EXCEL TEMPLATES OPERATIONS GUIDE

EXCEL TEMPLATES were developed by McGraw-Hill/Irwin to accompany ADVANCED ACCOUNTING, 11th Edition, by Hoyle, S h!e"e# !nd Do$%ni&' It is designed to provide you, the student, with experience in using microcomputers in accounting by working selected problems at the end of chapters, using spreadsheet templates developed for xcel! "he purpose of this guide is to provide general software operating instructions as well as to provide specific help in completing xcel "emplate problems! "he guide is divided into five sections# U(in) E* el+ "his section is an abbreviated guide to using xcel spreadsheet software! It is not meant to be a comprehensive user$s manual% rather, it is an introduction to the terminology, features, and keystrokes necessary to work with xcel "emplates! In(t!ll!tion !nd Con"i)$#!tion+ "his section will lead you through the steps necessary to copy xcel "emplate problems on your computer&s hard drive! U(in) E* el Te,%l!te(+ "his section will provide information on the general operating conventions of the software! It will detail the use of specific keys on the computer keyboard and point out features that are common to all screens and data input routines! 'lthough the problem may cover areas of accounting not yet learned, it is suggested that this exercise be completed to familiari(e you with the software rather than trying to understand the specific accounting concepts! USING EXCEL
/HAT IS AN EXCEL SPREADSHEET 'n xcel spreadsheet is a grid of )*,+,- rows and ./* columns that allow you to enter and manipulate numbers and text and to create graphs! SCREEN TERMINOLOG0 01efer to 2igure )!3 Toolb!# - 1ey 21 "he row of buttons below the menu bar of the application window gives 4uick access to commands and tools such as bold, italic, and formatting! 3o#,$l! 4!# - 1ey 25 "he location below the toolbar where text, values and formulas are displayed as they are entered and edited! Do $,ent /indo6 - 1ey 27 xcel allows more than one document to be open simultaneously! "herefore, each document appears in its own document window! 5se the /indow menu on the menu bar to see a list of the current open documents! Ro6( - 1ey 28 1ows are designated by a number along the left side of the document window! "he rows are numbered from ) through )*,+,-! Col$,n( - 1ey 29 6olumns are designated by letters across the top of the document window! "here are ./* columns labeled ' through 7, '' through '7, 8' through 87, etc! through I9! Cell( - 1ey 2: "he intersection of a column and a row forms a cell! ach cell has an address composed of the column letter and the row number! It is displayed on the left side of the formula bar! 2or example, cell 6, is located at column 6, row ,!

R!n)e( ' range is one or more contiguous cells that have been selected! It is identified by the upper left and lower right cell addresses separated by a colon! 2or example, ')#2)/ is the rectangular block of cells covered by this address range! Many features in xcel re4uire that a range of cells be selected before performing an action! A ti.e Cell - 1ey 2; :ata can only be entered into one cell at a time! "his cell is referred to as the active cell, recogni(able by a heavy border surrounding it! "he mouse, arrow keys, and various key combinations move the active cell around the spreadsheet! "he active cell$s address is displayed on the left side of the formula bar!

Cell Pointe# - 1ey 2; "he cell pointer highlights the active cell in the spreadsheet! ;ou may move the cell pointer through the spreadsheet by using the keyboard or mouse! "able ) below provides more information about moving through the spreadsheet! St!t$( Line - 1ey 2< "he status line is a bar at the bottom of the screen that indicates what xcel is prepared to do next! It will show prompts, explanations, and guidance for current actions! Indi !to#( - 1ey 2= Indicators are located at the bottom right corner of the screen! 2or example, indicators such as 6'<= or >5M inform you which functions are turned on! MOUSING AROUND THE SPREADSHEET xcel is designed to be used with a mouse! Most actions are performed with the left mouse button, including selecting all menu options! "he right mouse button is used only to bring up shortcut menus in various places in the xcel window! "his manual, unless otherwise indicated, refers to clicking the left mouse button! "here are three main actions performed with the mouse# )! .! <oint and click! <oint at something on the screen and click! "his action will normally select something such as a menu item, cell, or file name! :rag! <oint at something on the screen, click and hold down the left mouse button and drag the mouse across the desktop! "his action will select a range of cells or move an item! :ouble click! <ress the mouse button twice in rapid succession! "his action will produce varying results depending upon what is double clicked, but in most cases, it will perform the obvious in the current situation! 2or example, in the ?pen dialog box, double clicking on a file name opens the file!

