NAME: Mohammad Mustafa Ahmad CLASS: Year 11C ( 2014 ) TEACHER: Rhoel Pacis COMPANY PROFILE Merunai Tailor & Merunai Trading - It is a tailoring company that produces uniforms for many companies including Empire Hotel, Radisson Hotel and many more other facilities. - It also makes clothing for customers, like Cara Melayus , Suits and Vests and etc. - It is located at G-11 Bangunan Salmah, Simpang 480, Km.6, Telanai BA2312, Jalan Tutong, B.S.B, Negara Brunei Darussalam. - The company has been in business since 1998 and now has grown to other parts of brunei, also opening a trading company under the same beneficiary and company name Merunai Trading. - Customer ordering section is where the company staff communicates with the customers via the telephone and records down the details of customer, orders made and other details on paper. This section employs the most skilled and qualified people because they need to communicate efficiently and clearly, so that no mistakes are made when recording the details. - The product manufacturing section is where the companies profound cutters/tailors work together to make the customers desired clothing/uniform. These tailors must have experienced working in other tailoring companies to ensure productiveness or efficiency in their work
Problem of the company Merunai Tailor uses a manual information system, where all the details of the workers are written in paper format. When information about a particular worker is needed or needs to be updated, he/she needs to go through all the files and cabinets to find the intended data. This can be a tiring task. There is no proper order in the arrangement of the files and it becomes a huge mess to gather data. All the data about the workers are held in hand-written documents and writing is a tiring task. The company each year spends lot of money on buying paper, stationary and filing cabinets to hold the files. This is very costly. The paper-based system is not a safe method as personal information can be referred by anybody. Taking back-up copies of important files like master file can be a hideous task as they have to hand-written. Paper-based system is not a long-term solution to keeping data as paper files. They are torn and damaged over time. Communicating method is not proficient as it is costly. - The company has done every record manually, written down on accounting books, customer details as well and purchase orders and other accounting notes. - The invoices, quotations, debit note, credit note are all written down instead of using a computerised system. - The problem with this is that there is more likely to be a mistake when it is done manually. - An ICT records system to be implemented to resolve this problem. - Also these notes are sent by man, not by fax nor e-mails. - An e-mail or fax machine should be used to help with this problems. - In general, this company needs some help from technology, especially in ICT. The solution to the existing problem would be to computerize the manual records such as customer details, customer order details and part details to be kept in an efficient manner such that cost is reduced and work is done quickly.

Computer related terms - To create an organized database. - To perform accurate calculations on order cost, transactions made etc. as computers are very accurate in calculations. - To create tables, queries, forms and reports to present data in a successful style. - To store personal information safely with the use of passwords then unauthorized staff member will not be able to access data. - To check what each customer has ordered and number of orders made. - To create backup copies so that lost data can be recovered. Eg: Master files. - To enable fast and convenient data entry and data should be validated before processing them. - An accounting database for partnership/contracting deals with other companies as stated in the company profile. - An accounting database for customers measurement details/sizes for future use when they want to make a new clothing/uniform.
Description of Existing Solution
The current solution would be to start using an ICT database as stated in computer related terms. A customer/company requests a new uniform/clothing to be made. The worker of the company takes measurements of the customer and enters it into the database with the name of the part and details. The worker also gives a reference number/transaction number to the customer for claiming his/her product later on. This database is then sent to the cutters/laborers through a fax machine or a LAN network to save time from going from one place to the other just to receive this information which would have taken up 20 mins. The cutters/laborers start making clothing and once it is done it is sent back to the main office and from there they inform the customer that their product has been made. The customer then claims their product with their reference/transaction number and then pays when they are at the main office. The company receives the payment and the receives it, whilst entering it into the accounting database. This makes the company more efficient in keeping records , helps the company become more profitable and also saves a lot of time.
Input, Process And Output
Input Process Output Input The customer places an order and the company staff records all the details of the customer and the order. Process Recording all the customer and order details. The order details are sent to the overseas company that sends the goods. The order cost for the customer is calculated by multiplying the cost of the good ordered by the number of orders made. Output When the product is made , the customer is informed of it and on a given date, the transaction takes place. The customer receives the clothings/uniforms. Evaluation of Current Solution
Advantages Specially trained staff. Less cost in staffs. Maintaining a manual was more costly and more messy due to the many uses of paper and loose tools. Company expenses were lowered.
No technical problems are created due to modern technology advancements. Any alterations can be done easily in the new computer systems database. Less time consumed. Companies profits increase due to popularity in company as technology draws in more customers. Disadvantages The worker may make mistakes in entering critical data. Data may be lost if not backed up. If no administrative password is issued, files may be accessed by unauthorized staff. A virus or malware may crash the whole system. A hacker may break into the accountings database and steal the companys accounts or profits.
Description of other possible solutions including the proposed solution Proposed solution Develop an updated information system - Make a database with an administrative password to allow only single user access to prevent unauthorized access. - Setup anti-virus or malware protection softwares to prevent corruption in databases or crashing of systems. - Encrypt account databases to prevent a hacker from being able to gather information from the system. - Setup backup or cloud programs to keep copy of files to ensure no data shall be lost in the event of a system failure or crash. - Double check entries to make sure data is well entered and organized. Regarding the above facts, I think that it is a correct decision to computerize the current system. The computerized information system not only makes it easier to run the business, but also provides secure data stores and efficient communicating methods too. Despite steps to improve the current information system, the implementing of a new system can bring many advantages to the company. Therefore, the reason I have decided to computerize the current system is its huge advantages to problem ratio. It is a good solution to the current problems faced by Merunai Tailor and Merunai Trading.
