Instructor ePortfolio Guide

An ePortfolio is an electronic (web-based) version of a portfolio, similar to what an artist would

use to showcase his or her work. Creation of an ePortfolio provides students an opportunity to
showcase their skills, achievements and learning at ITT Tech in a way that is easily shared with
potential employers and others for whom they might want to display their work.
As part of their program of study, students are expected to create an ePortfolio and
upload at least one assignment from each course taken. Instructors will access their
students ePortfolios in order to evaluate these assignments. Assignments
appropriate for ePortfolio upload are generally designated in the course Instructor
Guide and other courseware documents. Where these assignments are not clearly
designated, the instructor should select one or more appropriate assignments that
will clearly showcase course learning objectives and ask students to upload these
assignments to the ePortfolio platform in order to receive a grade.
General Information:
Faculty members are encouraged to create their own ePortfolio in order to understand the
tools we are asking students to use. The ePortfolio platform is accessed via the ITT Tech
Faculty Portal.

Instructions for creating an ePortfolio begin on the next page of this document. You can
also access several useful videos on how to create and use ePortfolios here:
http://www.foliotek.com/demos (Scroll down to Presentation Getting Started)
You can create multiple portfolios on your ePortfolio account.
Your ePortfolio account includes a file repository where you can store a variety of files
types. These files can then be attached to any portfolio page you create.
You can share (show) your portfolio(s) to an individual person, a group, or the general
public.

ACCESSING ePORTFOLIO

From the ITT Tech Faculty Portal, click the Portfolio tab at the top of the page or either
ePortfolio link at the bottom of the page.

CREATING A NEW ePORTFOLIO

Your ePortfolio account allows you to create multiple custom portfolios to suit your needs. Just as
differing job searches may require customized rsums or cover letters to highlight the desired
attributes of the applicant, individual ePortfolios can be created to present the applicant in the
best light for each potential employer. The steps for creating a new portfolio are described below.

From the ePortfolio Home page, click Create a Portfolio. This will take you to the Build
Your Portfolio page.

From the Build Your Portfolio page, follow the numbered steps to design and save your
portfolio.

Step 1: Select a template from the predefined options provided. Templates offer various
choices in color schemes, fonts, background images, and layout of portfolio content.
Step 2: Select a prebuilt pages type. This will automatically create and name the pages of
your portfolio for you. Students should select ITT Technical Institute to ensure

that student ePortfolios have a consistent structure and that work for
evaluation can therefore be easily located by the instrutor.
Step 3: Use your name as the portfolio name to clearly identify that you are the portfolio
owner and creator.
Step 4: Click the

button.

EDITING AN ePORTFOLIO
Now that you have created the basic layout of your ePortfolio, you are ready to add and
customize content.

Navigate to each page of your portfolio using the menu of portfolio pages.
Add appropriate text to each portfolio page and adjust formatting as desired using the text
editing tools.
Upload files to your ePortfolio account and attach to any portfolio page desired.

UPLOADING AND ATTACHING FILES

Your ePortfolio account includes a file repository where you can store any documents, photos,
videos, or other files you might choose to share. These files can then be attached to individual
pages within your portfolio. Files saved to the repository can be attached to multiple pages within
a portfolio as well as within multiple portfolios within your ePortfolio account.
Adding files to your file repository

Click Files at the top right of the screen to go to the Files management page.

Click Upload Files or Upload a new file.

Locate and select the file you want to upload, then click Open to add your file to the
repository.

Once the file finishes loading, click on Click to see 1 new file (orange words, near top of
screen).

Your file will now appear on the File management page.

Adding files to a portfolio page

From the Home page, click edit beneath the portfolio to which you want to attach files.

From the portfolio page menu, click on the portfolio page to which you want to add files.
Students uploading course assignments to be graded by an instructor should always
select Course Portfolio Assignments. This is where instructors will look for student
portfolio work to be evaluated.

Click the gray Files button. Do not click the orange Files link at the top of the page as
this will take you out of the current portfolio and into the general ePortfolio file repository
where files are managed for your entire ePortfolio account.

A black bar will appear in the middle of the screen containing the files you have uploaded
to your file repository.

Click on the name of a file you want to add to your portfolio. You will see the following:

Files can be displayed in any area of the page highlighted with a green border. After
clicking within the desired area, a Select View Type dialogue box will open.
o Select Link to download file to view the file as a hypertext link.
o Select View the document inline to view the file as an icon.
o Click Insert File when finished, or click cancel if you choose not to attach the
file.

