Introduction
Welcome to Doshisha University.
This handbook contains necessary and useful information for international students to start
university life in Japan.
We hope this handbook ensures your smooth adjustment to university life at Doshisha and new
life in Japan.
Needless to say, only through reading this handbook is not enough for you to understand
everything in order to adapt yourself to a new life. You will experience differences in custom or
culture, and may feel difficulty or anxiety. However we hope your new experiences in Japan will
gradually help you to obtain a better understanding of Doshisha University, Japan, and Japanese
people.
Doshisha University will do our utmost to assist you with everything possible to make your
study abroad experience beneficial.
If you have any problems or worries, please feel free to ask for assistance at the Office of

Japanese Language and Culture Subjects
Center for Japanese Language and Culture offers a wide range of subjects to international
undergraduate / graduate students. These subjects comprise Japanese language subjects, Japanese
studies subjects and International studies subjects.
Japanese language subjects are offered at different levels of ability, with class allocations based
on the results of the Japanese Placement Test held before the beginning of classes. (Students are not
allowed to register Japanese language subjects without taking Japanese Placement Test.)
Japanese studies subjects cover a variety of topics, including The Tradition and Beauty of
Japan, The Tradition and Culture of Japan, The Tradition and Performing Arts of Japan, Japanese
History, Japanese Culture, Japanese Society, Japanese Philosophy and Religion, Education in
Japan, and Law and Politics in Japan. (Some subjects and classes are taught in English.)
Lectures in International Studies, such as History of the World, deal with broad field of
studies related to the world.
It is our hope that learning these subjects will assist all international students to soon adjust
to life at Doshisha and to achieve further study and research here, as well as enabling them to
learn about the Japanese language and culture in depth and thereby enjoy a more authentic study
experience in Japan. Regardless of whether you are a Regular Student or Special Student, we
recommend that you cultivate your abilities by taking as many subjects as possible.
For further information, please read Registration Guide for Japanese Language and Culture
Subjects, the brochure distributed to new international students at the orientation session held
before the beginning of classes. For details of each subject and class, please refer to Doshisha
University Syllabus (http://syllabus.doshisha.ac.jp). Whether credits earned from this program
count towards the graduation requirements may vary between faculties or departments. Please
check the system carefully before registration.
For those who are interested in lecture series taught in English, also refer to Registration Guide
for Japanese Language and Culture Subjects for details. Please read it carefully before registration.
For those who have not yet reached an advanced level of Japanese, we offer an Introductory Level
Japanese Course at both Imadegawa and Kyotanabe campuses. Although no degree credits are given
for the course, it will help you acquire the basic knowledge of and improve your communication
skills in Japanese.
Notes:
Registration Guide for Japanese Language and Culture Subjectsare distributed at Japanese
placement test for new students. If current students require the Guide, please obtain it at the office of
Center for Japanese Language and Culture at the time of registration before the beginning of classes.
Alternatively, students of Nichibun Program, Center for Japanese Language and Culture
(Nichibun-sei), and students of the Intensive Japanese Language Program Bekka, (Bekka-sei) are
required to read Program Guide for the Nichibun Program and the Intensive Japanese Language

Legal Procedures for Life in Japan
During your stay in Japan, you are required to make the procedures shown below in accordance
with the Immigration-Control and Refugee Recognition Act and Act of the Basic Resident
Registers. These procedures are indispensable in securing your identification in this country. Read
each explanation thoroughly and make sure you complete all necessary procedures without fail.
1. Notification (of Change) of Place of Residence
All foreigners residing in Japan for more than 3 months need to register their place of residence
at ward office or city hall in the district of residence within 14 days of moving into their new
residence.

