DUTY ROSTER

Purpose:
To ensure that all Duty positions for each outlet are filled out
for smooth operations.
To ensure that the staff has sufficient time to note their
working schedule for the following week.
Procedure:
* All Duty Rosters are generated and approved by the Outlet
Manager concerned.
* Copies of the Duty Roster are placed on /or forwarded to the
following areas:

F&B office file

* Duty Roster is generally completed and posted by 17:00Hrs on


Thursday of every week.
* All Duty Rosters for one week period, beginning on Monday
and ending on Sunday.
*

All staff day offs are also mentioned in the duty roster.

* Generally once the Roster has been Approved and Posted, it is


not changed.
* Staff, who requires change in a day off for personal reasons,
may do so by applying for permission by filling out a "Change of
Shift Request" slip. Granting of this request will be subject to the
approval of the Outlet Manager.
* Staff who is on leave, (Annual, Extended Sick Leave, and
Maternity etc.) is marked on the Duty Roster.

* The Duty Roster is preserved for recording purposes in


conjunction with the sign in and sign out records, for the
varification of monthly attendance for the preparation of the
salary.
The following practices will not be tolerated at any stage:
* Any person other than the Outlet Manager or his or her
designate can not change the Duty Roster.
* No staff member will be allowed to change his or her shift
without the Outlet managers approval.
* Changing Shifts or swapping off days will not be tolerated,
unless the Outlet Manager has granted prior approval.
* Staff who requires "Last Minute Leave" for the purposes of
"Moving House etc" will not be granted the leave. Staff will be
required to make a "Request for a Change in Shift" and have this
approved by the Outlet Manager.
Should there be another staff member involved in the shift
change, it must be clear that the change in shift will happen. And
that all parties are in agreement.
In the event a "Change of Shift Request" has been approved and
understood by all parties concerned, and the Staff Member fails to
turn up for the new shift. That staff member will be disciplined by
receiving an "Oral Warning".
The type of roster used, is dictated by the nature and the
needs of the business it serves:
Full-time Rosters: used when staffs work on a full time basis
and the business is operational 7 days per week. Award rules
which govern the limit to how many consecutive days that are
allowed to be worked and the number of hours that may be

worked a week, must be considered when rostering to fully cover


the business opening hours.
Part-time and Casual Rosters: used to boost staff levels when
trade levels dictate the need e.g. banquets.
Cyclic Rosters: duty rosters used to alternate various jobs for
staff (this avoids repetitive work and shares duties that are
considered more or less pleasant to perform).
Benefits of rostering:
Increased operational efficiency,
Minimized wage costs,
Maintained customer service, complied with award
conditions and allow staff to vary their work with some day
offs.
Sometimes employees preferences are taken into
consideration, before planning the roster. These preferences
can be nominated by the employee on their previous timesheets.
Using rostering is companys decision and can help to
maintain high staff moral; but can also cause some
grievances as it is difficult to please everyone.
