About the Company

North Coast Institute (NCI) is one of 10 institutes within TAFE NSW, judged as the best large training provider in the state of New South Wales in 2004 and 2005. . NCI also received the award of Australian Large Training Provider for the year 2004 and was short listed in the top three in Australia for this award again in 2005. The North Coast Institute consists of 17 campuses located between the Great Lakes region in the south to the Tweed Heads region on the Queensland border. The Institute has Registered Training Organisation (RTO) status under the Australian Quality Training Framework (AQTF). It also has ISO 9001:2000 certification. NCI enrolls approximately 40,000 students every year.

Problem Statement
As a multi-location organization with over 3000 employees, NCI was virtually inundated with hundreds of paper forms that required approvals from managers in different locations. The approval cycle ran from a few days to weeks. NCI decided to implement an automated document management and approval workflow solution to cut process cycle time. Key Decision Factors

NCI selected Skelta SharePoint Accelerator as the automation platform. Key decision factors were: ! Skelta requires no client install to build workflows.Since NCI used different workstations at different locations and laptops, elimination of client software was a big bonus. Seamless integration with NCI's existing SharePoint environment Skelta offers superior custom list workflow integration for SharePoint as compared to the other products evaluated.

The Implementation
Skelta SharePoint Accelerator has been implemented for automation of NCI's organizational approval processes across all departments. The approval processes vary from department to department and for each document type within a department. On an average, NCI has taken 2 3 days to build, customize and deploy workflows in the production environment. This includes scoping requirements and testing functionalities of the workflows. Skelta SharePoint Accelerator has enabled NCI to turn paper forms into electronic versions via SharePoint custom lists and then to design individual workflows for each form depending on approval process requirements.

The Results

Reduction in approval process cycle is estimated to be 70% due to usage of electronic copies and elimination of physical movement of paperwork. Reduction in costs are expected to be more than 40% with savings in data processing and approval times, % savings in purchasing paper, toner, print usage, and resource time. Improvement in average approval process completion time is estimated to be more than 50%. This process acceleration drives more efficiency and promotes earlier approvals being received. Through customized work management plans, NCI expects to significantly reduce the amount of time that valuable resources spend on printing and completing paper based forms. A corresponding increase in productivity and substantially reduced errors are added benefits. Implementation of Skelta SharePoint Accelerator for automated document approvals has resulted in higher employee satisfaction. Employee response to the new system has been overwhelming with numerous requests to automate and design workflows for other paper based forms.
