stipulated in the statement of fees enclosed with the offer letter. A receipt reflecting the payment made can be obtained from the Bursary in IPS. For Coursework and Mixed Mode students, the amount of fees payable is based on the number of units registered. (Students should seek advice from the respective School/Programme coordinators for the total number of units to be registered. Information on the course structures and class schedules is also available in the Campus Online Portal.) Ensure all details in the receipts obtained for the payment of fees are complete and accurate.

Money Matters

Methods of Payment Cash payment can be made at the counter of any branch of CIMB Bank (you are required to complete the Payment Slip to make a payment). Please ensure a copy of Payment Slip is presented to confirm the payment made. Please refer to a sample of the Payment Slip in page 39. Payments can also be made online using the CIMB website at http://.cimbcliks.com.my (for CIMB account holders) or through the Campus Online Portal under Online Registration Menu at http://campusonline.usm.my (for credit card and FPX fund transfer). Ensure that the Tuition Fees Payment Bill and individual Identity Card numbers are entered correctly in the spaces provided. A copy of the payment transaction slip must be submitted as confirmation of payment made. Payment of fees can be made by cash/cheque or credit card at the students' account section of the Bursary at the respective campuses for first time registration upon admission only. Students must ensure that all payments are made a day before registration and a copy of the receipt confirming payments made is submitted at the Bursary in IPS.

Scholarship/Sponsorship Candidates Holders of scholarships/sponsorships are required to produce their offer letters from the respective organisations. A copy of the offer letter MUST be submitted to IPS and the Bursary during registration and renewal of registration every semester. International students are required to pay a Personal Bond according to their countries of origin (Please refer to page 40). Payment of remaining fees which are not covered by scholarship/sponsorship (for example, partial scholarship holders) can be made by cash/cheque or credit card at the students account section of the Bursary at the respective campuses.

Going Online

Healthy Campus Programme The Healthy Campus Programme or Program Kampus Sejahtera, a unique USM innovation, was initiated by the Vice-Chancellor in 2001. However unlike the healthy campus programmes existing elsewhere, Program Kampus Sejahtera reaches beyond health to include ideas for sustainable development. Sejahtera in Malay embraces peace, harmony, tranquility, wellness, and health. There is no equivalent word for it in the English language. As a concept, Kampus Sejahtera is meant to guide the entire USM community - from administrators to lecturers, students and support personnel - to focus their commitment and responsibility to the University. Every individual has a role to play through personal initiatives, positive attributes and proactive and voluntary actions to help in the development of the campus. Team work is essential and must cut across departments and hierarchies to initiate new ideas to contribute to its growth. The idea of in-sourcing is an important mechanism for implementation to tap academic and theoretical knowledge of in-house expertise for practical applications. All aspects of the programme require initiatives to be data driven, informed by analysis, and monitored with complete documentation. Through the programme, USM has implemented a friendly portal where various services and information may be accessed by both the staff and the students. All students are given a unique login ID each to enable them to access their personal and academic profiles via the Healthy Campus Portal throughout their studies at the University. However, since semester II, Academic Session 2010/2011 the Campus Online system (http://campusonline.usm.my) was introduced for the use of the entire community in USM, that is, the staff, undergraduate students, students from the School of Distance Learning and postgraduate students. The Campus Online System incorporates all the applications in the university, including online registration, e-cuti, e-perjawatan, kehadiran online, myCPD and others. Please refer to page 41 for information on how to register in the Campus Online Portal.

Going Online

USM Windows Live E-mail The student.usm.my Windows Live e-mail service is available for all students. The University has partnered with Microsoft (Microsoft Live@edu program) to offer this customised@student.usm.my student e-mail account hosted by Windows Live Hotmail. Students are able to send and receive e-mails from any web-connected computer and have one unique account which they may keep and use after graduation upon the achievement of their academic goals with the University. The basic features of the Windows Live service include E-mail (5 GB) mailbox Calendar Skydrive (5 GB web-based virtual hard drive to store and share documents, files, videos, photos, etc.) For more information, browse http://student.usm.my Wireless Connectivity To connect to the WiFi within the campus network, please go directly to the Centre for Knowledge, Communication & Technology (Computer Centre), where officers in charge would assist registered students to configure their laptops, etc. upon presentation of their smart cards.

