Staff Workstation Upgrade Summary and Checklist

The upgrade includes replacing the staff PC and a migration from Windows XP
32bit to Windows 7 64bit. This means that all information on the current staff PC
will be lost unless action is taken to preserve that data. Staff must therefore
identify or backup (copy to USB or network share / H: drive) any user content that
needs to be maintained. During the upgrade Systems staff or the user can move
the files from the backup location to the new location. All logins and passwords
stored locally will be lost during migration.
Several shortcuts are on the user Desktop by default: My Computer, My Network
Places My Documents, and Recycle Bin. Staff should not have to worry about
copying these Desktop items. Microsoft has renamed some of these shortcuts in
Windows 7.

CHECKLIST:
User requested actions prior to upgrade:
User identifes fles on the workstation/local drive that needs to be
preserved those fles may be copied to the H: drive by the user ahead of
time. Examples of locations of these fles include any fle in My
Documents, Favorites or the Desktop.
Agree on upgrade time. Upgrade scheduled for

User identifes which email client(s) they use (Zimbra Web, Outlook,
Outlook Express, Thunderbird etc.) and any application (s) that they
use to access their contacts or calendars. Systems will then copy fles to
H: drive if necessary.
User identifes other applications or accommodations that need to be
addressed during upgrade process

No other applications or special accommodations need to be made.


Check current monitor and PC do determine any adapters or cables that may be
needed.
Systems staff collaborates with user and examines C: (local) drive and verifies

which local files still need to be preserved or saved to the H drive or a backup
location.
Create a directory on H: drive to back up user profile and files if one has not
already been created.
Copy Firefox and backup bookmarks to H: drive backup folder.
Copy My Documents to H: drive backup folder.
Copy Favorites to H: drive backup folder.
Copy files from desktop to H: drive backup folder.
Copy connex directory from OCLC directory in the users profile to H: drive
backup folder.
Note existing local and network printers.
Copy macro files if not in a location previously backed up.
Inform user that customizations/settings will not be transferred, they can note
color settings if they want and save personal background images if they want to
keep them, unless they are already backed up (internet explorer wallpaper in
Microsoft in Application data or if it is something they saved from the web right
click, set as wallpaper option).
SYSTEMS ONLY ACTIONS IN ITALICS
Log user of and log on as administrator
Note hostname and MAC address and drop computer from the domain.
Remove old PC and Install new PC.
Log on as admin. and note MAC address and change hostname to match the
removed PC.
Give Hostname and MAC address information to Systems Sysadmin to have the
DHCP server changed.
Once DHCP has been updated, log on as admin and add PC to home domain,
reboot PC.
Log on as administrator and install OCLC Connection (icon on desktop).
Create New Folder on C drive named "New Folder" and copy contents of New
Folder in Install$\Paul\OCLC into it.

Give user modify permissions to this new folder and the OCLC folder on c:\Prog.
Files (x86).
Copy prntky folder from Install/Paul to C drive and give rights to users.
Install MacroExpress 3.9a (found in install$\Macroexpress\3.91) on PC.
Log out and log in as user.
Install OCLC as user, you will need to browse to the New Folder you created on
the C drive to do this. Once installed, close OCLC.
Install network and local printers.
Map user to their old H drive.
Launch Firefox and restore bookmarks to the fle you backed up and saved on
their old H drive.
Copy their Favorites folder to the user's Favorites folder on the new PC.
Copy contents of the My Documents folder you backed up to My Documents on
the new computer.
Copy the connex directory from backup directory to the OCLC directory in the
user's profle (C:\Users\username\AppData\Roaming\OCLC.
Copy fles from desktop backup to new desktop.
Copy printkey program from c:\prntky to user's desktop.
Have user change password to old password and explain that they will need to do
to an old PC to change their old password should they ever change their password
on the new machine.
Have user log out and log back on.
Ensure that the S: and H: drive mapped correctly and the Z: drive (Aleph)
mapped correctly.
If copying of user files is ongoing, explain that the copy process should be
allowed to continue in the background.

User requested actions after upgrade:


User checks to see if they can access their macro fle.
User launches OCLC and check to see if they can log in (if not, they will
need to get the username and password from Loretta).

User checks that Aleph launches and shortcuts for Aleph are in the
expected locations.
User checks to see if expected application shortcuts are in place.
User checks to see if expected user fles are in place.
User checks to see if email client launches and that contacts and
calendars work as expected.
User sends a test print to printer (s) commonly used.
Ask user if they have any questions regarding the upgrade.
Check back with the user in the next couple of days to confirm they are
satisfied with process.
Retain old workstation for 7 days.
