Job Analysis Diary Template

Introduction: How to Use This Template


Use this template as a starting point for developing a diary form to collect job information from incumbents
who hold the job being analyzed. The format of the diary form is flexible and will depend on the
information you want to collect from the diary. Job diary forms generally allow incumbents to record some
or all of the following information:

The range of job activities done.


Details about job activities, such as frequency, timing, and time spent on tasks.
Who incumbents interact with.
Equipment, tools, and resources used.
Other job-relevant feedback, such as challenges or difficulties encountered on the job.

To use this template, simply delete the introductory text on this page and replace the text in grey
throughout this document with information customized to your organization and your particular job
analysis project. Add or delete rows or columns in the diary form as needed. Also, ensure that there is
enough space provided in the diary to fit the time period for which the diary should be completed (e.g. if it
is two weeks, copy and paste enough tables for that time period). Before using the template in your
organization ensure that that all grey text has been changed to black or deleted.
