A Graduations Officer will be standing at the foot of the steps where candidates ascend the stage.
The above officer will oversee that candidates ascend the stage in the same order in which their
names appear in the programme, and ensure that continuity is maintained in accordance with this
script.
The officer will inform you if the wording of a specific paragraph in this script should be read any
different than published due to absentias, etc. The officer will act as a prognosticator in the event
of you not being able to find your part in the script.
When you take your position behind the lectern to introduce your candidate(s), the officer will
confirm the paragraph number of the paragraph to be read from your script
It is thus important that eye contact be made with the Graduations Officer.
Each candidate will hand you a seating card with his/her name on after which you will read the
names.
As soon as a graduands hand is shaken by the person standing closest to the Presiding Officers
seat, the next graduand must be introduced. DO NOT wait until the hood has been draped by the
Registrar, except for Doctoral candidates.
In cases of diploma candidates; the next candidate must be introduced when the preceding
candidate walks past the Presiding Officers seat.
In cases of Doctoral candidates, only the motivation for the conferment of the degree must be
read, and not the curriculum vitae. After the supervisor has read the validation, he/she must stand
aside for the Exe Dean / Dep Exe Dean / School Director request the Presiding Officer to confer
the degree.
* You should take note of any information highlighted on a candidates seating card, e.g. major
subjects with distinction or degree/diploma with distinction, and ensure that it is announced as
such.

After the candidate has been introduced, you must return the seating card to the candidate, since
this the latters cue to cross the stage and approach the Presiding Officer / Registrar.
* Some candidates alter the printed information on their seating card to reflect that their
degree/diploma or major subject has been obtained with distinction, whilst in truth and in fact it is
not the case.
Likewise, some candidates change their name(s) and / or surname printed on the card in an
unauthorised manner.
Please note that the information printed on the seating card - or any other Graduations publication
- has been audited. In view thereof, you are requested not to read any information which has been
altered in ink on a seating card, prior to verifying it with the Graduations Officer standing at the
foot of the steps where your candidate ascends the stage.
