Introduction

Theaimofthisreportistodescribeandhighlightanyissuesregardingthe
planningofthetourandtodescribethedecisionswhichhavebeenmade.Planning
thetouritselfisalongprocessthatrequiresvastamountofresearchand
considerationsfortheelementsthatconstructthefinalplan.Thereportwillalso
analyseallideasthatweretakenintoconsiderationduringtheproductionofthetour
book,thereforeallthedecisionswillbedescribedindetailwiththedecisivefactors
andalltheotherpossibleoptionslistedout,whereverpossible.Thesoftwareusedto
preparetheitinerarypartandthemapssectionisMasterTourbyEventric,whichis
oneofthemainpartsoftheprocessofproductionthistourbook.Asthewhole
endeavourwasbasedonthissoftware,abigpartofthereportshallreflectonhowit
wastoworkwithit,especiallythatEventric(theproducerofthesoftware)advertises
itasatoolusedbytheprofessionals,asnamedontheirwebsite,peopleofthe
caliberofAlanFloyd,Beyoncestourmanager,orMettalicasproductioncoordinator
MistyRoberts1.

StageShow
Fromthebeginningtheplansweretosetupmultimediashowsasetofvenues
whichwouldmakeupthetourplan.However,somecircumstancescausedtheidea
tobeabandoned.Theplannedbudgetdidnotextendtothepossibilityofsettingupa
multimediaelectronicelement.Theprimaryreasonforthisbeingextracrew
membersandequipment,allofwhichcouldnotbefunded.Thecrewrequiredwould
includevisualisationdirectorsanddesigners.Therefore,thetourisfocusedaround
themusicalelementwithabasicsetofbandequipment.

Thecapacityofeachindividualvenueisnotverylargeandthusthemultimedia
stageshow(consistingoflightingandabackdropscreen)wouldprovetobelimited.
Onthecontrary,thereisasubstantialriskthattheperformanceswillnotcaptivate
theaudiencesduetothesimplicityoftheliveproduction.Intodaysworldofmodern
music,audienceshavebecomeaccustomedtothewalltowallscreens,visual
effectsandlightingsupportedbyactswithhigherbudgets.Theplanswerealsoto
hostasmallDJsetinScandinaviancountriesbecauseofthecomfortofusing
differentmeansoftransportforexamplebyplane(Thisistobedecidedlater).
However,becauseofthegenreofthebandthenormalconcerthasbeenchosen,

afteradiscussionwiththeband.Fromthemarketingpointofview,itwouldbe
desirabletohaveelectronicbasedproductionsinthefutureduetotheirpopularity
andthepossibilitiesthattheyprovide,especiallyofartisticnature.

Whilethecostsoftravellingcouldbefarlessthanthebandproduction,therevenue
fromtheticketsforaliverockshowcanbeabsolutelyhuge,especiallyseeingthat
thetourcanbeextendedtoincludealsoacollectionofsmallclubs.After
considerationwiththebudgetanalysis,itisevidentthatthethreepieceband
membersisachievable.Moreover,aftercontactingthevenuesinCopenhagen2 ,
Sweden3 ,Finland4 andNorway5 ithasbeenexplainedthattheycanallprovidea
completebacklineofequipmentwhichisrequiredtoruntheshowhostedateach
venue.

Equipmenttobetaken

AsathreemembersbandHyrusdoesnotusemanyequipmentitems,theessential
itemswhicharereasonabletobetaken,personalenoughtobeneededandof
highestpriorityarelistedbelow.Thisdecisionisfollowedbytheconsiderationof
decreasingtheweightoftheitemsthataretobetaken,asitdecreasesthefuel
consumptionandimprovesloadinandloadofftime.Thebandrequiresthe
amplifierstobeprovidedbythevenues,anditisofhighpriorityforthetourmanager
tobesurethattheyarepresentandofsufficientqualitybeforeeachshow.

