Application Overview

Stromberg eSupervisor is a web-based application that allows you to perform


supervisory functions associated with Stromberg Time and Attendance. Supervisory
functions include:







viewing, editing, and approving employee timecards


processing time-off requests

creating, modifying, and deleting employee records

reviewing and approving employee time spent on various jobs or in


different departments
establishing and maintaining employee schedules, and
running a variety of reports.

Accessing eSupervisor
1. To access eSupervisor, follow the link given to you by your IT administrator.

2. Enter your user name and password.


3. Click Sign In.
When the application is launched, the Home screen displays. From this screen, you
can:






access the various areas of the application via the eSupervisor toolbar

view the In/Out status for all of your assigned employees


view any missed punches for your assigned employees

determine which employees have exceptions on the current day, and

access the Time Off system.

Home Screen

The eSupervisor toolbar provides easy access to program


functions within eSupervisor. This toolbar is located at the top
of most screens within the application.

Navigation Pane

The Navigation Pane contains a list of a supervisors current


employees. With a quick glance, you can see whether they
are punched in or out, and those who have exception
punches.

Pending
Requests &
Timecards

In the Pay Period area, you may see any pending Time Off
requests, or timecards from the current or previous pay
period that need to be approved.

Missed Punches

In the Missed Punches area, you will see the employees who
are missing punches on their timecard. You may not be able
to approve any timecards that have missing punches. This
option can be configured for your organization.

The Timecard screen is used by supervisors to review and edit time card punches
and transactions, and generate time card reports. Click an employee name to display
the individuals information on the right.

The toolbar has several buttons for quick-access to


commands used for reviewing, editing, and approving
employee timecards.

Add Punch - A timecard punch represents a point in time


when an employee logs an activity, whether to report for
work, start, or return from a meal or break, or to complete a
work shift. This toolbar button is used to add a punch,
including the date, time, and department. You can also
indicate whether the punch fixes a missing punch.

Add Transaction A Transaction is a bulk entry to record


time, dollars, or count values. Transactions are typically used
to track such items as vacation or sick time, but may also be
used to reflect a dollar value, such as a bonus or commission
earned. This toolbar button is used to add transaction
information, including date, category, time, and department.
If used to record a multiple-day vacation, you can indicate so
by entering a number in the Divide Transaction Across text
box.
Move Transaction This button moves a transaction or
part of a transaction from one date and/or category to
another. You can also change the amount or department, or
divide the transaction across multiple days.

Utilities Depending on the selected timecard, you may be


able to fill the timecard based on a schedule, modify the
timecard display options, or view an audit trail. A Timecard
Audit Trail maintains reliable records by tracking which users
added, edited, or deleted a punch or transaction.

Move To This button quickly moves the cursor to the next


missing punch, absence, or exception.

Approve This button is used to approve the timecard,


marking it with your digital signature. Approving the
timecard indicates to the Payroll supervisor that the
employees timecard is correct and complete.

Reports This button is used to run the Timecard Report,


Punch List Report, Transaction List Report, and the Daily
Category Report.

Previous Period This button displays the timecard for the


previous pay period. When viewing a previous periods
timecard, the button changes to Current Period, so you can
quickly redisplay the current period.

Punch Table

Each punch is automatically entered in a timecard punch


table for the pay period, which is organized by rows and
columns.

If an employee misses a scheduled punch, the corresponding


cell will contain the word "Missing" approximately two hours
after the scheduled punch time. Once the employee's pay
period is reviewed and deemed satisfactory, a supervisor can
approve the timecard.
The two-hour period can be configured to any amount
of time for your organization.

Current
Transactions

This area is used to view all transactions that apply to the


selected pay period.

Department &
Grand Totals

This area is used to view all department and grand totals for
the selected pay period. Totals can be sorted by department,
category, type, and amount.

Quick Information
Segment

This area is hidden until hovered over with the pointer, the
Quick Information segment displays on the right side until
the pointer is removed from the area. This segment may be
permanently displayed in Timecard Editor by clicking the
pushpin icon
located at the top of the segment.
Use the Quick Information Segment for quick access to
specific employee information.

Benefits This segment lists employee time-off benefits and


the corresponding totals in 1 hour increments.
Comments This segment records notes about the specific
pay period. Once a comment is entered, click Save to store
it for future reference.

Quick Information
Segment (continued)

Details This segment provides detailed information about


a single punch or transaction in Timecard Editor. With the
Details tab displayed, position your cursor over a specific
punch or transaction to view the details.
Employee This segment provides detailed information
about the selected employee.

For more information about each specific field on the


Details tab or the Employee tab, refer to eSupervisor
Online Help.

Exceptions Provides detailed information about punch


exceptions. To view the exception details, using the Quick
Information Segment:
click the date of the exception, or
double-click the comment space of the exception.

Schedule This segment shows the employees schedule for


the selected pay period.

Approvals

The Timecard Approvals screen is used to quickly approve multiple timecards at one
time. In addition to approving timecards, supervisors can:






generate an employee list based on selected criteria


view the details of an employees timecard
view exceptions

view missed punches, and


approve timecards.

Approving Multiple Timecards


1. Click

to display the Timecard Approvals screen.

If an employee has exceptions, an indicator will display under his name.

2. Review the exception by clicking View Details to display the timecard.


3. Hover over the cell containing the exception to display a description of the
exception, a reason code, and any comments.

4. Click View Details of a particular timecard to open a separate window


containing the employees timecard details.

6. Indicate which timecards you want to approve by checking the box to the left
of a name. To approve all timecards, check the top checkbox in the header
row.

You must make sure there are no missed punches before you can
approve an employees timecard. For more information, see Fix a
Missed Punch on the following pages.

