Queries for SAP on Licensing

1. Definition of Named user id and Generic user id in SAP


Please clarify in detail what is the definition of Named and Generic user
id in SAP
Example Existing User ID at Ruchi
User ID ALIAS NAME
FIINDR030 Ajeet Singh Khamare
Is this considered as Named user or Generic User
Please explain by citing more examples for clarity
GLAS reply:- Each user id need to be used by a named user. One user Id should be
used by one person only.
2. What is policy for Blocked user and expired users as per SAP?
How both are different from each other?

GLAS reply:- There is no specific policy from SAP. It is the customers prerogative.
Blocked users (locked users) would be inactive users and a validity date needs to
be maintained in the past in order to be excluded from the measurement. Users
can also be expired (deleted) if no longer active.
3. SAPs User Renaming policy and its Compliance Implication

For a situation can a user be renamed?

Existing Situation at Ruchi
User FIINDR030 is a Finance user and is moved to Commercial Dept
where his ID should be MMINDR030.

If we rename the above user because of his role change or location
change or resignation, does it have a Compliance issue?

GLAS reply:- No. New user id to be created and the old one may be locked.



4. During SAP Audit, are Blocked and Expired users considered in the total
count along with Active Users. Pl. elaborate.

Example Total License Bought - 600

Active Users -300

Blocked 100

Expired - 200

Does the total count at the time of Audit considered as 300 or 400 or 600
GLAS reply:- Inactive users can be Blocked or expired as per companys policy.
Blocked users should have a validity date in the past in order not to get
accounted. License audit considers only active users and we need to have a
proper justification for the expired users.

5. What is Multi session? What is the criteria and how SAP counts the
session as MULTI SESSION?
Is it one user id used only on one machine i.e. one IP or One userid
cannot be used on multiple machine/s at the same time.

GLAS reply:- If an SAP user logs on to an SAP system with a particular user id that
is already logged on, then this is considered as Multiple logon. It can be in one or
multiple machines.
However multiple sessions are different from multiple logons. A user can open six
sessions at one time from a single logon.

6. Please confirm if we set the system parameter
login/disable_multi_gui_login = 1, will it resolve multi session issue
and will not break the agreement and have compliance objection?

GLAS reply:- Yes, use of multiple logons can be disabled as mentioned.

7. SAP has different type of users based on the activities attached to
individual type of users. Please elaborate in detail list of T-Codes which
are linked to each User type?

GLAS reply:- User classifications are to be done as per the user activity matching
in line with the user type definitions as agreed in the license agreement. It is not
based on any T-codes. For more information, please refer to the SAP Account
Owner.

8. What are the criteria of SAP considering / treating the Custom
Developments / Z Transactions? What type License is considered by
SAP to be utilized while referring to Z Developments? i.e Professional,
Limited, Shop Floor. Please elaborate using detailed example.

GLAS reply:- User classifications are to be done as per the user activity matching
in line with the user type definitions as agreed in the license agreement. For more
information, please refer to the SAP Account Owner.

9. While interfacing SAP with third Party Software is any license required
for accessing the data of third party tool in SAP or vice versa. If yes than
what category of licenses, please explain.

GLAS reply:- Please contact your SAP Account Owner on third party usage.

10. For a same user having same SAP user id across multi system in SAP i.e.
R/3, BI and BO will it be considered as single license or separate license
Please elaborate.

GLAS reply:- Will be considered as a single license under the highest license
category, if LAW is used with a common grouping criteria. A SAP user may login
to multiple systems.

11. For same user to access multi clients through same user id in the
Production server what is policy as per licensing? Will it be counted as
separate License or 1 license?

GLAS reply:- Will be considered as a single license under the highest license
category, if LAW is used with a common grouping criteria. A SAP user may login
to multiple systems/ clients.

12. A user is booking Vendor bill of Asset item. Will it cover in Limited
professional category?

GLAS reply:- User classifications are to be done as per the user activity matching
in line with the user type definitions as agreed in the license agreement. For more
information, please refer to the SAP Account Owner.

13. ABAP Developer

Is there any limit of generating access keys for objects during a
particular financial year?

GLAS reply:- Please refer to SAP Account Owner.

14. Is there any fixed time frame or expiry for ABAP developer key from the
day it has been made active.

GLAS reply:- Not sure. To be referred to CIC


15. System has some default users. Do these users add in my count of my
User Licenses? If yes under which category?
Ex: SAP*, DDIC, WF-BATCH, SMEWA100 etc

GLAS reply:- These would be Test users.