Thestagecostumesarenotoutrageous.Theplanwastocreateminimalisticstage
outfitswhicharememorableandcancatchtheinterestofthemedia.So,everyband
memberwillwearaCriminalDamagejacket(no.NT3445)6 ,Vansshoes
(watermelonline,WT758) 7andLizardsunglasses.Thesunglasseshavebeen
chosenbecauseofthebandsinterestinconspiracytheories.Theyarealsoa
memorableitemwhichisoutoftheordinary.Itisofcourseobviousthateach
memberofthebandhasthreeensemblesofthewholestageoutfit.Itisworth
pointingoutthattheoutfitisnotveryexpensive,sohavingthreeensemblesper
personisnotalargepurchaseandcanhelpavoidunexpectedproblemssuchas
unrepairabledamageorbreakofthetourbuswashingmachine(thewashing
machineisprovidedinthesleeperbus,thedetailswillbedepictedlater).Thereisa
sponsorshipdealbytheVanscompany,asthetargetcustomerofbothHyrusmusic
andVansapparelclothingisinthesameagespan,andofthesameinterests,asit
wouldbeprovenbymarketingcompanythathasbeenhiredtofinishthedeal.The
dealhasbeenstruckduetotheconnectionbetweenthemanagementcompanythat
Hyrusismanagedbyandtheiraffiliatedmarketingcompany.Thecoreideabehind
thatdealistobuilduprelationshipbetweenHyrusandpeopleconnectedwithVans,
becauseVansissponsoringTheWarpedTour,thelargesttravellingmusicfestival
intheUnitedStates,whatcouldinfuturebenefitwithaloopholewhentryingtobreak
intotheAmericanmarket.Themoreconnectionsaretobecreatedevenwithinsuch
insignificant(atfirstsight)deals,thebetter.

ThefirstgigistotakeplaceinGlasgow,mostremotelocationintheUnited
Kingdom.Ithasbeenchosenasatourstartinglocationduetotheeasinessof
furtherplanning.Thebandarrivesthereadaybeforethegigtosocializeandrest
well.Itiscrucialformorale.Nextday,afterthegigtherearetworoadstobetaken,
andasthetime/distancedifferenceisnotsignificant,thereisnoneedforadeep
discussion,andthechoiceislefttothedriver.Thesamethinkingmethodisused
whentravellinginbetweenalloftheroutedestinations,withfewexceptions.The
mostinterestingpart,thatmightbechangedduringthetourisoverseatravel,usinga
ship.Intwopointsofthejourneythereisaneedtousethetourvantotravel
betweentwooversealocations,atfirstitisfromPlymouthtoParis,andthesecond
instanceisattheveryendofthetourwhentravellingfromAmsterdamtoLondon.
ThereasoningbehindthedecisionsonthemeanoftransportisWilliamSpencers
seasickness,andhehighlyprefersnottotravelusinganyfloatingmeansof
transport.Thefinaldecisionistobemadewiththetouringpartymidtour,butWilliam
hasagreedonthefactthatincaseherefusestotraveloverseawhenitwouldbe
necessary,heagreestoflytothedestinationonhiscost.

Anothernoteontheitineraryshouldbeanalysedfromthepointofviewofthetour
planner.Tostarttheanalysis,Helsinki,asthepartofthetour,isquiteproblematic
notjustinregardstothedistancebetweenneighbouringScandinaviancities,but
alsobecauseofthehugedistancebetweenthepreviouscityintheitinerary.Agood
suggestionherewouldbe,forinstance,toexchangeHelsinkiwithanothercityin
Sweden,likeGoteborg,abigandpopularcityinSweden,whichwouldbealsoa
logisticaladvantag.ItwouldbeeasiertorelocatefromStockholmtoGoteborgand
thentoCopenhagen.Thinkingforward,Helsinkicanbeincludedinanotherbands
tourinthefutureifthebudgetishigherandthemajorityofthetourcomponentscan
betravelledbyplane.TAccordingtoprovidedsuggestions,thewaythetripwas
selectedfromFrankfurttoHelsinkiisbyair.ThejourneyfromFrankfurttoHelsinkiis
byplane(withthebandandtheTourManager)andthereisabuswiththedrivers
whichgoestoBrussels,Belgium.Inthemeantime,thebandandtheTourManager
travelbyplaneinthefollowingorder:Oslo,Stockholm,CopenhagenandBelgium.
AfterthebandfinishestheScandinavianlegofthetour(tobedescribed)The
journeyresumesfromBelgiumwheretheyaretotravelbytheirbustoAmsterdam,
andthenfromAmsterdamtoLondon,wherethecrewandbandarebased.

Averypeculiarpartofthetouristhepartwhentherearegigstobeplayedinthe
Scandinaviancountries.Thebandandthetourmanageraretheonlyonesthattake
uptheairtravelthatisneededincasetogettothegigs.Theequipmenttobetaken
ontheplaneinthatsituationislimited,andmoreofitisbeinghiredfromthevenues.
Nevertheless,thatsavesupamajoramountofproblemsoflogisticnature,andalso
isamoneysavingdecision.NothavingthenecessitytotraveltoScandinaviabycar
hasgotmanyupsidesitwouldtakeagreatamountofdrivingtime,alsowouldbe
costlytotransportthecarovertheBalticsea.Asmentionedbefore,thedriversand
crewmembers(excepttheTourManager)aretravelingfromFrankfurttoBrusselsby
busandwillwaitforthebandandtheTourManagertogetbackfromthe
ScandinavianTour.Therefore,thehotelfortheothercrewmembersisprovided,
andallthecrewmembersarespendingtheirintermissiontimeinBrussels.Itcanbe
saidthatthedetailsaboutthehotelandintermissiondays(breaksbetweengigs)
shouldbestatedinthetourbook,buttheothersolutioncouldbechoseninthat
case.Toclarify,thebandcantravelandcompletethetourwithoutsomecrew
members,meaningthatthedetailsofthebandsdaysaremoreimportantand
actuallyessentialinthetourbook.

