Call for Proposals

4th Annual For Colored Girls Women & Girls HIV/AIDS Awareness Day Health Fair

March 21 & 22, 2014 - Portland, Oregon The A6 National Women and Girls HIV/AIDS Awareness Day (NWGHAAD) Executive Planning Committee is pleased to announce this Call for proposals for the 4th Annual Women and Girls Health Fair, March 2122, 2014, PDX, OR This years theme is Our Sisters and Brothers Keepers in acknowledgement that we must eradicate stigma and come together as one regardless of status. This theme recognizes a solid history to learn from, and exciting new discoveries which can guide our way forward together in forming community. We invite proposals for the 2014 conference that address any area of community building, healthier sexuality education; HIV/AIDS related stigma reduction; gender cooperation; and specifically those topics which are of interest and led by youth presenters. DEADLINE: Submission must be postmarked and/or received by February 21, 2014

All sessions will be assigned to March 22, 2014 between 10:005:00 p.m. Sessions will vary in structure in order to provide a robust conference experience for presenters and reviewers may suggest alternative formats and/or the combination of like topics to form symposia.

Concurrent Sessions are sessions that present research, theory, concepts, and practices. Concurrent sessions
are 45 minutes long and consist of either one presentation for the full 45 minutes, or in some cases, two presentations back-to-back (about 20 minutes each).

Workshop Sessions are similar to concurrent sessions but are longer sessions that are interactive in nature
and facilitate group participation in some form.

Symposium Sessions combine a number of presenters who present and discuss their work on a similar topic.
Each presenter will be provided with approximately 15 minutes to present their work. After all presenters have presented their work, there will be a joint time at the end for questions and discussion. It is not as-

sumed that those presenting in a symposium format will collaborate before the session, only that they share the time. The idea is that by combining different aspects of a topic, rich discussion among presenters and the audience will ensue. Please Note: Presenters should indicate their interest in participating in a symposium. However, regardless of whether a presenter indicates this preference or not, the review committee will make this determination based on the volume of the proposals received, the time constraints of the conference, and other pertinent factors.

Roundtable Discussions provide an opportunity to discuss research in progress, research issues, or other relevant topics with a small group in an informal setting around a table or in a circle of chairs. There will be several roundtable sessions scheduled in a large room at the same time. These sessions are 45 minutes in length.

Poster Presentations provide an opportunity to present and discuss one main research theme or relevant topic in an informal
and graphics on a board no larger than 30x40. As conferees visit the display, presenters will have the opportunity to disc uss

setting, somewhat like an exhibit hall or information fair. A good poster session centers on one main theme, presents useful information, and stimulates discussion. Presenters prepare a display that captures their topic and ideas in easily understood printed text their poster topic with them. Presenters should prepare a few remarks that will welcome attendees to their poster. It is helpful to provide handouts for participants with presenters contact information to facilitate further discussion. These sessions shoul d be well organized with an informal blend of presentation and dialogue. Please Note: Poster Sessions will be held with the tabling events and vendors to create interactive dialogue throughout the day. Tables will open @ 9 a.m. for set-up. We ask that multiple individuals be prepared to help with poster sessions as they should be up the duration of the day on Saturday, March 22, 2014.

The information presented on the form will be published in the conference program. It is suggested that you develop your proposal as a Word document, edit and carefully check spelling. We will review all proposals submitted. You may be a primary presenter on only one proposal; however, you may be included on other proposals as second or third presenter. You may be included on two other proposals as second or third presenter.

Committee Proposal Review & Acceptance A review will be conducted based on the following criteria: 1. Is the abstract informative, enticing, and succinct? 2. Are the learning outcomes observable, relevant, and concise? 3. Does the session description match the session abstract? 4. Is the content defined, applicable, and relevant? 5. Is the format/technique defined, participatory, and understandable? 6. Does the proposal use correct spelling, punctuation and grammar? If it does not, it may be returned to you for editing prior to review. 7. Available session slots will be proportionately awarded by content areas, and will be filled by the highest -ranking proposals, as space permits. The Program Committee may, at its discretion, combine related presentations or change the presentation type. Notification & Information Notification of acceptance and assigned presentation time decisions will be e-mailed by on or about March 6, 2014. The Program Committee Chair will send you an email message, which will also be posted to the FB event under the CHATpdx website https://www.facebook.com/events/619436884790828/.

Presenters must confirm that they will present at the conference by Wednesday March 12, 2014 by emailing with a subject of presenter confirmation to afoster@cascadeaids.org. If you have not heard from the Proposal Review Committee about your submission by March 10, 2014, please check the CHATpdx event https://www.facebook.com/events/619436884790828/ or email the Proposal Committee at afoster@cascadeaids.org Primary Presenter is the only person with whom the Program Committee will correspond, and the Primary Presenter is responsible for communicating information to all co-presenters.
