UNITO ADMINISTRATIVE PROCEDURES FOR ERASMUS AND INTERNATIONAL STUDENTS 2012/2013

In this document you will find the services of the Universit degli Studi di Torino, the administrative procedures for your mobility period and some useful information for your first days in town. This information will be presented during the orientation meetings with the International Mobility office. Participation in the meetings is not compulsory, however it is recommended to clarify any doubts about the procedures and as a meeting occasion with the other international students arriving in Torino. For further information or clarifications, please write an email to relint@unito.it.

USEFUL INFORMATION
On the University website www.unito.it English UniTO International Relations Students' Mobility Erasmus and Exchange students, you will find the file Useful information incoming students 2012/2013 with practical information on the organization of your stay in Torino. For example, this document provides information on: Residence permit: we remind you that students coming from extra-EU countries, staying in Torino for more than 3 months, must apply for the residence permit within 8 working days after their arrival in Italy. The International Mobility office provides support for the preparation and the sending of the request. To make use of the service offered by our office, write an email to relint@unito.it. For further information see also the University website at www.unito.it English UniTO Practical information Residence permit. Health assistance: at EDISU Piemonte (Ente per il Diritto allo Studio Universitario) there is an information point for clarifications on how to access to the National Health System (SSN). Contacts and references are indicated in the file. We would like to point out that: a) European Union citizens in order to access the National Health System (SSN) for the choice of a family doctor (free of charge) and the use of hospital services and specialists examinations at public hospitals or at private clinics which have agreements with the National Health System (strutture convenzionate) at the same price expected by Italian citizens (payment of ticket) have to refer to the Azienda Sanitaria Locale (ASL) located nearby the residential area. b) To ask for a residence permit, extra-EU citizens must purchase a private health insurance which covers only medical expenses for emergencies. On the other hand, to access the SSN, which provides the same services offered to European citizens, extra-EU students must refer to the ASL located nearby the residential area. Tax code (Codice Fiscale CF): non-mandatory ID document, but often requested for administrative procedures such as the purchase of a mobile phone card (SIM), a rental contract or the opening of a bank account. Extra-EU students must apply for a tax code in order to submit the request for the residence

permit. In the file you will find the instructions on how to apply for a tax code at one of the offices of Agenzia delle Entrate. Local public transportation: there are monthly and season tickets. Monthly tickets can be purchased in tobacconists stores and they must be validated only the first time you get on the bus within the first stop. They are valid from the 28th of the month until the last day of the following month. IMPORTANT: if you validate the ticket before the 28th day, the ticket will expire the last day of the current month.

FIND AN ACCOMMODATION
1) Sportello Casa Through the association Sportello Casa, the University of Torino offers Erasmus and international students free assistance in finding apartments and rooms in the city. 3) When looking for an accommodation, in case of availability, we remind you that is possible to book a room in the EDISU University dormitories for a period of maximum 15 days. To book a room, it is necessary to fill in the online registration procedure available at the University website www.unito.it English UniTO Practical Information Accommodation .

UNIVERSITY RESTAURANTS
At Infopoint you will receive the EDISU card which allows you to eat at the university restaurants at competitive fares. A complete meal costs 3.50 euro and a reduced-meal 2.40 euro.

CUS TORINO
CUS TORINO is the university sports centre. It organizes sporting activities and tournaments particularly dedicated to students and offers its facilities at special fares. The CUS Card is the subscription card of CUS Torino and gives access to facilities, activities and discounts. It is valid for one academic year and is free of charge to all students enrolled at the University of Torino, including the Erasmus and international students. The CUS card has to be requested by students directly at CUS and is useful for practising sports (at competitive and non-competitive level) in the CUS centres at special fares. Moreover, the CUS card offers discounts and can be used for renting tennis courts, five-a-side football fields, etc.