Accordingtotheairlineswhichhavebeenconsidered,namelySAStotravelfrom
FrankfurttoHelsinki,theseairlinesarethemostcomfortablelinesinaccordanceto
travellingbetweenearliermentionedcities,andiftheticketsarebookedinadvance
theycancost85andtheluggageisincluded.Furthermore,iftheTourManager
travelswiththebandmembershecantakeluggagewiththeprivateitemsonhis
cardandbandmemberscancarrytheirinstrumentsasregisteredluggage.Whatis
more,inSASthehandluggageisalsoavailable,sotherewillbenoaproblemwith
carryingtheitems.Therecanalsobeanothersolution:everybandmemberandthe
TourManagercancarrytheirownhandluggage(upto10kg)andhavethe
instrumentsandrequiredequipmentlikepedalboardasregisteredluggage.
Thereforetherearenoaddedcostsinaccordancetoluggage. 8Theairlineswhich
havealsobeenconsideredareRyanairairlines(butafterquickanalysisand
researchwhichhaveshownthatSASlinesaremuchmoreconvenienttotraveland
especiallyformusiciansontour).ThewholeairrouteisplannedwithSASairlines.
Toexplain,RyanairdoesnothavetheconnectionbetweenFrankfurtandHelsinki,
furthermore,thereisanaddedcostformusicalinstrumentswhichis50peritem,
evenifthebandhasregisteredluggage.Moreover,registeredluggageisnot
includedintheticketpriceandticketpricesareverysimilartotheSASprices.9

Thereisaneedforashortcommentaryontheusageofthesoftwareduringthe
preparationoftheitinerary.Asmentionedbefore,thesoftwarethatwasusedtowork
withthebespoketourwasEventricsMasterTour.Asstatedintheintroduction,the
softwaredevelopersclaimthattheirsoftwareisbeingusedbyprofessionalsworking
withgreatactswithhugeproductionandverylargeteams.Asitwasextremely
promising,ithasbeenusedtoproducetheitinerary.Thesoftwareatfirstseemed
extremelyusefulandclearlydesigned,astheinterfacewasreallyuserfriendlyandit
waseasytouse.Nevertheless,theendproductoftheendeavourwiththeMaster
Tourwasdisappointing.AsthesoftwarewasusedonaWindows8system,ona
computerwhichspecificationmeetstherequirementsthatthedeveloperstatesinthe
softwaredescription,theworkflowwasgettingworseasthedatabaseofthetour
slowlyincreased.Thiswashighlydisappointing,takingintoaccount,asitistobe
assumedthetoursplannedforbandslikeMetallicamustuseagreatdatabasethat
wouldbeextremelyunfunctionalinthatsituation.Theoutcomeofthisisthat
probablythereisaneedforatopnotchcomputertorunthesoftwareandhaveno
problemsoperatingit.ButtheworkflowwasnottheonlyissuewithMasterTour.
Afterallthedatabasefileswerecompleteditcameoutthattheexportingofthefiles
itselfisoflimitedusability.Thefileswerecorruptedand/orsoftwarerefusedtoexport
them.Afterfollowingallthestepspossibletofixtheproblemsoftwarewise(i.e.
installingallthepluginsandsupportingprogramsthatEventricsuggestsonthe
website10 intheTroubleshootingsection)theexportedfileswerestillnotsatisfying.

ItshouldnotbeassumedthatthepreviousparagraphistodescribeMasterTouras
notausefultoolfortheWindows8environment,butthebiggestlearningoutcomeof
thisendeavouristhatonehasgottobepreparedtotacklethisproblemswhen
organisingthetour.Asoftwarefailure(orincompatibilitywiththehardware)isjust
onesimple,yetnoteasilypredictedproblemthatcanoccurintheprocessofTour
Management.Asthisisanactthatistobedoneduringtheinitialstageofplanning
thetourthatmightnotcausemanytrouble,asintheorythatprocesswouldtake
placefirst,beforetakinganyotheractions.Takingintoaccountareallife
hypotheticalsituationwhenthereisaneedforachangeofacomputertoan
unpredictablyincompatiblemachinemidtourisamoreterrifyingscenario.