2. Change of Status of Residence
International students at either Faculty or Graduate School are expected to have College
Student status of residence. On the day of application for a change of your status of residence, the
Immigration Bureau only receives the application, and will inform you of the results at a later day.
After your status of residence is changed, you must submit a both sides of copy of Resident
card to the Office of International Students at either Imadegawa or Kyotanabe campus. (Students of
Center for Japanese Language and Culture and Students of Intensive Japanese Language program
Bekka need to submit to the office of Center for Japanese Language and Culture.)
_Documents required for Change of Status of Residence
(1) Application for Change of Status of Residence forms are available at the Office of
International Students and Center for Japanese Language and Culture.,
Fill in the forms and submit them with your passport, Alien Registration Card or Resident
Card, and your student ID card to the Office of International Students.
After the Office checks the forms, students must submit the forms and the followings to
the Immigration Bureau.
(2) Copy of your Certificate of Admission (after the date of entry: Certificate of Enrollment)
(3) Passport
(4) Alien registration card or Resident card
(5) Photo (4cm3cm, front face, no hat, no background, taken within 3 months)
(6) Fee of 4,000 yen
zDepends on situation of each applicant, additional documents might be required.
Please be sure that what kind of documents you enclose and apply well in advance.
What kind of documents can prove your capacity to fund daily expenses
and tuition?
(1) Self-supporting students
Balance statement issued by a bank or certificate of scholarship etc.
(2) Students receiving funds from home country (parents or other relatives etc.)
Certificate of remittance or bankbook under the name of the applicant that has the record of
remittance
(3) Students receiving funds by other Japanese residents
Guarantors certificate of employment and yearly income
(Certificate of tax payment or certificate of tax deducted)

3. Extension of Period of Stay
International students who stay in Japan for their study must, every year or two,apply for an
extension of period of stay before the date of expiry. Application can be made at the Immigration
Bureau from 3 months before the expiry date of your current visa. The Bureau only receives your
documents on the day of application and will inform you of the result later.
After your period of stay is renewed, you must submit a both sides of copy of Resident card to
the Office of International Students at either Imadegawa or Kyotanabe campus. (Students of Center
for Japanese Language and Culture, and Students of Intensive Japanese Language program Bekka
need to submit to the office of Center for Japanese Language and Culture.)
_Documents required for application of extension of period of stay
(1) Application for Extension of Period of Stay forms are available at the office of
International Students and the office of Center for Japanese Language and Culture.,
Fill in the forms and submit them with your passport, Alien Registration Card or Resident
card, and your student ID card to the Office of International Students.
After the office checks the forms, students must submit the forms and the followings to the
Immigration Bureau.
(2) Certificate of Attendance (Issued by the automatic issuing machines)

Note1: Students of Center for Japanese Language and Culture, and Students of Intensive
Japanese Language program Bekka need to apply for the certificate at the office of
Center for Japanese Language and Culture.
Note 2: If you are either a new student, proceeding to an upper program, changing status
from Special Student to Regular student or entering the undergraduate / graduate program
from Bekka, please submit the Certificate of Admission instead.

New students and current students who enrolled in a different university in Japan (including
Bekka students) when you extended your current visa the last time, will be asked to submit
an academic transcript, a certificate of attendance (which shows your attendance rate) and
a certificate of graduation from the previous school attended.

(7) Fee of 4,000 yen

Academic Transcript (Issued at the same place as Certificate of Enrollment)
During certain periods of the year (from the beginning of February to middle of March,
for example), transcripts for the entire academic year cannot be issued (only the transcripts for
the spring semester are available at such times). Please explain the reason for not obtaining the
transcripts at the Immigration Bureau if necessary.
4. Special Re-entry Permit System
With the old re-entry permit system, while you are studying at Doshisha University, you had
to have a re-entry permit from the Immigration before you leave Japan temporarily during a long
vacation or any other occasions such as going back your home country or travel to other countries.
As you may know, the new residency management system started on July 9
th
, 2012. If you are
going to leave and re-enter Japan within 1 year (2 years for special permanent residents) with a valid
passport and a resident card or an alien registration card (a special permanent resident certificate
for special permanent residents), you dont need to have a re-entry permit from the Immigration in
advance anymore. However, if your period of stay expires within 1 year after your departure, please
ensure that you re-enter Japan before the expiration of your period of stay.
Please be sure to present your Passport, and Alien Registration Card}or Resident
card}at departure and tell them that you are going to re-enter.
zIf you are planning to leave Japan more than 1 year, (2 years for special permanent residents), you
need to have a re-entry permit from the Immigration in advance as before. Valid period for the re-
entry permit is for 5 years maximum (6 years maximum for special permanent residents) within the
range of your period of stay.
zIf you have departed from Japan on a special re-entry permit will not be able to extend that permit
while abroad. You will lose your resident status if you fail to re-enter Japan within 1 year (2 years
for special permanent residents) of your departure.
If you are planning to leave Japan more than 1 year, (more than 2 years for special permanent
residents), please prepare the following documents and apply for a re-entry permit to the
Immigration in advance as before.

