Chapter I OVERVIEW

The computer is considered as the most important invention of the twentieth century. Computer touches every part of our lives because of its rapid decreasing cost of processor. The invention of computer machines has brought about the massive demands of the businessmen in any business institutions to computerize the recording and management of data and information pertinent to client and the institution.

As a result, the researchers proposed the Information System which refers to the interaction between people, algorithmic process, data and technology. A work system includes capturing, transmitting, storing, retrieving, manipulating and displaying information.

Statement of the Problem . Specific Problem

o Application and registration of members is time consuming.

In the current system the registration and application of the member is done manually. The process of the file in each applicant is time consuming due to their current transaction.

Payments for the membership and loans are time consuming.

In the current system, any payments or fees for membership are collected by the placement officer. Thus, it is hard for the members because they have to go to the office to pay their loan. The statement of account of the members are written manually and kept the records in the company files only in the cabinet. o Loans transaction such as loan request, renewal and approval are inconvenient.

In the current system, any loans transaction by the member is done manually. The applicant will wait a long time before their request of loans be granted by the association and the processing consumes a lot of time before it will be approved.

Monitoring the performance of the members in payment and co-maker is insufficient. The current system recorded the members late payment and an applicant recommended by the members. The dissemination of the information is beyond the restriction of the management only. The updating and organizing of the files takes a lot of work to be done in the current system.

Information and data security are not strictly implemented. Since the current system uses manual transaction, there is no assurance for the safety of their files. They used cabinet for archiving inactive members record and as well as the organization document which is time consuming to process

Generation of reports for monthly and yearly reports. The assign employees conduct a meeting and consultation on applicant and they train the new applicant on how to improve their business. In this operation, the coordinator submits monthly and yearly reports for the success of their survey. They also report the transaction of payment and overdue.

Backup and recovery of files and records.

The present set-up provides a manual back-up of files. The present practice is simply a collection of stored and filed copies in folder and logbooks. With planned online information system, there is no need to encode again records and documents because it is automatically arranged and easily back up.

Objectives General Objective The main objective of the proposed system is to develop a system that will improve the manual transaction of the current system of the Muslim Kristian Vendors Association in a convenient and more relevant. Specific Objective The proposed study aims to accomplish the following: o o o o o o o o o To create a module that will accept account and registration form for the members. To create a module for loans transaction of the association such as loan request, renewal and approval. To create a module that will monitor the performance of the members in payment. To create a module for mode and maintenance of payment of the applicant. To create a module that will track the member that recommended by the employees. To create a module for user-level access and retrieve lost password. To create a module for generating reports for monthly and yearly. To create a module for backup and restore. To create a module for search facility.

Scope and Limitation

The scope of the research study will directly involve the specific transaction of

lending program. It focuses primarily on monitoring, recording, and preparing the business operation report. This study covers the following:

A module that will accept account and registration form for the members.

The proposed system will have an account to register the members in this way the flow of transaction accurate and fast. o A module for loans transaction of the association such as loan request, renewal and approval.

The proposed system will provide a module for loan transaction that is more accurate. It will lessen the transaction of loan both the applicant and the administrator. o A module that will monitor the performance of the members in payment.

The proposed system will provide module that will automatic update the performance of the members in payment either good or bad records. o A module for maintenance of payment of the applicant.

The proposed system will provide module that will facilitate the maintenance of payment as well as the mode of payment of the member also update in the system. o A module for retrieving lost password. The proposed system will provide a module for user-level to secure confidential files and to access and to retrieve password to log-in in the system when problem occurs.

To provide a module for archiving.

The proposed system will provide a module for public records that store in the system and open to the user.

To provide a module for backup and restore.

The proposed system will provide a module for backup the file and restore it in case of loss of files and restore it again. o

A module for search facility.

The proposed system will provide a module to explore and search the wanted file that is stored in the system.