Detailedproblemsthatoccurredwithinthesoftwareareasfollow:Thebiggestissue
waswithGlasgow,becausefromthebeginningitwasimpossibletoeditany
informationaboutthevenue.Thesoftwaredidnotputthecityontheroutemap,
whichisstillunclarified.Itwasaproblemwiththeexportedfile,thattherewasno
informationaboutthevenueatall.Furthermore,thesoftwarealsohadanissuewith
puttingtwodifferentBritishcitiesontothemap:BristolandBrighton.Anemailwith

theissuedescriptionhasbeensenttotheEventricsupportteam,buttherewasno
responseuptodateofthesubmissionofthisdocument(whichissixworkingdays).
Thisisanotherlearningoutcomeonthetimemanagement,ashavingthatissue
duringarealtourplanningsituationwouldbehighlyproblematic,asinsteadof
providingtheinformationthroughthesoftwaretothetouringpartyitwouldhavetobe
doneinamundaneandcomplexmanner,viaphoneoremails.Takingintoaccount
thepossibilityofhavingaboutonehundredtouringpartymembersisa
selfexplanatoryoutcome.Inconclusion,itishighlyimportanttousebothsoftware
andhardwarethatisreliable,aswhenthetourisontheroad,thiskindofproblems
maycauseanavalancheofotherorganizationalproblems.

Variousimportantinformation

One,verycrucialfact,whichisrelatedtothetourrouting,ishealthandsafety.Itis
extremelyimportanttoprovidethehighestlevelofhealthandsafetyaspossible,
therefore,everymemberofthetouringpartymusthaveanEHICEuropeanHealth
InsuranceCardandincaseofanytypeofmedicalconditionoraneedtotransport
anymedicineovertheborders,thereisaneedfortheproperdocumentationtobe
included,preferablyinmorethanonelanguage.Asthecustomsmightbeeasytoget
throughinmajorityofthecountriesincludedintheitinerary,itisanactionofhighrisk
totransportdrugswithoutthedocumentation.Uptobestoftheknowledgeofthetour
manager,ineveryvisitingcountrytheemergencynumberis112.11Havingsaidthat,
andtakingintoaccountthelifespanofnowadaysmobilephonesitisagoodideato
haveaslightlyoutdatedtelephoneathand,tobeusedatemergencysituations.For
example,havinganoldphoneoralonglastingbatteryphonelikeNOKIA105,
releasedin201312 mightbeliterallylifesaving.

Sleepingcycle

Havingtheproperbusisnotthemostimportant,astheresearchhasshownthatitis
veryimportanttocheckifalldrivershaveavalidCRBcheckandalsothatvehicle
insuranceisvalid.13 Itisnottobeunderestimatedtohavethepossibilitytocheck
anythingpossiblewiththedriversbeforethetourevenstarts,ashavingthedrivers
experiencedinmusictouringand/orhavinggonethroughtherouteorpartsofitin
thepastmightbeagreatasset.Experienceisnevertobeunderestimated,asitis
notunpopularontheroadsthatmanyrandomaccidentshappen,frommundane
situationsastraffictoextremeandgrimeventsasaccidentsofanysort.Having
experiencedandfocuseddriverscansavetime,moneyandguaranteemoresafety
whichisimportantwhenitcomestotouringpartymorale.

moderntours.Hespeaksoftheobviousbenefitsfromtravellingbysleepercoach:no
hotelroomsareneeded.Busescantravelovernighttoavoidtraffic,sothetraveltime
canbedecreased.Moreover,thebacklineequipmentcantravelinthebaysofthe
bus.However,Reynoldsclaimsalsothatbuslifecanbequitehard.Toclarify,most
peoplefinditverydifficulttosleepinamovingbus.Whatismore,oftenthebuswill
carrycrewmembersandtheband(alsothisisthecaseintheInsaneTour).Thiscan
haveproblemswhereclaustrophobiaisconsidered.Butheclaimsalsothatthisis
thebestchoiceifthebudgetispoorbecauseitsavesalotofmoney.Furthermore,
accordingtotheinformationprovidedbyReynoldsthedriverssleepinthebusand
theyarepaidasmallamountofmoneybecauseofthis.Althoughthatapproach
seemstobenottoocaringfromtheperspectiveoftherelationsbetweenthetour
managerandhiscrew,butwhenanupcomingactlikeHyrusistobeconsidered,
onehasgottolookformoneysavingdecisionsandtrytocutthecostswhenever
possible.Thereasonbeingisthatwithinthemusicindustrymanythingscirculate
aroundpassionformusic,andhavingtosacrificesomeofthecomfortmightbenota
problemfortheband.Otheroptionsforsleepingforthedriversarealsotobe
considered.Forexample,thereisanopportunitywhenthebandhasadayofftoput
driversinhotelroomswithcrewmemberstogivethemmorecomfort.

