A Complete Tutorial for

Creating
Acrobat 4.0 PDF Files
From Pagemaker 6.5 for the PC
Including Instructions
On Transmitting the PDF File
Using the LA Times BBS,
LA Times Specs,
and Numbers to Call for Help

Creating a PDF File


In Pagemaker 6.5 for PC
1) Pull down the
File Menu and highlight the Print...
choice.

2) Make sure your


window matches
the window shown
to the right.
Make sure the PPD
is Acrobat
Distiller and you
are in Portrait.
When done, click
once on the Paper
button.
3) Change the size to
Custom.

4) Select
Custom... and you
will see the window
to the far right.
Change the width to
13 and the height to
21.5. Do this all the
time to guarantee
any ad will fit up to
a full page in our
paper.
5) Match all the
information on the
right . Make sure
Tiling is None and
the Scale is 100%.
Then click once on
the Options button.

6) Begin here by
clicking once on the
Write PostScript to
file: button and then
clicking once on the
Save as... button.

7) We suggest you
save the PostScript
file to your Desktop.
Name it whatever you
wish.

8) Now make sure


that all matches as
in the window to the
right. Be sure Data
Encoding is set to
Binary and Fonts
to PostScript and
TrueType. When
ready, click once on
the Color button.
9) Change any
items to match the
window to the right.
The lpi is 85 for
Black and White
and 100 for color.
Now click once on
the Save
button to proceed.

Congratulations!
You now have created a PostScript file that will now be used to create a
PDF file through Acrobat 4.0s Distiller.
What you have just done is the most crucial part of the procedure. If
you make a corrupt PostScript file than you will make a corrupt PDF.
The above procedure is correct for Black & White, Spot Color, and Full
Process Color ads. It will work for any size you can create up to a Full
Page in our paper.
Follow these instructions and you can not go wrong.

Distilling a PostScript File to a


PDF File for PC
1) Before beginning, be sure you
see on your
Desktop an alias (or
icon) for both the
PostScript file you
want to distill to a
PDF and the
Acrobat Distiller
alias (or icon).
Click twice on the
Acrobat Distiller
alias to launch the
program.
2) All you have to do here
is to be sure that the Job
Options is showing LA
Times Settings. If not, use
the pull-down menu to
change to it. Now simply
drag your PostScript alias
anywhere into the Acrobat
Distiller window that is
open.
3) Simply sit back and
watch as the file is distilled.
The Distiller will create the
PDF and place it on the
Desktop (or wherever the
PostScript file was found).
When the Distiller is done,
quit out of it and find the
PDF file that was just
created.

4) When you locate the


PDF icon, click twice on
it to launch Adobe
Acrobat 4.0. At the top,
click once on this icon
to see the whole ad sitting in some white
space. To crop it down
to the right size, click
once on the Crop tool
shown.
5) Now lasso the
area you want
cropped. If you want
to zoom in closer,
click once on this
tool. Then zoom in
and adjust with the
Crop tool. When satisfied, push your
Return key on your
keyboard.
6) The following dialogue box
appears to allow you to adjust
more on the cropping, but
usally you can just click once
on the OK button and be
fine. Now check out the size
of the ad at the bottom of
your screen and make sure it
is very close to the correct
size. Save your file.

Congratulations!
The PDF file you have just created is now ready to be sent to the LA
Times. If you want to test the files quality further, place the file on a PC
and see if it opens up and looks fine. This is the best pre-flight check you
can do to insure you have a great file.

Warning!
The LA Times Settings in the Distiller have been set to give you a successful file.
Do not tamper with those settings. If you feel the settings have been lost or
altered, contact us and we will help you to restore them.
Also,
the Distiller has been set so that if you have a bad PostScript file a PDF will not
be created. The job will begin to distill but then it will quit and the file will
flush. We want it to fail if the file is bad. We do not want a bad PDF file to be
sent to us so therefore no bad PDF file can be created.
How will you know if this happens??
Instead of seeing a PDF file appear on your Desktop, a file will be created with
the extension of .log on it. This is a log of what went wrong. This file is a
Simple Text file and can be opened and printed out. A typical message will
usually be about a font missing that it could not find or about an embedded EPS
file is missing elements, etc., etc.
This is a great feature in Acrobat 4.0. With the old version of Acrobat 3.0, you
never knew why something failed, it just failed Now you get a read-out.
Read the problem and fix it. It is usually that your fonts were not loaded when
you created the PostScript file or a graphic is missing.
The only bad news
is that the log will only show you the first error it encountered in trying to make
a PDF file, so after you correct one problem, another may stop the process and
create another log file. You just have to keep correcting any errors it finds.
However,
if you followed all the steps on making a PostScript file, you should be fine.
If you encounter a problem you can not get past, call us.

Sending a File to
The LA Times Using Our BBS
1) Locate the LA
Times BBS alias (or
icon) on your
Desktop. Click
twice on it to launch
the BBS. You will
see a FirstClass
SoftArc splash
screen and then the
Log In window will
appear.

2) Click once on the


Login button to access
your account.

3) After launching, your


BBS will open up its own
Desktop Window with four
icons sitting inside. Click
twice on the Sending Ads
Conference icon.

4) You will now see a


new Window with two
icons inside. Click twice
on the Ad
Transmission Form
icon.

5) This form is very


important! We have
Xd out any fields that
are not necessary to
fill in. You must try to
fill in the rest as completely as possible. If
your file comes in and
we do not have a
space reservation for
the ad, we will rely on
this form to tell us
who your sales rep is,
how do we contact
you, how do we fax
you, is this a revise,
etc.? So fill it in!
When filled in, click
once on the Attach
One Ad button. After
the bar graph is finished to 100%, click
once on the
Transmit button.
The form will turn grey
AFTER HITTING THE TRANSMIT BUTTON and solid and a postYOU MUST CALL DIGIATAL ADVERTISING
mark will appear to let
SERVICES AND CONFIRM RECEIPT OF THE FILE
you know all is well.

Width & Depth:
What size is the ad?? Example: 2 column by 5 inch

If this were a Spot Color ad, you would know what to put in here.
