Storm the Wall 2015

Captains Registration Package


** Please note: All team rosters and race schedules are now posted online on the UBC Intramurals
website at the Storm the Wall Team Schedule and Advancements**
**Please be sure that the information for your roster, race time, division, gender and category are all
correct**
**If your team does not attended a Storm the Wall Clinic, you will not be able to race.
Please email the Storm Events Crew @ storm@rec.ubc.ca if this is the case**
Check-in Locations
All members of your Storm the Wall team must check in at the designated check-in location prior to each
race. Check in 20 minutes before your scheduled race time. Races will not be held back for teams arriving
late. Please be sure to have each necessary team member together before proceeding to the appropriate
registration desk. If you have not had your bike and/or helmet checked and approved prior to the race
day, arrive even earlier than 20 minutes to go to the More Bikes Tent for them to inspect it. You need to
get both your helmet and bike checked before signing in.
Swimmers, Sprinters, Iron Persons:

Check in on the indoor pool deck after changing into swim


gear and before entering the water. The Swimmers student
card will be held in safekeeping by registration staff for pick
up after the race.

Cyclists, Runners, & Wall-Persons:

Check in at the Cycle Registration Tent @ University Blvd &


Main Mall

Student Card Policy


UBC students MUST bring your UBC Student Card.
Community participants MUST bring valid photo ID.

Roster Changes/Additions
All Captains are required to submit their roster online by Friday Mar. 20th @ 5pm, although we
recommend updating your roster BEFORE your pre-race clinic. Team captains will receive an email
containing their Team ID and Team Access Codes that will allow them to submit the teams roster.
Please read the following instructions for the detailed Roster Submission process.
Add/Drop Steps:
1. Receive the email. (If you do not receive another email containing your Team ID and Team Access
Code, please notify us at storm@rec.ubc.ca.)
2. Follow this link and fill in your Team ID and Team Access Codes.
3. Submit your teams roster by inputting your teammates Student ID number, email, and name as
found on their Student ID card.
4. Once you have clicked submit, the player should appear under submitted players.
5. Please make sure all team members fill the out the online waiver here.
Please note that Ironpeople MUST add their wall person/bike helper to their roster.
Due to the fact that Storm the Wall is conducted over a five-day period, we recognize that there is a
likelihood that not all five of the team participants may be available for all of the Heats, Semis and Finals
(because of classes, exams, papers). Because of this, teams are strongly encouraged to register 6
members. All Captains have until 5pm on Friday, March 20th to make changes to their roster.

Roster Changes and Substitution Rules


Race day changes are NOT permitted. If a team advances and one of the members who raced in the first
heat is not available to participate, the team may:
a. Use the individual who is listed on the registration form as the 6th person OR
b. Pick up one (1) new member from teams of the same Unit who participated in the Heats, but
who did not qualify for the Semis. This person CANNOT be a designated import (from another
Unit).
i. The ONLY way you can make a substitution is by submitting a SUBSTITUTION REQUEST
by midnight the night before your race. To submit your request, please email
storm@rec.ubc.ca with the subject line: Substitution Request.
c. If a team has less than 5 members for a scheduled heat, that team may fill the additional spaces
with racers from another team, provided they have completed a waiver. Teams requiring this
type of substitution, however, will be unable to advance.
Heat Change Requests
All heat change requests submitted prior to the Registration Deadline are being dealt with now that
Registration has closed.
If your team has a scheduling conflict and would like to change initial heat times, please drop by the SRC
and fill out a Heat Change Request form by Friday March 20th @ 5pm. Due to the magnitude of the event
this year, there is a low chance of heat changes. If you absolutely require a heat change, please fill out the
Heat Change Request Form at the SRC front desk. However, this does not guarantee you a heat change.
Need a Bike? Reserve One from More Bikes
More Bikes is partnering with UBC Intramurals to provide us with bikes to borrow. Bike reservations are
limited and done on a first come, first serve basis. Should you require a bike please email
storm@rec.ubc.ca and include your race time, whether or not you need a helmet, the bike persons
name, student number, and phone number or if you are a(n) (Super) Ironperson your bike helper/wall
persons name and phone number. If we do not have enough bikes for you, you can also rent a bike from
More Bikes. For more information, go to http://en.morebikes.ca/rentals/. Please note: if you advance,
you will need to send in another request.
When you hear back from us about whether or not we can accommodate you, you will be given more
information about where to pick up/drop off your rental and the procedure.
Save Time on Race Day and Get Your Bike Check Before Hand:
As mentioned above, it is mandatory that you get your bike checked by More Bikes before you race.
Your team will not be able to race if you fail to get your bike checked. More Bikes is located in Wesbrook
Village (3332 Shrum Ln) across from Save on Foods will be performing bike safety checks prior to and
during Storm the Wall. You can visit them at their Wesbrook Village location to get your safety check done
in advance of race day or visit the More Bikes tent located at Cycle Transition at University Blvd and Main
Mall during the event. Please have your bikes checked as soon as possible in order to save time on your
race day. Both your helmet and your bike must have a Storm the Wall 2015 sticker in order for you to
be eligible to race.
Results & Advancement Information
In competitive heat categories, the top team from each heat will automatically advance to their
respective Semi-Finals and/or Finals - All other teams will be advanced based on overall time within their
category. Be sure to visit the Storm website at for the Semi-Finals and Finals schedule during the week of
Storm the Wall.

Results will be posted by 10:00pm at the end of each day on the Storm the Wall website at
http://intramurals.ubc.ca/events/storm/ .
Online Waivers
Please follow this link to fill out your online waiver. Please note, the waivers sometimes do not open with
some Browsers. Please try a few different browsers or on your phone. If these do not work, then email us
at storm@rec.ubc.ca.
We highly recommend adding all your team members to your roster BEFORE your Pre Race Clinic. This
will allow all of your team members to add themselves to your roster and fill out an online waiver.
Team members who were unable to attend the Pre-Race Clinic are required to fill out an online waiver.
Please have this done by Friday March 20th @ 5pm.
Storm the Wall 2015 Route Map
We have attached a Storm the Wall route map, which outlines each portion of the race. Please take a
careful look at the route to make sure each of your team members are aware of their route.
Important Policies
Please review the attached document which provides you with a comprehensive list of UBC REC Policies
directly relating to Storm the Wall. Failure to follow any of the policies will result in disqualification of
your team.
FINAL REMINDERS:

Please read and review all attachments included with this email.
If you have a conflict, you can attempt a heat change request by filling out a form in the SRC.
However, due to the very large volume and limited time span, these requests are not
guaranteed. Give us as much warning as possible and we will do our best. We want everyone to
race if we can!
If your request is not approved, or your team is late, we will try to slot you in to a later race if
possible, but you will not be able to advance.
Roster Changes and Additions must be made online by using your Team ID and Team Access Code. No
roster changes will be made via email.
UBC Students/Staff/Faculty MUST bring your UBC Student/Staff/Faculty Card AND Community
participants MUST bring valid photo ID.