Student Ambassador The Student Ambassadors comprise a group of volunteers who promote USM and serve as the liaison between the university and prospective students. Postgraduate students from Uzbekistan, Pakistan, Indonesia, Jordan, Iran, India, Bangladesh, China, Maldives, Nigeria, and Malaysia have since been selected to be part of this programme. You may get in touch with any student ambassador before arrival, to seek advice on the Malaysian lifestyle and make other enquiries as well. A student ambassador could also assist to get you in touch with a current student from your country for advice on various related matters. A list of current student ambassadors is available at http://www.ips.usm.my/ambassador/ Pre-Arrival Preparation Immigration and Passport Control for International Students The Division of Academic & International Affairs handles all the immigration and visa matters for international students of USM. Prior to students' entry to Malaysia, please ensure that you have 1. A valid International Passport with at least one year validity. 2. An Offer Letter from USM. 3. Approval Letter from the Malaysian Immigration Department (if any). Regardless of your port of entry, you MUST go through immigration and passport control. At passport control, you are required to present your Offer Letter and Approval Letter from the Malaysian Immigration Department (if any), respectively, to the Immigration officer who will stamp your passport for a tourist visa valid for between 2 weeks to 3 months, depending on your country of origin. Upon arrival in USM, please proceed immediately to the international office for student pass sticker endorsement. a. Getting Student Pass/Visa All international students are required to apply for a Student Pass for the purpose of study at USM. The Division of Academic & International Affairs will assist you in applying for your Student Pass once you have confirmed acceptance. You are required to send the completed Form A together with the following documents: 1. *Items no. 4 & 5 to be settled once you are in Malaysia. Note : i. If you have applied for or registered with any other institutions in Malaysia previously, please provide USM with a Release Letter or Cancellation Letter from the previous institution. Otherwise, your application for a Student Pass with USM cannot be processed and could thus cause a delay in your registration. ii. If you are currently holding a valid Student Pass to study in another Malaysian institution, please shorten the duration of the pass before submitting your documents to us. The international office may be of assistance in both cases mentioned. Applications for student pass are submitted to the Malaysian Immigration Department in Penang or Putrajaya. The application process usually takes one month and students will receive a copy of the Approval Letter by mail once it is approved (if applicable). Nevertheless, students are allowed to enter Malaysia before the student pass is approved by using tourist visa but they need to inform the Division of Academic & International Affairs upon arrival in Malaysia (applicable for countries which do not require entry visa). A valid student pass allows you multiple entry into Malaysia within the period of validity. In case you plan to travel during your candidature period at USM, please find out about the visa requirements of the countries you wish to enter. Embassies and consulates can assist you further.

b. Extending Your Student Pass It is your responsibility to maintain your legal status at all times while you are in Malaysia. The following documents must be submitted ONE month before the Student Pass expires: 1. Three (3) copies of the International Passport (self information and student pass sticker page only) 2. Four (4) recent passport size photographs with blue background (3.5cm x 5.0cm) 3. Payment of RM80.00 - RM 110.00 to the International Office (depending on the country of origin) 4. Medical Report (using the appropriate form) - where applicable 5. Health Insurance (renewed) Students whose Student Pass expires without renewal are considered as 'overstayers'. 'Overstayers' need to go through several processes with the Malaysian Immigration Department and the Royal Malaysian Police Department. Penalty will be imposed on him/her. In such cases the student's ability to enter Malaysia in the future could be affected. c. Visa for Accompanying Family (Spouse and Children) If you would like to bring your immediate family after registration, you are advised to apply for Social Visit Pass from the Malaysian Immigration Department prior to their arrival in Malaysia. Failure to do so will cause each of them to pay an extra fee of RM500.00 (Journey Performed). The Division of Academic & International Affairs will assist you to get the approval letter from the Malaysian Immigration Department and the following supporting documents are required: 1. 2.* 3. 4.* 5.* 6. 7. Medical Examination Mandatory All students are required to undergo and pass a medical examination to be conducted by a registered Medical Practitioner or a Government doctor before coming to USM. The medical report MUST then be endorsed by the USM Wellness Center (Pusat Sejahtera). The medical report forms in the Appendix are to be completed by the Doctor after the examination. For international students this has to be completed by the same Doctor in two (2) sets. One (1) set for immigration purposes to be submitted together with Form A (refer to checklist) before registration. Bring along this report together with a copy of your chest X-ray for endorsement by Wellness Centre (Pusat Sejahtera) in USM during registration. Conditions to undergo medical examination are as follows: a. It is compulsory to use the Health Examination Report for local and international students attached in the Appendix. b. The University only accepts medical examination carried out within 60 days prior to registration. c. The University reserves the right to ask a student to repeat full medical check-up or any specific laboratory test should there be any doubt in the medical report submitted. d. All costs involved in either the original or renewal of medical examination shall be borne by the candidate.

