STORY
Initial situation
To date, the operational budgets of all 56 Hapimag Resorts in 16 countries
and monthly reports to executive management and the board of directors
were made out in form complex Excel spreadsheets. The budget data from
the Excel files was then fed into the SAP R/3 financial system. In addition to
requiring a fair amount of time, this method led to redundant data,
inconsistencies, and a greater risk of error. Moreover, every individual
modification had to be carried out extensively.
Challenges
The system lacked a database ensuring a single-point-of-truth.
Furthermore, planning and reporting (MIS) with Excel spreadsheets had to
be replaced by a more efficient method. The basic design of the planning
process, however, proved to be good and development on it was
continued. The new budget tool had to be managed centrally but made
available decentrally nonetheless. The Reporting (MIS) had to be
integrated into the SAP environment.
Project goals
Hapimag initially wished to set up integrated planning. The goal consisted
in being able to feed plan values into an Excel front-end in the future and
then storing this data into the SAP BW. This data should then be
transferred back to the SAP R/3. The next requirement involved databasesupported reporting (MIS) to replace the existing MIS.

Implementation
Following the setting up of the catalogue of requirements, from among
three vendors, Hapimag chose SAP BusinessObjects Planning and Consolidation 7.0 (BPC) for NetWeaver. SAP-BPC is a powerful planning and consolidation application that meets all requirements in the fields of budgeting,
planning, consolidation, and reporting as well as offering the following
advantages:
Front-end tool for existing IT environments
SAP BW/BI serves as the database for master and dynamic data
Standard interfaces
Desktop: interactive Excel
The new planning and reporting tool has met our requirements fully.
Thanks to the shorter duration of planning and reporting, we can now
invest more time in analyses. The CubeServ consultants provided us with
excellent support and we were able to achieve our goals in very short time
as well as within the budget.