Sleeperbusescostfrom270to400perday(informationprovidedbythe
company)plusfuelcosts.Butitisstillcheaperthantravelingbyairthewholetour.
Becauseifthewholecrewtravelsbyairitmeans,thereareextracoststopayand
extrapaperworktodo.Forinstance,regardingSASlinesthereisarequired
registrationwherethereisalargegroupoftravelers.Furthermore.theycanbean
issuewheretherearenotenoughticketsfortherequiredday15 .Whatismore,theair
insurancewouldbemoreexpensiveandaftergettingtotheairport,thereisneedto
hireavantotransporteveryoneandeverythingtothevenueorahotel,sothisis
anotherextracost.Therefore,hiringasleeperbusisthebestideainregardsto
finance,evenifthereisanextrasituationwhenthepartofthebandistravellingvia
air,asitisintheScandinavianpartofthetour.But,ofcoursethereisariskthatthe
bandwillnotbeattheplaceontimebecausethesleeperbuscanbreakdown.For
thisreasontheinsuranceisimperative.Thecompanyfromwherethebusishired
musthaveaclearstatementabouttheinsurance,andtherehastobeaclausethat
cancoveranybreakdownstatingthatanotherbuswillbeprovidedassoonas
possibleinthisevent.Thecontracthasgottostatealsothatthetermassoonas
possibleistobeclearlydefined,meaningthatletssayitwillnotbemorethatsix

Songwritingincomebalancingtheticketprices

Havingtheknowledgeonthepercentageofthemoneythatisdeductedfromthe
ticketsales(pereachticket)iskeywhenplanningthetour.Havingtheknowledgein
thismatterprovidesthepossibilityofbalancingthecostsofproductionversusthe
amountofpeoplethatisrequiredtoprovidesignificantincome.Theexample
calculationsareprovidedintheappendixC.

Merchandise

Themerchandiseitemswhichhavebeenchosenaregeneric:Tshirts,hoodiesand
hats,everythingpartitionedintwo:mensandladies.Merchandiseisthemost
importantfactorinincreasingtheincomeofthetour.Thechoiceofmerchandise
productsislimitedduetothefactthatduringthefirsttourthereisstillnorecognition
onthefanstasteandHyrushasgotnothingthatpeculiartobeclearlypositiveon
whatmightbethebestsellingproduct.Themerchandisestandshouldbelocated
nexttothefrontdoorofthevenueandneartothefoodanddrinkscounters.Allthe
sizesofthestallanddistancesthatgoverntheplacementofitmustbeagreedwith
thevenuebeforeattendingthevenue.Asthedealwiththevenueisalegallybinding
contractthereisaneedtoplacethestandinthemostprofitableposition.Havinga
guaranteedfeeforeverygigisobviouslyagreatdealofguaranteedincome,but
merchandiseifsoldandmanagedproperlymightbesometimesasurprisinglybig
sourceofincome.Inthefuture,itisagoodideatoevenincreasethefocusonthe
merchandisesectionandincludeprofessionalhelpfrompeoplethatare
marketing/merchandiseprofessionals.Themostimportantthingtodobeforethe
planningperformanceistopreparethemarketingactivitiesandtelltheaudiences
thatthemerchandisewillbeavailableatthevenueinthedayoftheperformance.
Thiscanbedonethroughsocialmediamarketingandcanbestatedonthe
promotionalposters.Averyimportantthingisalsohavingavarietyofprices,for

Perhaps one of the youngest bands to emerge on the scene with a setlist of two albums,
Hyrus have been performing and surprising audiences across London throughout the last 6
monthsblendinggenresofrock,funkandjazzdelicately.
The band formed in 2014 where lead singer Will Spencer met bassist Adam Norwood at
university. They understood each other musically, before evenmeetingNickBaker.Willhad
been compiling demos of their songs in his bedroom studio. The band knew that they were
on together after connecting with an energy they had not felt with other musicians in the
past.
Funk is an important part of the band's sound, but each member brings a specific edge to
the group. Nick brings a strong, rhythmically tight style of drumming while Will pushes his
blend of rhythm and lead guitar alongside his diverse vocal range. Meanwhile Adam plays
the bass with inventive melodies suspected of a lead guitarist. What you get is a sound of