Come Financially Prepared It is advisable to allocate about USD2500 - USD3000 upon arrival, to ensure sufficient funds are available to cover your study expenditure, settling and living costs. The fund should at least cover the following costs: 1. For Non-sponsored Students (If you are self-funded) Recurring Fees and Non-Recurring Fees (Please refer to the exact amount stated in your offer letter package) 2. For Sponsored Students (If you are under any sponsorship programme) It is important to confirm with your sponsor on the scope of the sponsorship; certain scholarships are fully covered by the sponsors while others are partial. If you are only partially sponsored, you would need to allocate your own funds for the unsponsored fees. For example, non-recurring fees or personal bonds are sometimes not covered under certain sponsorships and need to be borne by the student. Types of sponsorships are stated in your sponsorship offer letter. Please produce your sponsorship letter during registration. 3. Health Insurance When acquiring your health insurance in Malaysia (see Section on Health Insurance above) on registration day, you will need to have sufficient funds for the insurance plan of your choice. 4. University Accommodation for Single Students The University Housing Unit (UPPU) administers rooms at hostels in USM which are all of high quality. You may email the unit for reservation, advice, and enquiries. Please note that you are required to attach a copy of your admission offer letter into USM with your hostel application. You are strongly advised to make early hostel application and reservation prior to registration with the University, to guarantee a place in the University Accommodation. Generally students will be allocated a shared room at one of the student hostels, usually on a twin sharing basis with shared bathroom and the cost will be RM4 per person per day. All rooms are equipped with basic furniture. Pillows, linen and additional cleaning equipment are not provided. Public phones and coin operated laundry machines are also available. There are student cafeterias on campus which provide a variety of halal and cheap meals. There are also many eateries in the neighbourhood off-campus. If you have disability of any kind and considering of applying to stay in the University accommodation, it is essential that the UPPU is fully aware of your requirements to ensure your room is accessible or appropriately equipped for your stay. Due to high demand of student housing in USM, we cannot guarantee that all applications will be successful. It is advisable to book as soon as possible after receiving the admission offer package and read this book carefully. You may have children who will need to attend school. Various international schools are available in Penang Island from kindergarten up to secondary school level. Well-known and established schools are Fairview International School (the nearest to USM), Uplands International School of Penang and Dalat International School, which offer a comprehensive learning experience for your children in a cross-cultural setting. Boarding is also available as optional for students. Local Malaysian State schools are also available. Children aged between 7 and 12 years will need to attend primary school while children aged 13 to 17 years will need to attend secondary school. For postgraduate students who require child care, the University provides a Day Care Centre for a fee. Private Accommodation There are many private rented accommodations which are located within walking distance to the campus with easy access to amenities in the citycentre. You are encouraged to discuss your individual needs with your supervisor, or with our Student Ambassadors who may be able to put you in touch with other students who are also looking for private rented accommodation.

Main Campus Areas within walking distance to the University Campus include Sungai Dua, Batu Uban, Gelugor and Minden Heights and these places are serviced with USM buses. However, areas such as Century Garden and Island Glades are also popular but students would require their own mode of transport, by either a motorcycle or a car. Two to three rooms apartment cost approximately USD260/-(furnished) or USD170/-(unfurnished) monthly. Engineering & Health Campus A room costs approximately USD90/-(furnished) or USD60/-(unfurnished). Private accommodation in Nibong Tebal and Kelantan range from USD150/USD200/- per month.

Getting to USM Main Campus By Air Penang is easily accessible by air with daily flights from major capitals in the region. It has direct links with Singapore, Bangkok, Haadyai, Phuket, Medan, Xiamen (China), and Madras, and flights are operated by Malaysian Airlines. However, many international flights to Penang will usually transit in Kuala Lumpur where passengers will be transferred to a domestic flight to Penang. The Bayan Lepas International Airport is situated about 10 km and 20 km from Universiti Sains Malaysia main campus in Minden and the City Centre, respectively. Taxis plying the route operate a coupon system by which fares between the airport and various destinations in Penang are fixed. Passengers pay the fare at the taxi booth in exchange for a coupon which they then produce to the taxi driver. Air conditioned taxis and limousines charge slightly higher fares. By Road You can get to the island using the ferry service from the Pengkalan Sultan Abdul Halim, Butterworth, or by the Penang Bridge.