Clicking Save Approvals will save the settings, but it will not remove
the checkmarks from the list.

2. Review the Punch table for any missing punches, and fix if necessary.

1. Double-click the missing punch.

2. In the Punch Details dialog box, enter the time in the time field and check

Adding or Editing a Punch


1. Right-click the punch you want to modify.

2. Choose Add Punch or Edit Punch. The Punch Details dialog box is
displayed.
3. Make any necessary changes.

To edit a punch, you can also click once on the cell in the punch table,
and the field changes to edit mode. You can then type the new punch
in the cell and click Save Changes when done.

1. Right-click the punch you want to change, and select Edit Punch.

Punch Classifications

Punch classifications are used to determine rounding rules and overtime pay
distribution for scheduled days and shifts. Established during program installation, a
punch classification can change the way overtime is paid, move a time interval from
one pay category to another, or change the way a specific punch is rounded.
Although punch classifications vary depending on a companys payroll rules and
holiday observances, a reclassify punch usually includes some of the following:

If a punch does not need to be reclassified in the Punch Details dialog box, simply
leave the Reclassify As field at the default selection of Do not reclassify punch.

Reclassifying a Punch
1. Right-click the punch you want to change, and select Edit Punch.
2. In the Reclassify As field, select the appropriate reclassification.

Deleting a Punch
1. Right-click the punch you want to change, and select Delete Punch.
2. In the Confirm Deletion dialog box, click Yes.

Adding Comments to a Timecard


1. Open the Quick Information Segment by hovering over the vertical link in the
upper right corner.
2. Click the push-pin icon

on the Quick Information Segment to anchor it.

3. Click the Comments tab.


4. In the Timecard Comments box, enter your comment.

Punch Exceptions

Punch information for each employee is interpreted based on the set of Payroll Rules
assigned to them. When the system compares employee punch information against
the Payroll Rules, any exceptions will be designated with a red triangle in the upper
right corner of the punch cell.

Hover over the punch exception to display a description of the exception code in the
Quick Information bar. Factors that determine what qualifies a punch for exception
status have been set within Payroll Rules by a Stromberg technician.

Reason Codes enables system-defined Reason Codes and Comments to be added


to punch exceptions from within Timecard Editor.

Adding Comments to Exceptions


1. Open the Quick Information Segment by hovering over the vertical link in
the upper right corner.
2. Click the push-pin icon on the Quick Information Segment to anchor it.
3. Click the Exceptions tab.
4. Click the date of the punch exception listed on the Exceptions Tab.

5. In the Exception Details dialog box, select a reason code from the drop-down
list.

6. Enter a comment in the Comments field.

Transactions

A transaction is a bulk entry to record time, dollars, or count values. Transactions


are typically used to track items such as vacation or sick time, but may also be used
to reflect a dollar value, such as a bonus or commission earned. Assigned to the
employees home department by default, transactions may also be assigned to
another department in the company.

Adding a Transaction
1. In Timecard Editor, click

2. In the Transaction Detail dialog box, enter the correct date for the transaction.

3. From the Category drop-down list, select the Category you want to apply to
the entry.

4. Enter the time that this transaction applies to.


5. If the transaction applies to a department other than the Home department of
the employee, select the appropriate Department ID segment.
6. If the transaction value is 1 hour or more, you may enter a number in the
Divide Amount Across text box. The system will divide the time equally over
the specified number of consecutive days and create a transaction for each
day.

Editing a Transaction
1. In Timecard Editor, point to the transaction you want to edit, right-click, and
select Edit Transaction.

2. Make any necessary changes in the Transaction Detail dialog box.

1. In Timecard Editor, point to the transaction you want to edit, right-click, and
select Move Transaction.
2. In the Move Transaction dialog box, enter the new information in the Move
To area on the right.

Reports

The Reports screen lists all of the eSupervisor reports that are available to
management and the supervisory staff. Each report is accompanied by a brief
description of what is contained in the report.
Supervisors will only be able to view those reports for which they have been
granted access rights.
The report specification windows will enable you to create reports that contain
information for individual employees or groups of employees for defined pay periods.
The reporting feature of eSupervisor contains powerful sorting options to provide
maximum flexibility. Depending on the report selected, some items may be grayed
out and unavailable for that specific report.

The first time you generate a report from eSupervisor, a prompt will display asking if you
want to install and run Crystal Smart Viewer for ActiveX. When this prompt displays,
select Yes and download the viewer. The Crystal Smart Viewer is necessary for viewing
reports in the program. Please be aware that if you select No, you may be unable to
display reports.

When a completed report displays in eSupervisor, a toolbar displays at the top of the
viewing screen. The icons in this toolbar and their functions are described below:

Report Options
Print Report

Displays a print dialog box from which you can


select the printer you wish to send the report to.

Export Report

Displays a dialog box from which you can select to


export your completed report to a number of
different formats.

Search Text

Displays a pop-up search screen in which you can


specify search criteria. The Find Next button will
locate each instance of that search criteria.

Viewing a Report
1. Click

on the eSupervisor toolbar to display the Reports window.

2. Click a report name. A specification screen will be displayed.


3. Enter any required information and select any desired filter or sort options.

The eSupervisor Help System is a very powerful tool for becoming familiar with all
the functionality that Strombergs eSupervisor has to offer.

To launch the help system, click Help on the eSupervisor toolbar.

Signing Out

It is good practice to always sign out of the system when exiting the application. If
you do not click Sign Out, you will continue using system resources for up to 20
minutes until the system automatically signs you off. Failure to sign off may result in
a slowdown of the application for other users.

Click Sign Out on the eSupervisor toolbar. The eSupervisor Sign In screen will
display.