International students are not allowed to have a part-time job with College Student Visa but
if a part time job is not a hindrance to your study, you can apply for permission to the Immigration
Bureau and can have a part- time job.
However, part-time jobs such as;
zSex related businesses (Adult entertainment businesses)
zEntertainment and amusement businesses (e.g. Nightclubs, bars)
zGambling related businesses (e.g. Pachinko)
are forbidden.
Working at these types of places, as well as working without obtaining necessary
permission, may result in penalty or deportation from the country.
Based on the contract with Doshisha University, as far as activities such as teaching assistance
(TA) and research assistant (RA) goes, you dont need to get permission. However, you need to get
permission when you have part-time job except these jobs above.
The number of hours permitted is a maximum of 28 hours per week (8 hours per day during
summer, winter and spring vacations specified in the university regulations). DO NOT work longer
than these maximum hours permitted.
The office of International Students applies for the permission on your behalf to the
Immigration Bureau. In principle, direct application at the Immigration Bureau is not possible.
Please note that we will turn down requests from those with poor academic records and/or
unsatisfactory attendance.
The period allowed is limited in principle to the period of validity of your visa. When you apply
for extension of period of stay, do not forget to re-apply for Permission to Engage in Activity
other than that Permitted under the Status of Residence Previously Granted at the same time.

Drug abuse and possession are prohibited in Japan. There is always the possibility that someone
around you will tempt you to abuse drugs, but you must refuse the experiment, and have courage

Medical Fee
If you undergo medical treatment at a hospital or clinic for illness or injury during your studies
at Doshisha, you can make use of the following medical fee support systems.
1. National Health Insurance System
_What is the National Health Insurance System?
This is a health insurance program designed to meet some of the costs of medical treatment
for illness and injury, allowing subscribers to seek medical care free from financial concerns.
Subscribers must pay insurance premiums, but are then only required to pay 30% of the actual
expenses incurred at a medical care facility. All international students residing in Japan for three
months or longer and getting a certificate of residence are required to enroll in the program. Please
be sure to enroll in this insurance program.
zForeign residents who arent enlisted in the basic Resient Registration may join National Health
insurance by submitting a documents that certifies your activities in Japan, if they meet following
criteria residence status and have confirmed their residency for three months or longer.

Center for Japanese Language and Culture enrolled in the National Health Insurance system
are still required to pay the 30% co-payment when treated at the Health Center (Doshisha
University).

Doshisha University has enrolled in a personal accident insurance system for regular students
and for international students at the Center for Japanese Language and Culture (Exchange Students,
Students of the AKP Center, Students of the Intensive Japanese Language Program Bekka).
Students are able to claim indemnity in the cases including: injuries during regular curricular
activities, during school events, while commuting to/from university, while studying abroad. If you
are injured during educational and research activities mentioned above, please visit the Department
of Student Life to fill out the prescribed postcard within 30 days so that the Department can notify
Tokyo Marine & Nichido Fire Insurance Company.

to the extent of the agreed limit of payment.
The scope of activities covered under this insurance include nursing care experience activities
for acquiring a junior high teachers license, educational practice approved by the university, and
internship-related activities arranged by the Offices of Faculties or Career Center (please note
insurance fees must be borne by the student. The application should be made by offices related to
such activities.).
In some Faculties and Graduate Schools, students are automatically enrolled in this insurance