By Penang Bridge A charge of USD2 is levied on all classes of cars at the toll plaza in Perai in the mainland. If you travel by coach or bus, the charge is absorbed by the bus operator. No payment is required for travelling from the island to the mainland. If you are driving from Johor Bahru or Kedah, it is extremely convenient to use the North-South Expressway (NSE) to reach the Penang Bridge. If you travel by bus, you will pass the Main Campus and alight at the Sungai Nibong Express Bus Terminal. Sungai Nibong is the name of the town, where the bus terminal is situated. It's close to the Main Campus, and the Penang Bridge. From here the buses leave to all directions of the country. Although it is near to the university, you may want to hire a taxi which is readily available to take you into the campus area which is vast and hilly.

By Ferry Butterworth-Penang Ferry Services Those taking the ferry from Butterworth would have first arrived there by train or bus. From there, you can take the ferry at Pengkalan Sultan Abdul Halim across the channel to George Town. This takes you to Weld Quay in George Town, from where you can get connections to USM and other parts of the island. The Rapid Penang Bus Terminal is right outside the ferry terminal. Taxi services are more practical if you're carrying many luggages but the fare is more expensive than the bus. You can check the Rapid Penang Bus Routes at http://www.rapidpg.com.my/journey-planner/ The ferry service to Butterworth uses Pengkalan Raja Tun Uda at Weld Quay, also known as the Jetty. In addition, there are also ferry services between Penang, Langkawi, and Medan. These services use the pier at Port Swettenham. Look for the signboard pointing to the ferry services to Medan. Medan, Indonesia - Penang Ferry There is also a ferry service between Medan and Penang operated by Langkawi Ferry Services. Passengers should check in one hour before departure. The journey takes approximately 6 hours. Getting to USM Engineering Campus The Engineering Campus is located on the mainland of Penang about 50 km from the Bayan Lepas International Airport. Getting to USM Health Campus By Air Malaysia Airlines operates daily flights to Kota Bharu, Kelantan from Kuala Lumpur and Penang. Firefly Airlines also flies daily to Kota Bharu, Kelantan from Kuala Lumpur. By Rail Express trains from Kuala Lumpur to Kelantan terminate at Wakaf Bharu and Tumpat. From these two points, you can get to Kota Bharu either by taxi or bus. Stop over points enroute include Gua Musang, Kuala Krai, Tanah Merah and Pasir Mas. By Road There is an excellent network of roads linking the major towns in Peninsular Malaysia to Kelantan. From Kuala Lumpur, the overland route eastwards along the Karak Highway takes you to Kuantan in Pahang; a journey of about 3 hours. The rest of the journey from Kuantan to Kota Bharu takes about 4.5 hours. The route heads northward along the coast passing through picturesque villages and providing scenic views of the palm-fringed beaches overlooking the South China Sea. The inland route to Kota Bharu turns off the Karak Highway at Bentong and proceeds northwards to Raub and then to Gua Musang, before reaching Kota Bharu. An alternative route exits the Karak Highway at Temerloh and passes through Jerantut, Bentong and Gua Musang enroute to Kota Bharu. From Penang, travel along the East-West Highway to Jeli in Kelantan before continuing the journey to Kota Bharu. The whole journey would take about 7 hours.

Arriving in Malaysia and USM Arrival Day Please note that the University does not provide pick-ups from the airport and students are advised to arrange their own ground arrangements to the University or place of accommodation. It is best to contact your supervisor (if any) or any student ambassador prior arriving for advice or assistance. You are strongly advised to plan your arrival on weekdays and during office hours so that the University might be able to help you in any case of emergencies. Avoid arriving after office hours, at night or during weekends to register with the University especially if you have not made prior accommodation arrangements. If you are already guaranteed a place with the University Accommodation, it is best if you contact the University Housing Unit (UPPU) to inform them of your arrival date and time for the key collection. Again, avoid arriving after office-hours or during weekends. You are advised to register at the Institute of Postgraduate Studies (IPS) and IPS Branch in the respective campuses according to the schedule given in your offer letter package. For students undertaking coursework and mixed mode programmes, arriving later than the registration period might cause you to miss important programmes such as the Orientation and Familiarisation Programmes (for international students). Money and Banking The Malaysian currency is the Malaysian Ringgit (RM) and cents, though people often refer to it as Ringgit and cents. A hundred cents make up one Ringgit. Coin denominations are 5, 10, 20 and 50 cents while notes are in RM1, RM2, RM5, RM10, RM50, and RM100. Usually, the shops in the vicinity of the campuses do not accept credit card. You can change currency and travelers cheque at any bank and money changer. The commissions and exchange rates vary so do compare and use only the authorised money changers. USM has banking and ATM facilities provided by the CIMB Bank, Muamalat Bank, and Bank Islam throughout the campus. Money changers can be found in Georgetown and in major shopping centers. Western Union money transfers are available through various Malaysian banks and the post office.

