Budget Planning And Management - Delphi Planning - Working With Web Forms

This article explains how to work with web forms within the Delphi Planning appl
ication.
Web forms are predefined templates through which users may enter data. Web forms
have a similar look and feel to a spreadsheet. Data can be entered into cells i
n a similar fashion as Excel and other spreadsheet programs.
Write users can view, enter, and calculate data in the web forms for which the a
ppropriate security access has been given. Aside from the data, the web form can
not be modified.
Within each web form, the following general steps may be performed:
Select specified dimensions in the point-of-view.
Enter data into the specific cells, which represent intersections of the form's
dimensions.
Save the data.
Web Form Page Layout and Components
The page layout and screen components are generally consistent for all Planning
web forms. Arrows may be used to minimize the toolbars and view pane. This allow
s the user to maximize web form space.

Point of View and Page Lists
The Point of View (POV) displays the dimensions that are hard-coded by the admin
istrator, as well as those that the user can change on the web form. The Page Li
st is a drop-down list of members for one or more dimensions that may be selecte
d for data entry. For example, web forms in the planning application are set to
allow the user to select an Account 6 at various levels in the organizational hi
erarchy.
Make sure to update the POV and page list selections each time the web form is u
sed to ensure correct data entry. If changes are made to the POV and page list s
elections, click Go so that the web form is updated based on the selected member
.

Web Form Cell Color Cues
Planning web forms use color cues to indicate:
Cell is available for data entry: white
Cell is read-only: shaded gray
Cell has modified data that has not been submitted: yellow
Cell has supporting detail: aqua
Cell has a comment: blue triangle
Cell has a custom function: red
Cell has been locked: beige
The following example shows several data entry cells for a particular base and p
arent row with different color indicators. Once the web form is saved, the yello
w cells will change to white. The rows that are all gray are parent rows. The co
lumns that are all gray are historical months.

Performing Data Entry Tasks
Web forms in Planning use many of the same shortcut keys commonly used in Excel,
including:

Enter - enters the value and moves the cursor to the field in the next row
Tab - enters the value and moves the cursor to the field in the next column
Shift +Tab - enters the value and moves the cursor to the field in the previous
column
Esc - cancels the value and restores the previous value
Ctl + C - copies the values in the field or range of fields
Ctl + X - cuts the selected field or range of fields
Ctl + V - pastes content from the clipboard
Filtering Data
Within a web form, data rows with no data or only zeros can be suppressed. This
is helpful when adding adjustments or hedges to existing amounts as the unnecess
ary rows can be suppressed to make the form easier to navigate.
Copying and Pasting Data
Copy and paste data values from cell to cell within a web form, from another web
form, or from Microsoft Excel to a web form. This feature pastes the values (no
t formulas) and generally works the same as it does in Excel. You can copy data
to modify the contents of a cell, rows or columns. For rows and columns, you mus
t click their headings to select the entire row or column. Read-only cells can r
eceive data via the paste function, however it will not be saved.
Adjusting Data
Once data has been entered into a web form, the user may find the need to adjust
the data. One way is to perform this manually with direct data entry. Another w
ay is to use the Adjust Data feature. This is a great option if a large amount o
f data needs to be change by a specific value or percentage. The user would sele
ct from the Adjust dialog box to adjust the data by Value or Percentage. Then th
e user would enter the value of percentage for the selected cell, row or column
to be adjusted by.
Spreading Data
The ability to spread data values in web forms is another very powerful feature
of Delphi Planning. The user can enter a value at a high level member such as Ye
arTotal and it will spread the value down to the lowest level of the hierarchy.
In the case of these applications, the lowest level would be a Month. The values
are then stored at the lowest level and aggregated back up to the highest level
upon being saved.
There are also multiple ways the spread can be done. It can be spread evenly and
this is the default when no other data is present. If data exists at the lower
level and a new data value is entered at a higher level to be spread, it will sp
read proportionately. This can also be forced when there is no data by entering
your own percent or ratio spread values at the lower level.
The User can also use the Grid Spread feature which performs the Adjust feature
to increase or decrease values by another value or percentage and then spread th
em proportionally, evenly or by filling in the value.

Locking Data
Locking data is a very useful feature when spreading data or at other times when
the user does not desire the data to be altered by any other input. This occurs
by default when security prevents the numbers from being changed, however it ca
n be a user controlled feature too. The user would select the cells, rows, or co
lumns that are desired to be locked and click the Lock button on the toolbar or
select Edit > Lock from the menu. The cell background will turn beige to indicat
e that it is locked. To Unlock, click the toolbar button or select the same menu
option again.
In this example, 1,2000,000 was first entered and spread to all of the quarters
and months. The Q1 values was locked and the YearTotal was changed to 1,800,000.

This time, it accounted for the locked amount and spread the rest evenly among
the other 3 quarters and their months respectively.
Attaching Documents
Documents can be attached to cells in the webform. These documents can be stored
in Workspace or another shared access location with a web link. These documents
can be of various types. Commonly used document types are Microsoft Office file
s, Adobe PDF documents and web links.
