Microsoft Outlook is a personal information manager from Microsoft, available as a part of the Microsoft
Office suite.
Although often used mainly as an email application, it also includes a calendar, task manager, contact
manager, note taking, journal, and web browsing.
It can be used as a stand-alone application, or can work with Microsoft Exchange Server and Microsoft
SharePoint Server for multiple users in an organization, such as shared mailboxes and calendars, Exchange
public folders, SharePoint lists, and meeting schedules. There are third-party add-on applications that
integrate Outlook with devices such as BlackBerry mobile phones and with other software such as Office
and Skype internet communication. Developers can also create their own custom software that works with
Outlook and Office components using Microsoft Visual Studio.In addition, Windows Mobile devices can
synchronize almost all Outlook data to Outlook Mobile.

Archiveing

An efficient way to reduce the size of your Outlook Data File (.pst) or Exchange mailbox is to regularly
archive older items. Unlike a traditional backup in which a copy of Outlook items is made, archived
items are moved to a separate Outlook Data File (.pst). Archived items can be accessed at any time by
opening the file..

Depending on the type of PC you have:


1- Shared PC
2- Personal PC

First of all, use your personal folder #1 on the shared sever ARSY2270 and create a
folder for outlook date file inside it. Figure 1

After that go to outlook, click on File, account setting ,and click on account settings.

The account window appears. Click on Data Files then add. Figure 3

The create or open data file window appears asking about the name of the file and where
to save it. Choose the location of your personal folder on the shared //ARSY2270 server.

After that your local Data File appears in the details window (4). Figure 5

To enable automatic archiving of old items go to file the option. Figure 6

The outlook option window will appear. Go to advance , Auto archive, then
AutoArchiving Settings. Figure 7

The auto archive window appears. Configure the auto archive setting in the way you
want taking into account the following points: "Figure 8"
1- When to run auto archiving
2- To show the same folders' name for the archived messages in your local Data file.
3- The most important, what is the age of items That outlook should archive. You can
choose Days, Months, or Even Years.
4- Where to move them? Choose the directory to your outlook data file.
5- An important point to remember is to apply these settings to all folders (6)

Making
folders tha...

To create a folder that only a specific user can access : (You can see the attached videos of the steps explained here)
Create a folder on the D:\ Drive with your name
Right click on it. Go to properties.
Go to security, edit, Advanced , change permission, and then uncheck
Click on Add, Ok, Ok, you'll return to properties.
Go to edit, Remove these groups (Users) and Add these names(Baha Shahrour Alaa El Dine El Habash, And your Username)
After that grant your name a full control of the folder and click ok
Now you are ready to create an outlook folder inside it.

What you have done is just making a folder with your name that only you can access, so if another user logged into using your PC they can't access this folder content.

Habash, And your Username) By clicking the control key while
choosing. After Clicking Ok you should end up with something

A rule is an action that Microsoft Outlook performs automatically upon incoming or


outgoing messages, based on conditions that you have specified. You can create a rule from
a template, from a message, or using your own conditions.

How to Make Rules on Received Messages


First, Right click on the message and choose Rules. You will
find quick defined rules for the received message ex. From
who or To whom ; however you can create a customized rule
by clicking on create rule button. "Figure 1"

Second, after choosing the conditions that apply to received
messages, the following window will appear asking about
more specific conditions and what to do if these conditions
are met. For more advance conditions click on Advance
Setting buttons which will give more flexibility in choosing
conditions and exceptions which is not possible through this
simple wizard. "Figure 2"

Clicking on the OK button will end up the simple rule
creator wizard; however, clicking on Advance Option button
will give a variety of conditions so that more specific
conditions would be met. "Figure 3"

Clicking on next will lead to choosing what action so be
applied when conditions are met. "Figure 4"

The next window will give exceptions that will exclude
specific messages from being Subjected to this rule. "Figure

Editing Created Rules


To manage created rules click on Rules in the ribbon. Then manage rules
and alerts. After that the rules and alerts window will appear displaying
all the rules that was created. Figure 1 and figure 2

1-All rules created in outlook.
2-Open advance rules wizard.
3-Edit the selected rules (The same as double clicking on the rule).
4-To import/export rules.
5-Details for selected rules.
To edit the selected rule you can either edit it from the Rule description
widow Figure 3.

Or By clicking change rule table the rule wizard will appear you will start
all over again going through the editing process.

Tips/ Tricks

To quickly re-create a message to send separately to someone else, you can use a keyboard
shortcut to duplicate the message. The message body will contain the complete contents of
the original message, and attachments will be included, too. Just address the duplicated
message to new recipients and send.
This shortcut also works when replying to or forwarding a message. If the message you are
replying to or forwarding contains other messages, all replies contained in the body of the
message will be duplicated too.
Note Only the body content of the messages are duplicated. In all cases you must add
recipients before the messages can be sent.
1. In the message you want to duplicate, click once in any of the following boxes:
To
Cc
Bcc
Subject
2. Press CTRL+F.

Enable Translating In Office 2010

To enable translation in outlook and all Microsoft Office product by following the steps below:
1- Start a new email dialog:

2- Go to review Tab >> Translate >> Mini translator:


3- To Choose a translation language click on choose translation Language and the following
dialog will appear; choose the language that suits you:
4- This will enable it to all future emails send and received.
How to use it:
Just mark any text you want and the translation will appear immediately.
