OFFICE MANAGER, RECORDS, POLICE DEPARTMENT

Incumbent serves as Office Manager Records for the Anderson Police Department and is responsible
for maintaining a variety of confidential information and documents and superv
DUTIES: Supervises and directs daily activities of criminal records personnel, including giving
instructions, training, and continually evaluating employee performance. Composes letters of
recognition and disciplinary notices for subordinate personnel in Records Division for Supervisors
review.
Interviews perspective employees for full-time and part-time seasonal employment and makes
recommendations to Executive Office. Supervises, trains, plans, and delegates work assignments
and evaluates such employees as required.
Maintains department personnel files recording hours worked, overtime, personal and sick days, and
vacation. Creates and maintains records retention schedule, including destroying documents as
needed.
Reviews Civilian personnel 28-day calendars ensuring completeness and accuracy.
Composes and types correspondence, memorandums, reports, and related documents, including
hate crime reports, protective orders, and reports pending reports.
Orders and maintains storeroom supplies as needed.
Manages the Lanier/Winscribe computer system. Attends Madison County Multi-Agency Data
Commission monthly.
Performs routine daily duties of Major/Administrative Assistant to the Chief in his/her absence,
including preparing and processing purchase requisitions and claims and maintaining account
records.
Creates reports for public of all calls made to specific address.

I. JOB REQUIREMENTS AND DIFFICULTY OF WORK: Working knowledge of standard office
procedures and the ability to apply such knowledge to a variety of interrelated processes, tasks, and
operations.
Working knowledge of standard rules and regulations of the Police Department and the ability to
properly maintain official department records and documents.
Thorough knowledge of English grammar, spelling, and punctuation, and the ability to perform
arithmetic calculations.

Ability to utilize a variety of office equipment, including computer, typewriter, microfilm machine,
calculator, copier, Dictaphone, and telephone, with experience in word processing preferred.
Ability to transcribe a wide variety of documents with speed and a high degree of accuracy.
Ability to comply with all employer and department policies and work rules, including, but not limited
to, attendance, safety, drug-free workplace, and personal conduct.
Ability to effectively communicate with a variety of government agencies and departments to explain
and interpret policies of the department, including being sensitive to professional ethics, gender,
cultural diversities, and disabilities.
Ability to provide public access to or maintain confidentiality of department legal records and reports
according to state requirements.
II. RESPONSIBILITY: Incumbent receives general instructions for specific and specialized projects.
Work is spot-checked or reviewed for soundness of judgment and compliance with standardized
practices and procedures.
III. PERSONAL WORK RELATIONSHIPS: Incumbent maintains frequent contact with co-workers
and superiors, police officers, representatives from other organizational units and agencies, and
members of the general public for a variety of purposes, including exchanging information,
supervising subordinate personnel, processing and maintaining accurate police records, providing
public service, and implementation of procedures necessary to the rendering of such services.
Incumbent reports directly to the Major/Administrative Assistant to the Chief.
IV. PHYSICAL EFFORT AND WORK ENVIRONMENT:
And Incumbent performs duties in a modern office environment with no unusual physical demands,
but occasionally exposed to stressful situations.
