St.

Club Packet
A great way to get involved at St. Louis Park High School is by joining one of our many clubs! If
one does not exist that address your particular interests, please do not hesitate to start a new one!
Gather a group of friends to answer the following questions:
1. How will your club be different from any of the existing clubs that we currently have at
SLPHS? Each of our clubs should serve a unique purpose.
2. What is the goal of your proposed club? Why should SLPHS support your club?
3. Do you have a teacher who will act as a moderator? All clubs at SLPHS require a
teacher, counselor, or administrator who is willing to act as an advisor to your club.
They may or may not get paid to advise.
Once you have discussed these topics, it is time to move forward with the process. Please see the
following sheet How to Start a Club.
All clubs are subject to approval by the Club Advisory Committee and the principal. To help
ensure that your club meets the basic requirements, please read the following information and
complete all appropriate forms.
The Club Advisory Committee will meet four (4) times per year. In the 3rd week of each quarter,
the committee will hear presentations and review the documentation. Clubs will be notified of
approval/denial/request for more information within five (5) school days of the presentation.

How to Start a Club
1. Pick up a Club Packet from the Student Office.
2. Find a teacher who will agree to become the advisor. Give the advisor the Advisor
Responsibility Form and the descriptions of School Sponsored/High Risk/Limited OpenForum Clubs. When he/she has agreed to be the advisor, collaboratively determine your
type of club, the purpose and goals, and fill out the forms.
3. Find friends to be in the club. There should be a minimum of fifteen (15) members for the
club to be approved. If there are less, please explain (the Club Advisory Committee will
take your reasoning into consideration).
4. Complete the following:
a. Club Application
b. Club Roster
c. Club Advisor Responsibilities Form
5. Return the completed packet to the Principals Secretary. Deadlines for turning in forms
will be the Friday of the 2nd week of each quarter.
6. You will be scheduled for a presentation for the 3rd week of that quarter. If you miss a
presentation, you will need to make an appointment with the principal with your advisor
about rescheduling.
7. To remain active, clubs will be required to complete and submit a Club Renewal Form,
Roster, and Advisor Responsibility Form before October 1st of each school year.
8. If an advisor has resigned from their position and is no longer affiliated with the club, it is
the students responsibility to find another advisor willing to make the commitment and fill
out the form.
9. Clubs will be considered extinct and deleted if there is no club activity for one (1) calendar
year. Clubs need to hold a mininum of three (3) meetings/events per semester to remain
an active club. If clubs are removed due to inactivity, they must resubmit an application
and go through the approval process to be reinstated.
10. Once approved, read and understand the rules regarding fundraising, budgets/purchasing,
advertising, and release of liability (if applicable).

Types of Clubs
The following differentiates between the types of clubs available:
School-Sponsored Clubs (co-curricular and extra-curricular)

Extends and reinforces the instructional program (co-curricular)


Honors outstanding student achievement
Provides opportunities for community service
Builds student morale and positive support fo the school
Has an employee act as a participatory advisor and supervises all events
Has a minimum of 15 participants at all times (including all regular meetings)
Meetings must occur during non-instructional time
May have the opportunity to compete with area schools
If MSHSL activity, abides by all league rules, including, but not limited to, eligibility,
discipline, and penalties.
o High-Risk Clubs (either co-curricular or extra-curricular)
Each member of the club must complete a Release of Libility and Assumption
of Potential Risk Agreement
The club advisor is responsible for making sure these forms are complete
and on-file for an entire school year.
The following are examples of high-risk clubs that may be approved:
ultimate frisbee, lacrosse, dance, Quidditch

Limited Open Forum Club

May be political, religious, philosophical


Must be student-initiated and student-led
May have guest speakers, but may not have regular attendance by non-school persons.
Guests must be approved and sign-in with an administrator.
Must have an employee act as a non-participatory custodial advisor (see Club Advisor
Responsibility Form)
Has a minimum of 15 participants at all times (including all regular meetings)
Is unafiliated with St. Louis Park High School
Meets outside of the school day
o If after-school activites occur on campus, activity and facility forms must be filled
out in the district office, as with any other non-school sponsored organization. The
approval and fees with be dealt with on that basis. Please call Kim Fisher in the
Community Education Office at (952) 928-6060.
o Since the activity is not school-sponsored, the school and its personnel are not
responsible to oversee or chaperone outside activities. Parents and community
resources must be used.
o A club may only be denied access to the school setting if it is seen as a threat to the
safety and welfare of the student body or seen as disruptive to the educational
process.

