What is CMMS?

A CMMS software package maintains a computer database of

information about an organizations maintenance operations,
i.e. CMMIS computerized maintenance information system.
This information helps maintenance workers do their jobs
effectively, e.g., determining which machines require
maintenance and which storerooms contain the parts they
need.
It also helps management make informed decisions, e.g.,
calculating the cost of machine breakdown repairs versus
preventive maintenance for each machine.
CMMS data may also be used to verify regulatory
compliance.
CMMS is found within the maintenance block and it can be
used to automate:
Inventory management of equipment and spare parts
Corrective maintenance including all phases of work
order
Preventive maintenance programs
Follow up of equipment status

What does a CMMS do?

CMMS promotes wide range of improvement in work productivity
and efficiency, as well as operational costs. Areas that are
significantly improved by utilizing CMMS are, but not limited to:
Asset management: recording property and equipment data,
from purchase date to maintenance history.
Work orders: inspection, preventive maintenance, machine
breakdown.
Inventory control: keep track of materials, equipments, and
tools.

Safety: incorporating safety requirement and regulations in

operational activities.
System integration: link to the whole operational control
system.

Benefits of CMMS:
Increased level of maintenance information.

Develop the historical database that readily available as critical maintenance information.
Data into information can use to manage maintenance as a business.

Improved work and service request control.

Work management, cost tracking, equipment history, and performance reporting.
Maintenance Connection controls work requests by craft, monitoring backlogs,
determining priorities, and scheduling.

Improved planning and scheduling.

To improve craft labor utilization and customer service.
Extend equipment life.
Automatic scheduling of repetitive PM activities is possible through Maintenance
Connection.

Establish a standard for maintenance tasks.

Consistent and common standard to your operations.

Provides maintenance information to allow more effective measurement of maintenance

performance and service.
By establish of internal benchmarks to provide measurement of improvements, e.g.,
Store inventory, PM downtime, backlog, service level, and reliability

Improved reliability / reduced downtime.

By establish a preventive maintenance schedule.
By know the types of repairs, frequencies and causes for failure.
Increased capability to measure performance.

Optimize inventory usage / eliminate stock outs.

Well-organized stockrooms with accurate inventory records, a stock locator system, stock
levels, and a storeroom catalog.
Inventory reduction is readily available to identify parts usage, excess inventory levels,
and obsolete parts.

Work order and storeroom inventory modules.

Control overall the maintenance budget by individual piece of equipment, by
using department, or by work order.

Capability of CMMS:
Asset management
Tracking equipment repairs and upgrades, storing specifications, contracts, and
warranties, and logging startups and lifetimes of equipment.

Preventive maintenance

Cataloging, scheduling, and maintaining routine tasks, instructions for each task,
as well as the tools and skills needed to fulfill them.

Licensing and permits

Tracking of regulatory and professional certifications, permits, and other
documents required to maintain the legal and safety standing of a facility.

Work orders
Setting up and completing tasks, whether or not routine, by detailing and tracking
what must be done, and the expected processes for performing them.

Inventory maintenance
Ensuring supply and re-ordering of spare parts, tools, and related materials, as
well as their locations, shipping/receiving of them, and the quantity and type of
items consumed by each work order.

Plan and schedule preventative maintenance

CMMS automates the scheduling of inspections and maintenance,
preventing the occurrence of maintenance problems and expensive
repairs.

Switching from reactive to proactive maintenance extends the life of

equipment and reduces the overall operating costs of the maintenance
function.

Manage work orders efficiently

Software for maintenance and facilities management improves workflow and efficiency
by good schedule, assign, and close work orders quickly and easily.