In order to practice sport activities, you need to have a medical certificate that can be obtained directly at CUS at special prices. COUNSELING: SUPPORT AND ASSISTANCE


The counseling service offers free professional support for students encountering: personal or social difficulties that interfere with the academic goals adaptation problems to Torino stress and anxiety conditions

It is also the place where all the documents which need to be signed and stamped by the administrative office have to be handed out and/or the documents prepared by the International Mobility Office have to be collected. Professors and Erasmus office of your didactic organization (Faculty): for every issue related to the study plan in Torino, as the choice of the exams and the confirmation of the Learning Agreement, students must refer to professors or, when available, to the Faculty/Department Erasmus office.

REFERENCES FOR DIDACTIC ISSUES


During the a.y. 2012/2013 the University of Torino has been facing an organizational change that brought to the creation of Departments for the management of the didactic activities that were previously managed by the Faculties. However, for the a.y. 2012/2013 incoming students are still enrolled by Faculties. We point out that for all matters concerning the didactic issues, students should refer to the professor in charge of the bilateral agreement indicated in the University booklet (libretto) In order to have more information about the organization of the courses and the Learning Agreement, students can also refer, in case of particular problems, to the Erasmus delegates of the didactic organization (Faculty). The list of the Faculty delegates is available in the attachment A. Besides, some didactic organizations, i.e. Economics, Political Sciences and Psychology, have their own Erasmus office. Furthermore, some didactic organizations plan orientation meetings specifically dedicated to their own incoming Erasmus students. It is possible to find the contacts of the professors in the address book available on the homepage of Unito (www.unito.it) under the tag Rubrica. The timetable of office hours for the professors is indicated in the contact details or directly on Faculties websites. On the website of the didactic organization you will also find: - the list of courses - the timetable of lessons and exams - the services offered to the students of each didactic organization. We suggest students to take contact with the professors of the courses they are going to take, to introduce themselves and ask whether there are any specific information or instructions for Erasmus or international students.

LEARNING AGREEMENT
The Learning Agreement (the study plan for the mobility period) can be signed by the professor in charge of the exchange or by the Erasmus delegates of the didactic organization. It is essential to have the study plan signed as soon as possible to be sure that the courses and the exams chosen will be approved. If the signature of the Institutional coordinator is also needed, students can: - have the Learning Agreement signed by Erasmus delegate of their didactic organization

bring the Learning Agreement to InfoPoint AFTER having obtained the signature as Departimental coordinator of the professor in charge of their exchange (or of the Erasmus representatives of the didactic organization).

NOTE: 1 CFU (local credit) = 1 ECTS.

ITALIAN COURSES
The University of Torino offers all Erasmus and international students free 40-hours Italian Language Course. The courses begin at the start of each semester and offer the chance to choose between 3 levels (beginner, intermediate, advanced). Only for intermediate and advanced courses, the knowledge of the language will be checked with a written test at the beginning of the course or, if the course has already started, during the first lesson you will attend. The complete timetable of the courses will be sent to students by email together with the instruction for the registration. It will also be available on the University website at: www.unito.it English UniTO Learning Italian. Students have to attend minimum 30 hours of lesson in order to get the final certificate of attendance. To obtain the final certificate and the related credits (5 ECTS), besides attending a minimum of 30 hours of lesson, students have to pass the final exam. NOTE: for the achievement of the 5 ECTS credits for the Italian course, it is necessary to have it recognized by the home University in the Erasmus study plan.

ADMINISTRATIVE PROCEDURES
REGISTRATION AT INFOPOINT
Once you get to Torino, you need to register at Infopoint and collect the following documents: - the University booklet: it is the official document certifying your enrolment at the University of Torino, where the examinations you take will be registered. - the Declaration of self-certification (2 copies): it attests your date of arrival and your status as an Erasmus/international student enrolled at the University of Torino. NOTE: The start date of your mobility period will be the one on which you print out your declaration of self-certification. To get further copies of this document you can ask to Infopoint. - EDISU Card: it gives you access to university restaurants.* *If the card is not available at Infopoint, you can collect it directly at the EDISU main office, as indicated in the folder with all the documents you have received at Infopoint.