NOTE+ 5sing one of the scroll bars does not activate a cell or range of cells% it is simply used to view sections of the document! 6lick on a particular cell to activate it! -

6lick and drag the mouse to select a range of cells! 6lick on the letter at the top of each column to select the entire column! 6lick and drag across the letters to select more than one column! 6lick on the number along the left side of the document window to select the entire row! 6lick and drag up or down the numbers to select more than one row! Hold the 6trl key and click on various cells, column letters, or row numbers to activate noncontiguous cells or cell ranges! "o select a contiguous range of cells, click on the upper left cell of the range! >ext, press the =hift key while clicking in the lower right corner of the range! "o move to a particular cell in the spreadsheet, choose Edit Goto or press the 2/ function key to bring up the Goto dialog box, and enter the desired cell address in the Reference box! LAUNCHING THE PROGRAM

6lick the =tart button, point to Programs, and then click on the Microsoft xcel program icon! MENUS M!in Men$ "o access a Menu, click on the menu item with the mouse! >ext click on the desired option in the menu to activate it 0refer to 2igure .!3 Aith the keyboard, you may access the main menus by pressing the 'lt key and the underlined letter of the menu item 0e!g!, 'lt-2 will display the 3ile menu3! "hen use the up and down arrow keys to highlight the desired option and press B >" 1C to activate it, or press the underlined letter of the option! Di!lo) 4o*e( Items on a menu followed by ellipses 0!!!3 will display a dialog box where more action must be taken to complete the option! Items without ellipses will execute immediately! Aithin a dialog box there may be many options from which to choose 0refer to 2igure +!3 5se the mouse to select a particular option or press the "ab key to move from one area of the dialog box to another! Sho#t $t Men$( 6licking the right mouse button accesses shortcut menus! "hese menus provide convenient and efficient means of making changes in the spreadsheet! =hortcut menus combine the most common formatting and editing options into a single menu! 6lick the right mouse button while a cell or range of cells is selected in a worksheet! "he standard precedence for arithmetic calculation is multiplication and division before addition and subtraction unless there are parentheses, in which case, the calculations ,

within parentheses are performed first! If there is more than one occurrence of any arithmetic operator, the calculations occur from left to right! "o create a formula, begin with an e4ual sign 0G3! "hen type the cell addresses or numbers that you wish to include in the calculations with the appropriate operators and parentheses! =paces are not valid in a formula! 3$n tion( 2unctions are special formulas built into xcel that perform complicated calculations! "hey begin with an e4ual sign 0G3 followed by the function name, then arguments surrounded by parentheses! 2unction syntax consists of# Gfcnname0argument1,argument2,...,argumentn3! "he arguments are information necessary for the function to perform the desired calculation! >ot all arguments are mandatory in a function! 1eview the xcel user manual or the Help text to determine which arguments may or may not be re4uired! Point Method to C#e!te 3o#,$l!( !nd 3$n tion( "o build formulas and functions, use the point method! "ype the e4ual sign 0G3 to begin the formula, and then use your movement keys 0mouse or keyboard3 to select the cell you want to reference! >otice that the cell address now appears in the formula bar! "ype the next operator 0N, -, /, L, etc!3! ;ou may then move to the next cell you want to reference! 1epeat this procedure until you have built the formula you want, then press B >" 1C! 2or functions, you may also use the point method! If it is the desired range, click on the 'uto=um button 0 3 again or press B >" 1C! If it is not the desired range, simply click and drag on the cells desired to move the mar4uee to a new range! <ress B >" 1C to paste the formula into the cell! Te*t "ext is all other data entered in a spreadsheet and is usually used to describe values! xcel determines that data is text if the first character of the data is a letter of the alphabet 0except dates% refer to the I:ates in xcelI section above!3 Ahen you type text and press B >" 1C, xcel will left Hustify the data by default! CHANGING COLUMN /IDTH If the column width is too narrow for the text, it will exceed the boundaries of the column! If there is data in the cell next to it, the text will appear truncated! Ahen the column width is too narrow for a value and the cell format is general, the value will appear in scientific notation 0e!g!, )!. NFE3! 'll other formats will appear as pound signs 0QQQQQ3 when the value is too large! "o adHust the width of one column, select a cell in the column to be adHusted! 6hoose 2ormat, Column and the 6olumn dialog box will appear 0refer to 2igure /!3 =elect Auto2it =election and the column will adHust to the best width for the selected data! ;ou may also use the mouse to adHust column width by placing your mouse pointer on the vertical line between column letters! Ahen you have moved your pointer to the correct place, the pointer becomes a double hori(ontal arrow! 6lick and drag to the desired width! If you double click on the vertical line, it will choose the best width from the cell with the longest contents in the column!

INSERTING COLUMNS AND RO/S 5se Insert to add blank cells, ranges of cells or entire blank rows or columns! xcel shifts the other cells of the worksheet to make room and adHusts references in formulas to reflect the new locations! xcel applies appropriate formats to the inserted cells if the surrounding cells have formatting! 1ows are inserted above the active cell0s3 and columns are inserted to the left of the active cell0s3! In(e#t !n Enti#e Ro6 o# Col$,n =elect a cell or range of cells below 0or to the right3 where the row0s3 or column0s3 is to be inserted! 6lick Insert, then 6olumn or 1ow! xcel will insert an entire blank row or column in the worksheet! If more than one cell was selected across a row or down a column then a corresponding number of rows or columns will be inserted! In(e#t ! P!#ti!l Ro6 o# Col$,n =elect a cell or range of cells below 0or to the right3 where the partial row0s3 or column0s3 is to be inserted! 6lick on Insert, 6ells! "he Insert :ialog box will appear! 6lick on =hift 6ells :own to insert a partial row or =hift 6ells 1ight to insert a partial column and click on ?@! If more than one cell was selected across a row or down a column then a corresponding number of cells will be inserted! Note+ ;ou may also access the Insert command from the shortcut menu by pressing the right mouse button inside the selected range of cells! SORTING =orting is used to rearrange data in the worksheet using sort keys! "he first sort key sorts all of the data, the second and third sort keys sort within the previous key! "o sort rows using up to three columns as your sort keys, select a cell in the list to be sorted! 6hoose =ort!!! from the :ata menu! "he sort dialog box will appear 0see 2igure *!3! xcel automatically highlights the contiguous data cells, and uses them as the list to be sorted! Indicate whether your list has header rows by clicking the correct option at the bottom of the dialog box! >ext, select the first sort key from the =ort 8y dropdown menu! If you want to sort on more than one key, make your desired selections from one or both of the "hen 8y dropdown menus!