Chapter II PROJECT ORGANIZATION

CONCEPTUAL FRAMEWORK

Conceptual Framework of study is essential in the progress of the study and researchers frame. The framework of this design starts in knowing specific System Requirements of a school. This includes identifying problems regarding existing processes of a school. This group focus on Enrolment System since every school has their own way of accepting student. As study goes on, this group noticed that most schools uses a manual enrolment system that can result to errors, redundancy and lots of time process. This gives way to the second phase, the Data Gathering. Assorted in data gathering are Background Research (includes company background, mission and vision), to know their existing I.T Infrastructures and different Process Interrelation on their Enrolment System. The product of the requirements and data gathering would be the Analization. In this phase different process and transactions involves on registration of students. These include paying tuition fees and initialize different reports of every department. All of these are conceptualize to decide a Design Proposal. 1. System requirements- include identifying existing problems regarding enrolment system. This produces the functionality that the system should provide which describes functions the system should perform. The result is the system as a whole and how it performs not how it is actually going to do it. 2. Data Gathering- includes getting relevant and related data from the school that will undergo design proposal. 3. Analysis- involves planning and analysing gathered information to undergo a design proposal. 4. Design Proposal- containing result and analyse it to form a design proposal. a. Registration includes recording and verifying students information. b. Billing/Payments include recording and updating students payments. 5. Evaluation- includes gaining feedbacks or any suggestions for improvement of the design proposal.

Chapter III FEASIBILITY

Economic Readiness User-friendliness. The ability of the system to be easily understand and Browsed by the users. A feature of a system that provides easy operating procedures.

Efficiency. The ability of the system to be effective in carrying out its Tasks; the ability of the system to be productive to the desired effects using the available resources.

Accessibility. The system is easy to access can be accessed by everyone Regardless of disability.

Functionality. The system is capable of searching and retrieving data. Can navigate and browse features.

Maintainability. The system must be able to undergo modifications and repairs.

Reliability. It refers to the dependability, stability and consistency of the system.

Technical and Operational Readiness Security of the system. Will measure and ensure all the security aspects of the system. Maintenance of the system will ensure that the system is capable to execute and even process data in a long period of time.

Documentation of the system will ensure that all information about the system can be found in the document. It will be made to ensure if the researcher has record of the required document.

Stress testing, it is the form of testing used to determine the stability of a given system. It involves testing beyond normal operational capacity in order to observe the results.

Load testing, it is a practice of modelling the expected usage of a system program by simulating multiple users accessing the program services concurrently.

Unit testing, it is a test used to validate if a module of source code is properly working.

Volume testing, it is a test that will ensure that the system can handle large amount of data.

Chapter IV Analysis

Current System The organizations current system is based on the sequence of current application of the new member and the client who avail for loan. The organization has requirements to become a member. For the new loan application, it requires the recommendation from active member (qualified) the following: latest cedula (Xerox copy), Barangay clearance, recent 2x2 ID picture, business permit (option), pay slip employee/payroll and interview (survey). The new applicant must provide all the necessary requirements. There is a form for new members to fill-out necessary information. To become a member, there is a form for loan application. When the client cant pay the amount borrowed on the due date, there is a 15% penalty. . Proposed System This study is to improve the transaction of the current system that will eliminate the difficulties in registration, records of the client and information of the company, provide assurance on the security of the records and make faster the flow of the transactions of the said association. The client can access easily to the organization for some queries about the latest news of the association. The analysis of the information gathered based on the proposed study will tackle all the information and transactions of Perez Micro-Lending Company.

The part of the study shows the Gantt chart for the assumed accomplishment of the whole project duration broken down into months and weeks. The Gantt chart was used to provide information concerning activities. It is commonly referred to as a bar chart, since it depicts an activity as a horizontal bar imposed over a time-line, or calendar. It showed the planned start and finished dates for the activity and provided information about task progress. The Gantt chart was the first formal scheduling technique developed. It was developed to provide a more formal and systematic way to schedule tasks when time was an important factor