PERSONAL CREDENTIALS After registering at Infopoint, students have new personal credentials corresponding to: - username= matricola number (ie. ER2345) - password=date of birth (with the following format: dd/mm/yyyy) These credentials give you access to the following services: - online services for incoming students - MyUniTO services on www.unito.it (only some services available for international students) - registering online for the exams - free wi-fi in the University buildings

PROCEDURE FOR THE EXAMS Online registration


In order to take examinations at the University of Torino, it is COMPULSORY to register on-line through a web procedure applying for the specific date of the exam you want to take. To register you have to: - check the procedure used by your Faculty for the registration, consulting the University website at: www.unito.it Servizi per gli studenti Prenotazione e bacheca appelli. NOTE: not all Faculties use the same procedures. - access the procedure for your Faculty using your NEW personal credentials - follow carefully the instructions given by each Faculty For all the didactic organizations using the Esse3 system for the exams registration, you have to contact the professor by email in order to apply for the specific date of the exam you want to take. Statino In order to take examinations at the University of Torino, it is requested to go to examinations with an administrative document called statino. NOTE: if you have not the statino with you at the exam, you will not be able to take and register the exam. To request statini it is necessary to: - connect to the web procedure for incoming students available at www.unito.it English UniTO International Relations Students' Mobility Erasmus and Exchange students - enter the procedure using the NEW credentials and select the option Statini from the main menu - for each exam enter the following data: o Name of the exam o Number of ECTS credits o Name of the professor o Faculty where the exam will be taken - send the request using the button Send your draft (it is also possible to insert the exams and save the data as a draft and then send your request later on re-accessing the procedure in another moment) Once students have sent their request, they must wait for an email notification confirming that it is possible to print the statini.

Pay attention to the timing! - statini will be approved within 3 working days after the receiving of the request - the printing of statini will be possible only from the day after the approval Example: request of statini sent on the 16th of December print out of statini possible from 20th of December. NOTE: please note that, due to the data management system, the printing of the statini will NOT be available on the same day of the request. Each student will be able to print the statino using one of the self-service boxes dedicated to the students of the University of Torino and located in the University buildings or at Infopont. It will be necessary to login with the personal username and password already indicated. Registration of the exams We inform you that the day of the exam, other than the statino, you need to have your University booklet, which is essential for the final registration of the exam and the related mark. The local grades correspond to the ECTS grades according to the following scheme:

EXTENSION
Students who want to extend their mobility period at the University of Torino need to obtain the authorization to the extension from the Italian professor in charge of the bilateral agreement and from their home University. Extensions are mandatory to be able to take exams after the official ending of the Erasmus/mobility period. In order to ask for an extension you need to: - send via email to relint@unito.it an extension request indicating the number of additional months - provide the International Mobility Office with the authorization of the Italian professor in charge of the bilateral agreement and the authorization of your home University The authorizations of the Italian professor and of your home University can be sent via email to relint@unito.it or by fax to +390112361017. Once you have obtained the extension, you can ask for the renewal of the EDISU card sending an email to relint@unito.it. The Erasmus period lasts a maximum of 12 months. In order to be able to take exams after these 12 months it is necessary to have a specific agreement between the Italian didactic organization and the students home University outside of the Erasmus programme.

CLOSING OF THE ERASMUS AND/OR INTERNATIONAL MOBILITY PERIOD


The closing of the mobility period is MANDATORY! In order to close the Erasmus or International mobility, you will need to deliver at Infopoint: - your University booklet (libretto) - any forms from your home University which need a signature and/or a stamp from the University of Torino - the address of your University of origin where the final documents have to be sent to The final documents of the Erasmus period will be directly sent to the University of origin and will include: - the transcript of records - the statement of stay with the beginning and the ending dates of the mobility programme - the Italian course certificate, if attended NOTE: the ending date of the mobility period will be the day when the student delivers all documents at Infopoint. However, we point out that if you do not deliver your booklet at Infopoint before leaving, the ending date of the Erasmus will be the date of your last exam.