Rather than submitting applications separately for each scholarship involving university
recommendation, students submit a single Registration Form and will then be considered for all
such scholarships available in the subsequent one year period. The Academic Affairs [International]
Department Heads Liaison Meeting will nominate candidates for recommendation based on the
conditions attached to each scholarship (specification of faculty / graduate school, etc.) and on the
academic performance (GPA) of each candidate.
After the candidates have been selected, the Office of International Students will notify
the selected candidates of such nomination. If the recommendation is agreeable, the candidate
is required to submit the necessary documentation for application to the Office of International
Students by due date. After checking the documentation, the Office of International Students will
send them to the foundation or organization providing the scholarship. The Office of International
Students will notify the candidates of the outcomes of their applications and provide further
direction.
Notes:
Students must complete the procedure without fail. If students forget to register or fail to appear
for interviews, students will not be qualified to apply for other scholarships involving University
recommendation for 2013.
Please report to the Office of International Students if you have got any of information changed
on registration form.
The application for 2014 Scholarship will be available around from Fall 2013. We recommend
students to submit the Registration Form even if you have awarded a scholarship in 2013.
(2) Scholarship application for Special Undergraduate and Graduate Students
Virtually all scholarships involving university recommendation are for Regular Students only,
so there is no need for Special Students to submit the Registration Form. When the Office of
International Students receives information on scholarships for which Special Students may

The purpose of Doshisha University International Student Scholarship is to promote
international exchange and to support outstanding international students who are eager to study.

4. Other Scholarships
There are also a Doshisha University Endowment Scholarship and a Doshisha University
Graduate School Special Scholarship (both excluding the Law School and Business School)
Doshisha University Graduate School of Brain Science Special Scholarship and Doshisha
University Graduate School Scholarship for Young Doctoral Students/Researchers, but these
scholarships are awarded on the basis of recommendations from each Faculty and Graduate
School, rather than open application. Please inquire at the Section for Student Life and Scholarship,
Department of Student Life for details. The university also operates a short-term loan system
to assist Regular Students experiencing difficulty in continuing their study in Japan owing to a
temporary inability to meet living expenses or other exigent circumstances (such as sudden illness,
fire or other disaster). If you find yourself in this kind of situation at any time after you enroll, please
consult with the Section for Scholarships, Department of Student Support Services (both campuses).
z When applying for a loan, you will need to nominate a sponsor residing in Japan or other

To find a place to live is the first step to your life as a student in Japan. The market for
accommodation in Japan is tough, and it is difficult to find the kind of housing you want.
Doshisha University provides limited number of dormitory accommodation for self-funded

A security deposit held by the landlord. An amount equal to the security deposit (bond)
minus any outstanding rent and expenses for repairing and cleaning the accommodation
will be refunded to you when the contract ends or is terminated.
Agency fee (chukai tesuryo ):
Incurred if you found your accommodation through a real estate agent.
(5) Contract periods are from one to two years. If you wish to renew your contract, you will be
liable for a renewal fee. Rent may also increase at the time of renewal.
(6) It is not common for furniture (desks, chairs, bookshelves etc.) to be provided: you must
purchase such items by yourself.
(7) No person other than the contracting party is allowed to live in the accommodation.

[Establishment of Comprehensive Renter's Insurance for International Students
Studying at Doshisha University]
When you sign a rental contract to live in a private housing such as an apartment in Japan,
you need to have someone residing in Japan act as your joint guarantor. Doshisha University
established an insurance program in which the university acts as a joint guarantor for international
students who have difficulty in finding a joint guarantor by themselves.

International students currently registered at Doshisha University (note 1) whose status of
residence is College Student (note 2).