"o sort lists with headings positioned to the left of the data, you will click ?ptions from the =ort dialog box, then choose =ort Reft to 1ight from the ?rientation options! 6lick ?@, and then )/

choose any other desired =ort options from the dialog box! DOCUMENT 3ORMATTING :epending on your hardware, what appears on the screen is what will print out on your printer! 2ormatting can improve the appearance of your printed documents! "he most common formatting tools are located on the 3i)$#e ; 2ormatting "oolbar, which is show as the second toolbar in 2igure D! "o bring this toolbar up, choose "oolbars from the 9iew menu, and then place a check in the 2ormatting box! 8e sure the Show "ool"ips box is clicked at the bottom of this dialog box! "ool"ips are the toolbar descriptions that display when you point your mouse arrow on the button! 6lick on ?@! 1emember to always select the cell or range of cells to be affected before you apply formatting! 'dditional formatting options are selected from the 2ormat, 6ellsJ! Menus! 6hoose the >umber, 'lignment, 2ont, 8order, <atterns or <rotection tabs for the desired formatting options! 0=ee 2igure ,3! "o remove all cell formatting, choose Edit, 6le!r, 3ormats! "his will remove any cell formatting from the selected range, including numeric formats! "o remove only a particular format, choose the menu options as if you were going to set the format, and then turn it off! /#!%%in) Te*t If text in a cell is too long and you do not want to widen the column, choose 2ormat, 6ellsJ!, then click on the alignment tab to display the 'lignment dialog box shown in 2igure ,! 6lick on /rap "ext to adHust the cell height and wrap the text on multiple lines as needed, within the cell!

P!)e Set$% 5nless changed, the default page setup includes portrait orientation, alignment with the top and left margin, a header that centers the filename at the top, and a footer that centers the page number! "o change these within your worksheet, choose 3ile, <age =et$pJ! "he <age =etup dialog box will appear as shown in 2igure E! =ome of the changes you may want to make are listed below! "o change the print orientation of the document, click on either <ortrait or Landscape from the <age tab!

"o center your document between the left and right margins, click on the Margins tab, then click the 6enter on <age# HoriAontally box! "o change a header or footer, click on the Header/2ooter tab, and then select a header and footer from the suggestions in the dropdown lists! ;ou may also create your own by clicking on the Custom Header or 6$stom 2ooter buttons! <rint "itles are data in a document that are printed on every page! 2or example, a row of titles at the top of each column describing the column data may be set to print at the top of every page! "o set a print title, click on the =heet tab! <oint and click in the <rint "itles section, then use your mouse to select the applicable rows or columns from the worksheet! ;ou may also type the range into the <rint "itles section using cell references, such as ')#8*! NOTE# If you set a print title, do not include it in the print area or it will print twice on the first page% once as a title and once as part of the print area!

Ahen you are finished with the <age =etup dialog box, click on ?@ or press B >" 1C! P!)e 4#e!&( ;ou can set hori(ontal or vertical page breaks individually, or you can set page break that is both hori(ontal and vertical! 2or a hori(ontal page break, click on the row number along the left side of the worksheet that you want to begin printing on the new page! 6lick on Insert, <age 4reak! ' dotted line will appear across the top edge of the row to indicate the page break! 2or a vertical page break, choose the column that is to begin printing on the new page! )D

6lick on the column letter at the top of the worksheet, then click on Insert, <age 4reak! ' dotted line will appear along the left edge of the column to indicate the page break! "o set both hori(ontal and vertical page breaks, click on the cell that is to begin on the new page! 6lick on Insert, <age 4reak! :otted lines will appear above and to the left of the selected cell to indicate the page breaks! "o remove a page break, select a cell in the row in which the page break occurs! 6hoose Insert, 1emove <age 4reak and the dotted line will disappear to indicate the page break has been withdrawn! PRINTING A 3ILE "here are two ways to print a document! ;ou may click on the <rint button on the toolbar, which sends your document directly to the printer using previously set print options, or you may choose 3ile, Print to display the print dialog box 0see 2igure )F!3 ;ou may change the print options in the dialog box, then click on ?@ to begin printing the document! P#int P#e.ie6 "his feature shows you exactly how your data will print to your printer!