Club Responsibilities
Meetings/Activities:
Meetings or activities must occur during non-instructional time.
o If an activity needs to occur during instructional time, the lead student and advisor
must meet with the principal for approval.
Meetings or activities do not materially and substantially interfere with the orderly conduct
of educational activities within the school.
Advertisements:
Only school-sponsored clubs may advertise or hang posters at SLPHS.
All posters and flyers must be approved by the Assistant Principal prior to display on
campus.
A maximum of five (5) posters and thirty (30) flyers may be displayed on campus at any
given time.
Blue painters tape is the ONLY tape allowed to display posters. All other tapes peel-off
paint from the walls and/or leave a sticky residue.
Posters and flyers are allowed to be displayed for no more than two (2) weeks.
Clean-up of posters and flyers must occur within one (1) day of the event. It is the clubs
responsibility to remove all posters and/or flyers.

Lettering Criteria for Clubs
and Co-Curriculars
The following criteria will be used when determining if participation in a club activity will warrant
the members an official letter on behalf of St. Louis Park High School.
1. The club must be recognized by the Minnesota State High School League (MSHSL),
AND/OR
The club must be recognized by the North Suburban Conference (2014)/Metro West
Conference (2014-15 +).
2. The club participates in ALL festivals/events/meets/activities during each club season.
3. Criteria for lettering for participation in a club will be determined by the advisor and
reviewed annually with the leaders of the club. Advisor will submit and file criteria for
approval with the Athletic Director. A copy of the criteria will be provided and reviewed by
the advisor with the participants at the beginning of each year/season.

Fundraising Guidelines
1. Fill out a Fundraiser Request Form.
2. Clubs, Activities, and Athletics will need to be proactive and plan in advance for
fundraisers. Please request 2 dates for the fundraiser. A master calendar of fundraisers
will be kept in the Athletic Office. Fundraisers must be approved by the Athletic Director
and principal.
3. No two groups will be allowed to hold similar or competing fundraisers at the same time.
An approved sheet will be placed in the advisors school mailbox with the approved date
circled.
4. Authorization of the fundraiser does not imply District encouragement and/or
sponsorship.
5. Collected funds should be turned in to the Student Office to be deposited in to the clubs
auxiliary account no later than two (2) weeks after the fundraiser.
6. Student participation in fundraising activities shall be voluntary. Students not participating
in the fundraiser shall have equal access to activities funded.
7. Fundraising activities shall minimize the effect upon instructional time and shall be
confined to non-instructional time, with the exception of vocational related classes where
the activity is part of the curriculum.
8. Incentive-based sales are allowed, but should not include major group and/or individual
competition. Door-to-door sales are discouraged.
9. The Club Advisor will ensure that proper accounting procedures are in place, that records
will clearly indicate revenues and expenditures for each fundraising activity, and that
measures for the safekeeping monies are implementd to include but not limited to two (2)
signers for all disbusements filed with the Student Office.
10. Goods or services will be purchased according to district procedures. Equipment and
supplies shall meet acceptable quality, performance, and safety standards.
11. Unless perviously approved, fundraisers shall not result in any installation costs or
unacceptable continuing costs to the district.

Advisor Responsibility Form
Advisors Introduction
Welcome to advising! Traditionally, this task is one that allows students and staff to communicate
and work collaboratively in an area of mutual interest. There are a few steps that must be taken to
ensure that we are following legislation, so we do allow co-curricular and extra-curricular
activities, which are school-sponsored. We also allow limited open formal clubs (religious,
political, or philosophical in nature), which are not school-sponsored, but are allowed club
privileges and a custodial advisor. Below are guidelines and responsibilities of advisors.
Advisor for a School-Sponsored Club
Helps establish the framework, which reflects the goals and attitudes of the club and its
members, and aligns the club to enhance the curricular program (co-curricular).
Follows prescribed procedures for room usage, field trips, finances, and activities.
Fills out the appropriate paperwork, permission slips, liability waivers, etc.
Attends and supervises all club meetings, events, functions, etc. when students are present.
Helps prepare and submit fundraisers, monies, fees, and budgets. Oversees the spending
and earning of club money. Works with the Student Office to maintain auxiliary fund.
Orders materials, if applicable.
If a high-risk club, or if transportation to/from an event will be up to the student, the
advisor collects and files the Release of Libility and Assumption of Potential Risk Agreement
Attends all school, conference, and MSHSL meetings pertaining to the club (if applicable).
Assumes the role of coach for competitive clubs.
If the participants will be eligible to receive a letter, the advisor establishes the criteria,
reviews the criteria with the athletic director, and has a copy of the criteria on-file in the
athletic office. The advisor keeps accurate records, orders the letters through the athletic
office, and disperses the letters at the end of the year/season.
Abide by all School Board policies regarding activities (510), field trips (610), and
fundraising (650).
Advisor for Limited-Open Forum Club
Act as the custodial advisor. A custodial avisor is mandated by law NOT to set goals,
dictate policy, run meetings or make their personal or ideological opinions the focus of the
club.
Be present at all meetings on campus to insure that the rules of the school are upheld with
regard to safety, room use, an financial transactions.
The club is run solely by students.
Ensure that if there are guests/speakers, they are not present on a regular basis. Also,
guests/speakers must be approved and sign-in with an administrator.
