FINALS ACTIVITY 1

CASE STUDY
This case study is based on the Video Club (VC) system for an Exclusive Golf and
Country Club (EGCC) and the Gentlemens' Club (GC). VC specializes on obscure
video that are not readily available from other sources. VC lends only to
members/dependents of the EGCC and members of the GC. Any member of both
clubs is automatically a member of the VC. Membership to both clubs is for two
years. Few members are admitted/removed on 1st January and 1st July of each year.
Members are not admitted/removed other than these dates.

The VC is set up along conventional lines; though members are not restricted to the
number of videos they can barrow at any time. VC owned videos are requested for
return only if required by another member. Four (4) copies of titles (by format VHS,
VCD, DVD, BlueRay) is available. In order to borrow a video material, the member
selects it from the shelves, takes it to the librarian together with the club
membership card. The librarian takes the video card from the video material sleeve
and adds the membership number to the video card. A Video Rental Invoice is
created as members are charged 30 pesos for VHS Format and 50 pesos for VCD
disk, 70 pesos for DVD disk and 100 pesos for BlueRay disk.
The librarian places the video card into the loans file and asks the member to sign
the Video Rental Invoice. The member gets the 1st copy, the 2nd copy goes to the
Clubs (EGCC or GC) Billing Department, and the 3rd copy is kept as VC's file. When
a member returns a video, he presents the video to the librarian. The librarian finds
the video card in the loans file and places the video card in the video sleeve before
returning the video on the shelves. To reserve a video which is on loan, the member
presents his membership card and the librarian writes/adds the members number
on the reservation column on the
video card. The librarian takes a note of the member who has the video and
completes a Return Request Form. The Return Request Form is forwarded to the
EGCC or GC Club Secretary for delivery to the member. When the reserved video is
returned, the librarian puts the video under the counter and completes a
Reservation Ready Form and forwards the form to the EGCC or GC Club Secretary.
The member requiring the video can then pick up/borrow the video from the
librarian.

In addition to the above duties, the librarian receives new videos from the Social
Committee. The selection, ordering and payment for the videos are outside the
scope of this investigation. On receipt of the new video the librarian has to make out

a video card for insertion in the video sleeve and the relevant entries for the
indexes. The librarian is also responsible for amending the library copy of the
membership book with changes of address at the end and middle of the year of
collecting the new membership book from the EGCC and GC Club Secretaries.
Sometimes a member will return a video and ask for a refund for video found
defective. The librarian is required to fill up a Refund Credit Memo Form for the
video.
The member gets the 1st copy, Clubs Billing Department gets the 2nd copy and the
3rd copy is kept by the librarian. Replacement is treated as a refund and an issue of
a new video material. The librarian tags the video as defective and forwards it to
the VC supervisor to decide whether to remove or retain it in the library after
checking/viewing the video. If it is to be removed, the VC Supervisor generates a
Remove Order Form. The 1st copy goes to the librarian with the video, the 2nd to
the Property Custodian and the 3rd copy is kept by the VC Supervisor. The video is
then delivered by the librarian together with the 1st copy of the Remove Order
Form, on a monthly basis, to the Property Custodian for disposal.

CASE STUDY Number 2

A database is to be designed for a Car Rental Co. (CRC). The information required includes
a description of cars, subcontractors (i.e. garages), company expenditures, company

revenues and customers. Cars are to be described by such data as: make, model, year of
production, engine size, fuel type, number of passengers, registration number, purchase
price, purchase date, rent price and insurance details. It is the company policy not to keep
any car for a period exceeding one year. All major repairs and maintenance are done by
subcontractors (i.e. franchised garages), with whom CRC has long-term agreements.
Therefore the data about garages to be kept in the database includes garage names,
addresses, range of services and the like. Some garages require payments immediately after
a repair has been made; with others CRC has made arrangements for credit facilities.
Company expenditures are to be registered for all outgoings connected with purchases,
repairs, maintenance, insurance etc. Similarly the cash inflow coming from all sources - car
hire, car sales, insurance claims - must be kept of file.CRC maintains a reasonably stable
client base. For this privileged category of customers special credit card facilities are
provided. These customers may also book in advance a particular car. These reservations
can be made for any period of time up to one month. Casual customers must pay a deposit
for an estimated time of rental, unless they wish to pay by credit card. All major credit cards
care accepted. Personal details (such as name, address, telephone number, driving license,
number) about each customer are kept in the database.