Part-time Work
You have entered Doshisha University for the purpose of learning and are given/entitled the
status of residence as College Student. That means, until you complete your education, your
activities in Japan are limited to academic ones. If you plan to engage in other activities such as part-
time jobs, you are required to obtain Permission to Engage in Activity other than that Permitted
under the Status of Residence Previously Granted.(Please refer to page of Permission to Engage in
Activity other than that Permitted under the Status of Residence Previously Granted) Please do not
forget to have this permission and be careful not to work longer than the hours permitted.
Part-time jobs at places of entertainment and amusement businesses (nightclubs, bars, or
Pachinko-parlors) are forbidden. Working at these kinds of places, as well as engaging in part-
time jobs without having permission, can result in punishment/penalty or deportation from the
country.
We understand that living in Japan as an international student will cost you considerably and
is not easy for you. There might be cases where the amount of remittance from your home and/
or scholarship are not enough to cover your entire costs and you have to work part time in order
to complement academic or other expenses. However, what matters most is learning and you
must give top priority to it. Please keep in mind that spending longer hours working part-
time at the cost of learning cannot be tolerated. Office of International Students will act as an
intermediary when you apply for permission, but we will turn down applications by those with
poor grades and/or unsatisfactory attendance.

1. Tutor system (for Graduate Students Only)
Doshisha University has the Tutor System for Study and Research Support for International
Students. As part of support services for international students at Doshisha University, the system
appoints tutors to help them make rapid progress in their learning and research. Main duties of
the tutors are support in International Students' Japanese language skills (including acquisition of
technical terms and writing reports and essays) and academic support in their area of specialization.
Under the supervision of the research advisor, the tutors provide study and research support
to International Students as necessary. For further information, please contact to the Office of

2. Lifestyle Support Advisor Service
We offer Lifestyle Support Adviser Service to help International Students at Doshisha
University. Regular undergraduate and graduate students become an adviser and support student life
and study especially when new International students have difficulties caused by the differences of
culture and social system upon their arrival.
If you would like to use this advisor service, please fill in application and submit it to the Office
of International Students at Imadegawa or Kyotanabe campus.

International Exchange (International Exchange)
We offer many opportunities for International Students and Japanese Students to exchange and
share their culture. We have International Day regularly which is planned and run by volunteer
staff of both International and Japanese Students. At the Imadegawa campus, we had Halloween
Party and Christmas Party in 2012. At the Kyotanabe campus, we had the series of World Cafe,
having international tea and sweets, we interacted cross-culturally. At the Kyotanabe campus,
we also had the event entitled World Kitchen and deepen cross-cultural understanding through
enjoying international homemade food and under the series of Tips for traveling Korea, Korean
students offered tourist information for Korea from a viewpoint, perspective of them.

Miscellaneous Information
1. Changing Address
If your address and / or phone number have been changed, do not forget to report
the change to the office of the faculty or department you belong to and to the Office of
International Students as well. Failure to do so may cause you problems, as important
messages such as scholarship and dorm cannot reach you. You also have to notify the post office
of your new address. By filling in your new address on the prescribed form and submitting it, you
can have mails coming to the old address forwarded (for a specific period of time).
2. Changing / Renewing Status of Residence
If your Status of Residence has been changed or renewed, please submit a copy of the front
and back of your Resident card to the Office of International Students.
3. Student Commuter Pass
Go to the Commuter Pass Counter at the office/station of the transportation you are using, fill
in commuter pass request form, and then submit it together with your student ID card and Student
Commutation Certificate.

4. Student Discount Card

per person. The Card is effective/valid for 3 months. If you need to exceed this limit for your job
hunting activities a year, please consult the office of the faculty you belong to.

6. Fee Waiver for Students Taking Military Leave
International students (Regular Students) taking a leave of absence from the university due to
their military duty in their home country may be eligible for a waiver of the fee normally charged to
students taking a leave of absence (60,000 yen for a semester and 120,000 yen for a year of leave).
To be eligible for the waiver, they must submit an official document certifying their military duty in
advance and their request must be approved by the faculty council of the Faculty or Graduate School
that they belong to.

International students (Regular students) who need to attend military service in their home
country.

