ONLINE HOTEL MANAGEMENT

&
RESERVATION SYSTEM
Introduction:

This document is written as a project proposal, leading to the development of an Online

Hotel Reservation and Management System. The main purpose of this document is to
elaborate the functional and non-functional requirements of the system. Each visitor to the
website will be requested to register as a user, and will be provided with a username and a
password, which will be used by the client to manage their accounts, and keep track of their
reservations. Clients will not only have the ability to search the database for room availability at
the hotel, they will also be able to make reservations in advance, and browse through all the
services and features available at the hotel. Clients will also have access to car rental services,
pick and drop services, tourism related activities and other similar commercial aspects that would
be of interest to tourists and visitors.
Problem in Existing System:

Currently there is no such online reservation and booking system available for customers.
Automation of the booking system will eliminate problems and issues that are faced while
executing the reservation system manually. Duplicate bookings and incorrect entries will
automatically be corrected. Customers will be able to make advanced bookings by logging onto
the website, and getting a first-hand look at the facilities and amenities available at the hotel
through the online image gallery.
Hotels will be able to eliminate clerical errors, and will be able to economize their operations
by reducing overhead costs in the long run. The online website will also serve as a cheap
alternative to expensive and tiring market process. The online presence will enable the hotel to
expand its reach to potential overseas clients as well.
Proposed System:

The proposed system will cover a variety of actions and reactions, both on part of the hotel
staff, and potential clients, and eliminate any red tape or delays.
The website will provide an overview of the hotel as the front interface, with an option to
begin searching for availability of rooms, and registering with the website for updates of future
availability as well. The hotel information, as well as all client information will be securely
stored in a MySQL database, and due regard will be maintained while securing personal details
of clients, by way of security layers protecting the database.
In order to cope with any data loss or unforeseeable mishap, all information in the database
will be backed up in a local, as well as a remote database, so that the hotel does not suffer any
blackout while the primary server is restored.

Expected Outcome:

The expected outcome of this project will be a complete OHMRS that will enable any
hotel of any size and scale to computerize and automate their reservation and management
systems. The main purpose of the end product will be to reduce reliance on manual entries, thus
eliminating the possibility of errors and duplication, and speeding up the process for both, the
hotel and the client.
The technology that will be used is scalable, and has the ability to be adapted to a
corporation of any size and scale. The programming modules used in the development process
will allow future expansion of the platform, to serve other industries similar to the hospitality
industry. It will also be scalable, so as to allow data from a pool of hotels to be stored into a
segregated backend, thus giving potential clients further options of exploring their choices.
In the future, additional modules can be written into the website in order to make it
adaptable for handheld devices, smart phones and tablets, which would be compatible with both
Android and iOS.
