Managing Document and Records is no easy feat, we all know. Roll outs can take months that mature into years, and the implementation continues to drag, much to our dismay. Whether large or small, corporate or a start up, training forms a perpetual (silent) part of the process, and especially when numbers get overwhelming, an upgrade or new software can put everything else to a halt. To top it all, record and information managers have the pressing issue of working well within the funds, and quite often than not the actual costs far exceed what may have been projected. Sorting the Wheat from the Chaff: Legacy Information and the EDRMS
Migration to a new EDRMS represents not only a large capital investment, but also a significant expense to re-discover years of accumulated knowledge, associated business rules and processes. If your organisation is about to embark on an EDRMS implementation project or is in post-implementation phase and facing legacy information issues, this workshop provides an excellent vehicle to discuss and compare experiences. This workshop will include practical advice and guidance in relation to: Determining which information should go into the EDRMS. Managing network drive and email migration. Who does the migration and how should they be prepared? Can the business information taxonomy be leveraged to assist with the process? Options for time-rich versus time-poor EDRMS implementations Ruth Butcher is Senior Project Consultant with Siller Systems Administration. She has over 12 years experience in information management advising and teaching. She has taken part in a variety of projects involving information conversions, systems support, disposal, and the development of business rules and tools such as classification schemes, disposal authorities, policies, standards and procedure manuals.

In fact, was the purpose clearly identified in the business case? Now that its in place, do users know which information should be captured in the EDRMS as opposed to other business systems (including information in line-of-business systems, email and network drives)? And is the appropriate legacy information being migrated?

About the workshop leaders: Joy Siller is a Director and Principal Consultant of Siller Systems Administration, an information management consultancy. She has approximately 30 years experience in information management, which has included a considerable amount of time advising and teaching. Joy has had a long-standing relationship with professional records and information management associations, is a well-known presenter, expert advisor, and has assisted with the development of training curricula and courses within tertiary institutions. She is currently working with a number of organisations to assist them with EDRMS implementation projects.

Instead of static file plans or folder structures (which require large scale consulting to develop and bottle-neck management to control), modern quantities of information flooding into our organisations requires semantic, flexible and automated information architectures and tools.

About the workshop leader: Liz Scott-Wilson is a consultant and practitioner who has worked in the field of information management for over 25 years. She was trained as an archivist and records manager at Archives New Zealand, but soon moved into electronic records and information management as a consultant and trainer. From the early 2000s she has focused on information architecture, information governance and strategy. Her experience in the UK included The National Archives, Treasury Solicitors Department, London Borough of Hackney, Northamptonshire County Council, the European Investment Bank, Inter IKEA BV, Tube Lines Ltd, Financial Services Authority and Linklaters LLP . She returned to NZ in 2012, to lead the Department of Conservation's Information Management and Information Architecture practice and has now returned to consulting.