To avoid Traffic Accidents
1. Prohibition of Commuting by Car
Commuting to the university by car is strictly prohibited. There have been cases where
problems of compensation for traffic accidents made involved students terminate their study at
the university. If (for purposes other than commuting) you unavoidably have to drive a car, you
must take out Automobile Liability Insurance required by law as compulsory in Japan. Additional
automobile insurance (optional) is recommended to provide sufficient compensation.
[1] Automobile Damage Compensation Liability Insurance (compulsory)
This insurance is stipulated by Japanese law as compulsory and applied for compensation
liability you will incur should you injure or kill someone while driving. Driving without this
insurance will result in penalization. All car owners are required to carry this insurance. Be
careful about the expiry date.
[2] Automobile Insurance (optional)
Above-mentioned Compulsory Automobile Liability Insurance sometimes cannot provide
enough compensation. Therefore, it is recommended that you also take out these types of
insurance to complement the compulsory insurance.
2. Restriction on Commuting by Motorcycle and Bicycle
Due to the traffic conditions around Imadegawa and Kyotanabe Campuses, we would ask you
to refrain from commuting by motorcycle or bicycle if possible. When you have no choice but to
ride a motorcycle, you must take out Motorcycle Liability Insurance, stipulated by Japanese
law as compulsory, and preferably, an optional insurance to provide enough compensation.
Lately there have been an increasing number of motorcycle and bicycle accident involving
Doshisha students have crashes outside of the campus. Studnets can be an assailant or being victims
of the accidents. It is recommended that you enroll in optional coverage. If you do not join the
voluntary insurance, you have to pay the high liability costs for traffic accidents.
Those who have no choice but to ride a motorcycle or a bicycle must use designated parking
areas. Any motorcycles and bicycles left unattended for a long period will be disposed of as
unidentified lost objects. Try to ride your motorcycle or bicycle back home every day. That can
help you avoid theft. Bicycle theft also often occurs outside of campuses. Please be sure to register
your bicycles and lock for theft prevention.
At the Imadegawa campus, it will be prohibited students from commuting by motorcycle (small
motor vehicle and motorcycles) from April 2014 due to the lack of parking area.
Please use the campus shuttle (Free shuttle, Please check the website for detailed information)
when you move between the Imadegawa and Kyotanabe campus.
It's illegal to drive after drinking alcohol. Don't drive drunk.

Should you get robbed and lose your property, go to the nearest police station or police

2. When you get seriously ill / injured
Call 119 for an ambulance. You must tell your name, address, and your condition clearly. If you
are not confident in your Japanese proficiency, ask others around you for help. An ambulance can
take you to the hospital free of charge.
3. When you get caught in a fire
Call 119 for a fire engine. You must clearly tell your name, address, and the situation you are in.
Try not to extinguish the fire by yourself, and cry out loudly for help. If you feel you are in danger,
evacuate the premises immediately. You will not be charged for calling a fire engine. To avoid fires,
always make sure to extinguish any flames you use. Winter in Japan is a dry season, so you should
always take special care in using heating devices.
4. When you have a traffic accident
If someone is injured, call 119 immediately for an ambulance.
Write down the license number, name, address and date of birth of the other party.
Whether you are the person responsible for the accident or a victim, you must immediately report
it to the nearest police station and have a Certificate of Traffic Accident issued. First dial 110,
then report the accident to the police and request their assistance. A police officer will come and
make a record of the accident. The record will serve as an important document that can verify the
accident and help judge the proportion of responsibility.
Ask witnesses, if any, for cooperation and write down their names and contact addresses or phone
numbers.
If possible, take pictures of the site that show the conditions there.
Even if your injury appears less than serious or severe, you must visit a doctor for diagnosis.
If you carry insurance, contact the insurance company as soon as possible.
After these measures are taken, the negotiation between two parties on medical fees and damage
compensations will start. In some cases, the insurance company will intervene and the negotiation
process becomes complicated. If you get into this kind of situation, you should consult Kyoto
prefecture traffic accident consultation office (mentioned below) or ask Japanese people you know
for help. Or you can come to the Office of International Students.

programs, admissions for Bekka program, Japanese language pre-training for graduate level
(MEXT scholarship recipients), and Japanese Studies students program for undergraduate level
(MEXT scholarship recipients).

Internationalization Promotion Office