Orientation The University runs two categories of orientation programmes for newly registered students in September (for coursework and mixed mode students); administrative and at the School/Centre levels. A one-day orientation at the administrative level includes briefings from the Institute of Postgraduate Studies, Wellness Centres, the Library, the Security Department, and other important departments of the University. At the School/Centre level, you will be briefed on academic matters and be introduced to the academicians and management of your respective school/centre. Both levels of orientation are vital for new students to attend as it provides a window to the University and its functions. Schedules for these orientation programmes will be announced in the IPS website www.ips.usm.my and on the notice board around the campus.

Familiarisation Programme for International Students You are strongly advised to attend this programme which is tailor-made for international students. In addition, mini-familiarisation programmes are organised throughout the year for new international students. The dedicated week includes exposure to the diversified cultures in the University and campus trips to help you settle into life at USM. It also takes you through many of the necessary introductory tasks, including helping you to familiarise yourself with the campus and the city centre. You will also receive briefings in understanding and adjusting to Malaysian life, customs and practices. Most important, you will also have the chance to meet other new students from all over the world. Throughout the year, familiarisation activities are organised. The Ceremony is carried out in September annually to welcome new postgraduate students of USM. In the ceremony, students are being introduced to the Deans and Directors of each School/Centre and the higher executive management by the Vice-Chancellor. Students will also perform the oath taking ceremony. You will also have the chance to network with other new students from all over the world and register with the Postgraduate Student Association.

Clothes - As the weather in Malaysia is warm and humid, light cotton clothes are comfortable to wear. Certain dress codes do apply. Generally speaking a shirts that cover shoulders, and skirt/pants that come down to the knees are considered appropriate for females. Men are usually dressed up in long pants and a shirt. Sandals and shoes are acceptable footwear, and so are high-heeled slippers. Flip-flops (rubber slippers) can be worn at the beach and shopping centers but not acceptable enough for formal or semi-formal occasions. As air-conditioning is widely used, a sweater or a jacket might be occasionally needed. Long distance air-conditioned buses, trains, and ferries can be surprisingly cold, so be prepared for a chilling experience.

Food - Malaysia has huge variety of cuisine and food is available basically everywhere. However, for those who prefer their diet without animal products it might be challenging finding suitable nourishment. This is because usually fish oil or shrimp paste is used for cooking the vegetables. There are however a fairly large selection of Chinese and Indian vegetarian restaurants in Penang. You are likely to find chili with other hot spices in your meal unless you request for non-spicy serving. Though tap water in Penang is usually of good quality, either filtered or bottled water is recommended for drinking. When buying food for home, use tightly covered containers to protect your food from ants. Fruits and bread last longer when placed in the refrigerator. Try the extensive variety of food available to find your own favourite, there is definitely a lot to choose from!

Health Tips Heat The most common threat to health in Malaysia is the sun. The weather is hot and humid all year around and the impact of the sun is very strong. Around the equator sensitive skin can get painful sunburns in less than 15 minutes. To avoid sunburns, sunstroke, and dehydration, please protect yourself properly and drink plenty of water during the day. Diarrhea Sometimes changes in the diet can cause diarrhea even though the food taken is of good quality. It is very important to drink plenty of liquids to avoid dehydration. Keep drinking small amounts often. If needed, you can get rehydration salts and other medicines from USM Wellness Centre (Pusat Sejahtera). While recovering, avoid spicy food. Go slow with spicy food. Get yourself introduced little by little before really indulging yourself. We would advise students to go for fresh cooked meals. Avoid readymade food served on trays at restaurants. Dengue Fever Other, less common hazards are dengue fever and malaria. Dengue is a serious disease caused by a virus that is transmitted to humans by the bite of an infected mosquito. Mosquitoes that have bitten a person with dengue virus can transmit the virus after about a week when biting a healthy individual. Dengue cannot be spread directly from person to person. The main symptoms are high fever, severe headache, backache, joint pains, nausea and vomiting, eye pain and rash. If you think you might be infected, please proceed to the doctor as soon as possible. A blood test will be done to confirm infection. Usually dengue patients are advised to stay in a hospital for a few nights.