Click the Close tab to return to the portfolio page.

If your file is a photo you can resize it. To do this, double click on the photo; a black box
will appear to the left of the photo. Slide the Size bar to the desired size. You can also
give your photo a caption, and change the spacing or border around the photo.

Using advanced features

From the Home page, click preview beneath any of you portfolios to view how it will
appear to someone else viewing it on the web. It is important to preview your portfolio
before publishing it to make sure it looks the way you want. Note that clicking on
Preview will open a new window; you cannot share the portfolio from this page. Click on
Close Preview at the top of the screen to close the window and return to your ePortfolio
Home page.

The Gizmos tool allows you to insert videos, photos, Prezi (presentation) files, a feedback
form, or to link to a Twitter account. In order to insert files, you will need to first load them
into your file repository. You can then use the Gizmos to arrange them on your portfolio
pages.

The Pages tool allows you to change the name of your portfolio pages, or to create new
ones.

The Design tool allows you to change the template for a portfolio. When you click on it
you see:

Click on one of the squares to change the template. When you click on a square you see
the image below; from here you can also change the layout (where titles and headings
appear on each page), background color, and style (formatting titles and headings).

Saving updates to a portfolio

Click Save (top right of the screen) to save any changes you have made to your
portfolio.

If you have shared your portfolio with other individuals, click merge w/ shared to enable
them to view your updated content.

SHARING AN ePORTFOLIO
One of the great advantages of collecting work in an ePortfolio is that it can easily be shared with
others electronically. Your ePortfolio account provides several ways to share a portfolio with
others. Two in particular will be described here:

Share in a Community: Communities are created within the ePortfolio system allowing
users to share their work with other community members. This is the primary means
by which ITT Tech students will share designated ePortfolio work with their
instructors.
Share Privately: Portfolios can be shared with a selected individual (such as a potential
employer) by way of private sharing.

Share in a Community
Students will share designated course work with their instructor by way of an ePortfolio class
community. A unique class community is automatically created for each course section with the
assigned instructor and registered students associated as members by default. The instructor is
set as the moderator of the automated class community and facilitates the sharing of member
portfolios.

Communities are named according to the course, section, and term of the class with which
the community is associated.

To view student work shared in a community, go to

. Click view
community on the desired class community to view portfolios of students registered for
that class.

Only the instructor can view student work shared in the instructor-moderated class
community, unless the student specifically grants sharing rights with other individuals (see
Share Privately below).

Direct students to share their portfolio with you by sliding the share toggle from NO to
YES (from the students Community Share page, described in the Student ePortfolio
Guide).

page of their portfolio. This is where you will look for assignments to be evaluated in each
student portfolio shared with you.

Click the Course Portfolio Assignments link in each student portfolio to view work shared
via ePortfolio.

Remind students that if they have shared their portfolio with you previously
they must click merge w/ shared before you will be able to view any updated
content.

Creating a Community Manually

In the event that a class community is not automatically created, or if the instructor wishes to
include additional communities for class use, these can be created manually by following these
steps:

12

From the Home screen, click

new community.

Name the new community and click Save.

, then

to start a

From the Home page, under Manage Communities, choose the community where
students will share work with you. Click manage community.

You will be taken to the Manage Your Communities page where information and options
unique to this community will be displayed.
o Provide the Invite Code to your students so they can share their ePortfolios with
you.
o

DO NOT click
. This will generate an email prompting recipients to login
at www.foliotek.com. However, students and faculty access ePortfolio through the
ITT Tech portal and therefore do not have Foliotek login credentials.
Set Visibility to Moderator Only to ensure only you (the moderator) can view
individual student portfolios. Setting Visibility to the default Members Only allows
students to view each others work.

14

Students will apply the Invite Code you provided by opening the portfolio they intend to
share, then clicking the Share in Community link listed in the community menu.

The student enters the Invite Code in the space provided, then clicks Join & Share.

Share Privately
Permission to view an ePortfolio can be granted to individuals such as potential employers by
using the share privately feature.

15

From the Home page, choose the desired portfolio and click share privately.

A Private Share form is generated allowing you to send an invitation to view your
portfolio.
o Fill in the invitees name and email address.
o Choose begin and end dates for sharing the portfolio.
o Click Send Invite to send the person an email with a link to see the portfolio.

16

The invitee will receive an email from Foliotek Presentation with instructions on how to
view the shared portfolio.

Remind students that they must click merge w/ shared before updated
portfolio content will be viewable by anyone with whom they have shared their
portfolio.
