JOINING INSTRUCTIONS FOR OGIP PARTICIPANT


Dear Participant, On behalf of the OGIP2012 Committee, I am delighted to confirm your participation in the Student Competition ! Enclosed please find the following:

GENERAL INFORMATION A) Registration Desk There will be an OGIP Student Competition Registration Desk located at the lobby of the Sri Wedari Hotel Yogyakarta on Wednesday, 29 February 2012 from 12.00 pm till 5.00 pm. You will be required to approach the OGIP Student Competition registration desk to register and collect your attendee package upon arrival at the hotel. The registration desk will be manned by OGIP Staff, Martina Jatiningsih.

B) Accomodation This is a residential meeting. Hotel accommodation has been reserved for students at the Sri Wedari Hotel Yogyakarta, Laksda Adisucipto Street km. 6 Number 6 Yogyakarta 55281 Indonesia. Situated in Yogyakarta's elite area and royal district, Sri Wedari Hotel Yogyakarta is a 10-minute walk from Amabarukmo Plaza Shopping Center. Malioboro Street Cultural Shopping Area is 20 km from the hotel, while the Adisucipto Airport is 7 km away. Please note that OGIP will not cover any miscellaneous or incidental charges incurred by students, including mini bar, local and international telephone call charges, laundry or dry cleaning, entertainment, food and beverage consumed at the hotel, early hotel check-in or late check-out arrangements not approved by OGIP, additional room nights and other special hotel accommodation requests including room changes to single or double rooms. Please bring sufficient cash and/or credit cards to cover any additional expenses. For hotel information please visit the following site: http://www.sriwedarijogja.com. Please do not contact the hotel regarding your accommodation. This has been taken care of by OGIP Staff.

C) Check-in / Check-Out Time

Rooms will be arranged on a sharing basis (sharing room consist of 4 person which is with the same gender) with check-in starting from Wednesday 29 February or and checkout on Saturday 3 March 2012. Please register and collect your attendee package upon arrival at the hotel at the OGIP Registration Desk. Upon registering you will be required to approach the reception to collect your respective room keys. Each individual will be assigned with a key by your individual name. Strictly NO swapping of partners and rooms.

D) Transportation Upon arrival into Yogyakarta Indonesia , you will be picked up in place of arrival and take you to Sri Wedari Hotel by our comittee. We recomend all of participants to contact your liason officer 2 days before your departure and your arrival schedule.

E) Passport and Visas All citizens require a valid passport to enter Indonesia with a validity period of six months and beyond the length of their stay. Visa requirements depend on country of origin and last destinations before entering Indonesia. Invitation Letter to apply for Visa had been sent prior, all students requiring Visa, MUST make sure that they have a valid Visa to enter Indonesia.

F) Local Information Language: While the official Indonesian language is widely spoken throughout Indonesia, many Indonesian also speak and understand English, more so in Yogyakarta and major tourist areas. However, English is typically the common currency for cross-cultural conversation as Indonesia does hosts visitors from around the world.

Climate: The weather in Indonesia is generally marked by two seasons, the rainy season and hot season, though the climate is generally pleasant year round. Considering its location in the tropics however, the Indonesia climate is quite warm dor half of the year and genuinely rainy weather for the rest year, while Yogyakara receive perhaps hot seasons for late of February and early March.

Time: Standard Indonesia time is seven (7) hours ahead of Greenwich Mean Time (GMT).

Health: Ensure that food is well cooked and consume only bottled mineral water. Tap water in the hotel is to be boiled prior to consumption using the facilities provided in the room.

Currency: The national monetary unit is Indonesian Rupiah (IDR). US $1.00 is approximately 9.250 IDR. Foreign currency can be exchanged at the airport, local banks and hotels. Money and Travellers cheques can be exchanged at banks and money changers. Major credit cards are accepted in hotels and department stores. Cash however, is required in the local markets.

i) Dress Code During the OGIP conference, conference attire is recommended. University Identity (University Jacket), long pants, and formal shoes.

During the Competition (Smart Competition, Papper Contest, and POD) Formal shirt with long pants combine by formal shoes, and for paper contest the participant must use tie for complete the attire. University Jacket during Student Competition is allowed. During Social Activity and gathering T-shirt that had been prepared by the commitee with long pants or jeans.

Farewell party. Wear you best clothes (Formal Clothes) because participants will be selected with the best performance.

NO jeans or trainers while the competition, (except for free/personal time). With due respect, it is better not to wear revealing clothes in the town area.

J) Medical assistance and First Aid The Sri Wedari Hotel Yogyakarta has first aid equipment, which is ready to use for 24 hours. Should there be a medical attention or urgency, please contact OGIP Staff, Yoandra Saputra for immediate assistance. They can be reached through the hotel operator.

K) Health, Safety, Security and Environment (HSSE) Please adhere to the Sri Wedari HSSE Procedure. The Fire Evacuation Plan is behind the door of the room allocated to you. Please read the rules and regulation in the hotel guest menu in your room.

SOCIAL ACTIVITY There will be a social activity organise on the Friday 2 March 2012 between 8:00a.m to 10.00p.m to Merapi Village.

STUDENT GATHERING There will be student gathering and amazing race around Traditional Market Malioboro organise on the Friday 2 March 2012 between 1:00p.m to 5.00p.m.

CODE OF CONDUCT / LIABILITY WAIVER 1. Students agree that they will travel to Yogyakarta - Indonesia for the period 29 february -3 March 2012 (depending on flight schedule arranged) and be housed at the discretion of OGIP. Student accommodation involves sharing facilities. OGIP will pay for travel and accommodation during in Yogyakarta. 2. Students will not be permitted to use the mini bar. Any orders made through room service will have to be paid by the student directly or upon departure from the hotel. 4. Students will be given a schedule for their attendance at the OGIP Student Competition and other planned OGIP activities, to which they must adhere. 5. Any social or ticketed events must be paid by the students along with any subsequent costs incurred by those events. 6. Students must respect and abide by the laws set out by the Government of Indonesia. 7. If a Student is in breech of this Code, OGIP reserves the right to send a Student to his/her home country before the end of OGIP activity.
